Entering Your Data
Quick Mark, Grid View,
Quick Look Up
Objectives for the Training
● Learn how to add data to an individual
regardless of the contact method
● Learn how to best utilize the Activists Codes
● Learn tagging survey questions to folks not
included on a walk/call list
Data Entry
● Accurate Data Entry enables us to have the
best lists during Get Out The Vote
● The more recorded data we have, the more
accurate our lists will be.
● There are different data entry tools for the
different types of data we are collecting.
Load Data
There are multiple tools with
which we enter data.
The type of data we need to
enter determines which
tools we need to use.
First, QuickMark
QuickMark
an activist code is a unique marker we can use
to distinguish a group of people in the voter file.
Quick Mark is used to apply a certain type of data to a
group of people that do not fit a certain search criteria.
This tool is best used with a group of people that attended
an event and signed their support.
For our purposes today, we will be adding Activist Codes
Select the Type of Data to be Entered
If we want to tag the Spanish speakers from the event
we attended, we can use the “Demographics: Spanish
Speaker” activist code.
We can choose to apply a date or not
Enter yourself as the canvasser, and finish the data to
be entered.
Search the Voter File
From this screen, you can search for any person within the voter file.
SmartName technology matches a name
like Maria to Mary
Excluding Unregistered Voters limits the search to
only registered voters.
Selecting Save/Search applies the code. Once the code has
been applied, the checkbox will be grayed out and no
changes can be made from this screen.
Selecting the checkbox under AC will select the person to whom the activist code applies
Continue Through the List
Continue to apply the same code to each
individual until you reach the end of your list.
These are searchable in Create a List, so these
folks are easily found again, in case you need a
Spanish speaker at an event.
Entering The Data
After you finish your calls,
entering the data is the next
step. Best practices include
entering the data the night it
happens.
Grid View is the quickest way
to enter data from call lists.
You will be prompted to enter a list number.
You will find the list number at the bottom of the
call/walk list.
Enter your list number in the boxes to identify for which list you are
entering data.
This alert will pop up every time you want to change the list to which you make
edits. You will always select OK to move forward.
From this point, you can select a canvasser. The
canvassers are stored last name, first name, so if you
are looking for a canvasser, be sure to type at least the
first three letters of the last name.
If you are a new canvasser, then you should select add
new canvasser. This will walk you through the steps of
storing yourself as a canvasser in the VAN. This way
you can track your progress in voter contact.
From this screen, a grid pops up to create an efficient way to enter data. Result is the result of the
phone call, DemTicket is the ID for the Democratic Ticket, PrChair is used to identify potential new
precinct chairs (which is not necessary in some places), CountyVol is a volunteer ask and 14 for 14
is a fundraising question.
You can enter all of your data from this screen.
Be sure to match the phone number to the data being entered.
Each piece of data we retrieve helps to build our GOTV universe from which we select our voters.
The more data we have, the more accurate our Ballot Chase will be.
SAVE AND SAVE OFTEN
Make sure you click on one of the floppy disc icons to
save the data.
Once you save the data, you can move on to the next
page of names and data.
TIP: Use “Mark Remaining Not Home” to mark the
blank canvass responses “Not Home”
Using Quick Look Up for Data Entry
Quick Look Up is a tool that is used to find a specific person within the voter file. Using quick look up enables us
to enter very specific data to a very specific person or group of people.
Searching for people
Entering data you know for sure will match will save you time.
Narrow your search by county to save time
Search Results
The results of your search will pop up underneath the search fields. Click on the name for more
information about the voter.
This tool is
especially
helpful if you
are speaking
with a
spouse that
did not show
up in the call
list.
Clicking on
the plus sign
expands all
the blurbs so
you can see
what data
lives under
each header
The VANID is a unique identifying number
assigned to a voter. You can search this database
by VANID.
You can view survey responses or
add new ones here.
To the right
you can see
the vital
statistics of
a voter.
You can see
the districts
in which the
voter lives
and the
other people
in the
household.
Add A New Survey Response
You can view previous responses by expanding the view. Click on the box
and the header will expand to reveal the corresponding data.
From this screen, you can
see the survey responses
that the voter has given.
In this particular case, no
questions were answered
by the voter.
To add a new survey response, click on
the “add new survey response” link.

In this screen, fill in the corresponding fields
and then save the results.
