Tracking students

We will have a new integrated website for
use by all concerned with the administration
and result presentation for the Contest.

CSES will be replaced by an on-line form.
Teachers or administrators will list their
students on the website to counteract errors
in students bubbling their information.
Students that are not listed in the on-line form
will still be accepted, but their bubbling errors
cannot be corrected automatically. If
students are lost, we will have a “lost and
found” of missing students and will be able to
track them down.

Answer sheets will be branded with a preprinted code that will allow us to determine
which chapter the answer sheet originated in.
Answer sheets will be re-designed to
accommodate a new school teacher code
that will be unique for each teacher
Administrative details

Administrators provide national with teacher
contact information (name, school, email), which
will create an account for each teacher.
The teachers are expected to log in to register
students. It is possible for the Administrator to
enter student data if necessary. The Administrator
can place a cap on the number of students the
teacher can register, as in how many they have
paid for, if desired.

Teachers use their accounts to register their
students, and after results are done, they will
be able to download their own students’
results.
Results are unavailable to the teachers until
both the Chapter Administrator and the
National Director are convinced that the bulk
of the errors are corrected. Corrections will
be made online, with reports shadowing the
corrected information.

We are working toward having proctors mail
their answer forms directly to the new
Scoring Center.

We will be able to pre-register the majority of
the students with the on-line CSES, but still
be flexible enough to accommodate last
minute substitutions, additions, or
replacements.
Teachers will use their e-mail address as user
name and a one-time password. Chapter
Administrator will not have to coordinate login credentials, as they are self-serve.

Better tracking of student data.
Ability to correct errors once, instead of our
current system of corrections on the chapter
level, then on the national level.
Proctors returning the answer sheets directly
to the scoring center will eliminate the
collection duty now burdening Administrators.

As data is uploaded from scanned forms, the
database grows- bit by bit- and the reports
drawn against that data simply get more
detailed and complete through time.
Scanning and reporting are thus an
incremental process, easing administrative
load.
Answer sheets completed in pen will not
automatically be eliminated.

For those Chapters with large enough
participation, the website will calculate a
Chapter percentile in addition to the
National.
Standard reports are generated in Acrobat
format, right in the browser. Student data is
available for download to all, the scope
being restricted to the user’s role, for
custom reports.

Administrators can share report templates
with other Administrators, since everybody is
drawing data from a common format,
enforced by the website. The popular ones
may become “official.”
Special reports and/or documents may be
posted by the Director, which use the online
student database; such as prize packing lists,
certificate lists, etc.

This new system can grow and be used in
the future for possible on-line testing.
Steps for National

Choose new vendor for scoring center, based
on responses to requests for information sent
in June.
Design new answer sheets.
Set up new server and obtain web address.
Prepare new websites and create training
information.
