Proctor Caching
• The process of loading test content locally on a computer at
the school or district level.
• Does not require a separate caching server and can run on any
workstation on the network that meets specified requirements.
• Proctor Caching software is provided by Pearson.
• Reduces test delays due to network congestion.
• Provides students with a more seamless testing experience.
• Required for all FCAT 2.0/NGSSS EOC computer-based
testing in Florida.
• Software and instructions for proctor caching are available at
www.FLAssessments.com/TestNav8.

• Security numbers on test and answer

– Are used to account for each test
and answer book.
– Consist of a nine-digit number
followed by a check digit located in
the upper right corner of test and
answer books.

a list of all secure materials assigned to
him or her, including any additional
materials assigned throughout the
administration.

Student Authorization Tickets
• For each NGSSS computer-based test, each student needs a
username and password, which are printed on the Student
Authorization Tickets.
• Students will need a pen or pencil during testing to sign their
tickets.
• Provide each student a ticket only AFTER all students have entered
the testing room, as instructed in the script, and all tickets must be
collected BEFORE students leave the testing room.
• Student Authorization Tickets must be handled in a secure
manner and returned to the school assessment coordinator
immediately after each day of testing is completed.

• A Session Roster, which can be used to record
or verify most of the required administration
information.
• The roster will include blank fields for
recording accommodations and attendance
information.
• Other required information (e.g., test group
code) may be recorded anywhere on the
roster.
• Copy and file all required administration
information for future reference.
• Return the originals in the District Assessment
Coordinator Only Box.

Seal Code for FCAT 2.0 Retake CBT
• A seal code is a unique four-digit number used to allow students to
access Session 2 of the FCAT 2.0 Reading Retake after they have
completed Session 1.
• Seal codes are provided in PearsonAccess Next.
• All students in a test session will have the same seal code.
• There is one sealed section, which is to be accessed during Session 2
(Day 2) of testing. Students must be resumed after exiting Session 1
(Day 1) before they are able to sign back in and enter the seal code for
Session 2.
• Do not provide seal codes to students until instructed to do so in the
Session 2 script.
• Because seal codes enable access to the test, they are secure
information.
• Return seal codes in the District Assessment Coordinator Only

Four-Function Calculators
• For Science, Grade 8 only, four function calculators are required.
• For the computer-based Algebra 1 Retake EOC and Biology 1 EOC
assessments, students may use the built-in calculator in TestNav, a
handheld calculator, or both.
• You should have enough handheld four-function calculators to
provide one to every student taking an Algebra 1 Retake EOC and
Biology 1 EOC assessment.
• Test administrators should provide handheld calculators at the
beginning of a test session to all students who request one, as
indicated in the test administration script.
• No other calculators may be used.

Periodic Tables of the Elements

• Periodic Tables of the Elements are provided to
students for Grade 8 Science.
• Periodic tables are stand-alone pages and are shipped with
test materials.
• Test administrators will distribute periodic tables on the day
of the test, according to the directions in the scripts.
Students may refer to them at any time during both
sessions of the test.
• Used periodic tables are secure materials and must not be
reused
• Return used and unused periodic tables in the District
Assessment Coordinator Only Box.

Maintain Security
• Inventory the contents of your boxes within 24 hours of
receipt and report missing materials immediately.
• Keep materials secure at all times.
• Maintain the Test Materials Chain of Custody Form at
all times.
• No more than three people should have access to the locked
storage area.
• Do not open shrink-wrapped materials or begin preparing
materials (applying student labels) more than five (5) days
prior to testing.

Train Test Administrators and Proctors
• You are responsible for training all test administrators and
proctors, including non-school-based instructors (e.g.,
itinerant teachers). You must train several employees to
act as possible alternates.
• Test administrators must be certified educators.
• Test administrators who will administer the test to students
using large print, braille, and one-item-per-page materials
must be trained in the use of those test materials.
• For students with accommodations, make sure that test
administrators are aware of and have made provisions for
the exact accommodations needed for individual students.

Meet with Technology Coordinator
• It is important that technology coordinators understand their
responsibilities before, during, and after the computer-based test
administration.
• Review the instructions and information available at
www.FLAssessments.com/TestNav8, as well as all test
administration and security policies and procedures included in the
manual, with your technology coordinator and create a plan for
handling issues during testing.
• Technology coordinators are required to sign the Test
Administration and Security Agreement.
• The technology coordinator should also be involved in all planning
meetings to provide input on logistics and resolve any network
issues.

