Salary Encumbrance - Notifications
• In our Key Announcement Friday January 15, 2016 we
notified our campus front offices that there was a
problem with salary encumbrances and that UT SIS was
working on a solution to correct

• In our Key Announcement Friday February 5, 2016 we
notified our campus front offices that it was “still” not
working and we were waiting on more information from
UT SIS
Salary Encumbrance – Liquidation
Recommendation by UT SIS
• March 4, 2016 UT SIS gave each campus
an option to liquidate all remaining salary
encumbrances until the issues that are
causing errors in the encumbrance values
can be resolved. They also provided a
summary of this issues identified.

• Hourly Employees Being Encumbered
• Impact for UTSA is $1.5M
• Negative Encumbrances (Oracle Case has been Opened)
• Impact to UTSA is $460K
• Liquidation of Encumbrance without Cause (Oracle Case
has been Opened)
• Impact to UTSA – Difficult to determine the impact
• Updates to encumbrances due to job changes and funding
changes has not occurred since late January
• Impact to UTSA – Out dated encumbrances at this time
Salary Encumbrance
Update as of Today
•
March 14, 2016 UTSA initiated Service Now Ticket to UT SIS requesting that
salary encumbrances be liquidated until issues can be resolved.
•
UTSA request included our desire to have them re-encumbered effective
6/1/2016 so that we have encumbrances through the summer.
•
The actual liquidation must be completed after hours and in between payroll
processes.
•
We sent out a “Special” Key Announcement yesterday letting you know the
process to liquidate has started.
•
Another Key Announcement will be sent once complete.
•
After the completion Key Announcement, please email us at
[email protected] if there are any salary encumbrances that remain so
that we can work with UT SIS to clean up any “stragglers”.