Computer and Device Preparations
• The Infrastructure Trial must be loaded on each workstation or
device prior to a computer-based test administration.
 The Infrastructure Trial uses mock content that simulates the
loading and processing of an operational test administration.

Arrange CBT Practice Test Sessions
• Schedule and arrange practice tests (ePATs) as described in the
Spring/Summer 2016 NGSSS CBT Manual.
• Before a student can participate in a computer-based administration, the
student must complete the appropriate ePAT(s) to learn how to use the
computer-based system.
• Students who previously participated in a TestNav 8 ePAT during the
2015-16 school year, for the subject test they are scheduled to take are
NOT required to participate in an ePAT session for this administration.
• Students who require accommodated CBT forms (e.g., text-to-speech,
masking) must also complete the appropriate accommodated practice
tests(s).

• Test sessions were created through the PreID file upload. You will
see these sessions when you log in to PearsonAccess Next.
• You may begin working on your test sessions in PearsonAccess Next after
the PreID window closes:
– FCAT 2.0 Retake and NGSSS Algebra 1 Retake EOC: February 8
– NGSSS Biology 1, Civics, and US History EOC: March 7
• The PreID test sessions can be temporary sessions for the purpose of
verifying student information, or they can be test sessions you plan to
use for testing.
– Fewer than 100 students in a test session is recommended as best practice.
• Detailed instructions on how to create a test session and verify student
information are on pages 45-50 of the Spring/Summer 2016 NGSSS CBT
Manual.

Verify PreID Labels for NGSSS PBT
• Before applying PreID labels to student answer documents:
o Verify that the student is still enrolled and will be tested.
o Verify the information on the PreID roster against the school’s
student information database.
o FIVE elements MUST be correct on a student PreID label:
 Student name
 Student ID number
 District number
 School number
 Grade level
o Destroy labels in a secure manner if ANY of this information is
incorrect.
o If any other preidentified information (e.g., date of birth) is
incorrect, use the PreID student label.

Student Enrollment Information Box on the back of the book to
indicate whether the student is currently enrolled in, was previously

Course List Box.
• There are fields in PearsonAccess Next to enter this information when
adding a student for CBT testing.

To STOP a test session, all students in the session must be in
Completed or Marked Complete status and any Ready students
have to be removed.

CBT clean-up activities must be completed by 4:00 pm on
the last day of the testing window:

FCAT 2.0 Reading and Algebra 1 Retake EOC CBT: April 7
•
NGSSS Biology 1, Civics, and US History EOC CBT: May 20
• “Delete” all not started sessions and “Stop” all started sessions
– Absent students should be removed from the test session (not
marked complete).
 If absent students have already been marked complete,
nothing else needs to be done.
– Students in “Ready” status must be removed from the session
before it can be stopped.
– If students are in “Active,” “Exited,” or “Resumed” status, they
will need to be marked complete.

• Update student information, if necessary.
• Correcting Student Profiles (CBT)
– Incorrect student profiles in PearsonAccess Next that were
created via the New Student wizard may be updated before or
after testing.
– Contact SAET at 305-995-7520, to submit a request by 10 am on
the last day of the testing window
– SAET will submit the request to Pearson Customer Support.
• Invalidate tests, if applicable.
• Ensure that school technology coordinators purge test content from
the Proctor Caching computer(s).

• The DNS bubble must be gridded when a test is invalidated or when a
document is defective and USED according to the guidelines in the manual.
• If a DNS bubble has been gridded by mistake, erase the DNS bubble and
grid the UNDO bubble. Then package the document with all other TO BE
SCORED materials for the student to earn participation credit.
• If a situation described in the Test Invalidation Policies and Procedures
section on pages 25–26 of the NGSSS CBT manual occurs, and pages 1718 of the FCAT 2.0 Science Manual; test administrators should discuss
the situation with the school assessment coordinator, and the situation
should be investigated immediately.

1. Verify that you have included all documents from make-up sessions before you complete the
forms.
2. Complete a separate Document Count Form for each Special Program and for TO BE
SCORED special document (large print, braille, one-item-per-page) materials. Do not copy
blank count forms; however, once the count forms are completed, you may copy them for
your records. If you need additional count forms, contact TDC at 305-995-3743.
