1. Files Inventory & Care

• • • • • • Full list of files in each office All files including note file shall be properly page numbered as per established office procedure All important papers must be parts of current file No loose papers hanging in the files All important files, e.g. those involving land/assets, liabilities, finance and other critical matters shall be photocopied: one for archives, one copy for Office and one copy for section List of files shall should be computerised after categersitation (e.g. Land related, personnel, investment and scheme, Gos/Guidelines, Court Cases etc.,) using the following format

2. Employees data

• • • • • Basic details of all employees (regular, work-charged, NMR, contract, out sourced etc.,) submitted by all DDOs to HRMS of Finance department.

This information is to be verified by all for accuracy In any discrepancy should be corrected immediately so that all personal records are corrected up to date.

All Departments to have complete information about each category of employee.

The names of every individual paid directly or indirectly from Government budget for the last 6 months shall be in the computerised list.

4(1): Buildings in Hyderabad and properties across state • List of Buildings and Properties located – within GHMC, – out side GHMC in the state – Out side State

4(5): Apportionment of Assets and Liabilities – Contracts • • List of contracts to be apportioned Irrigation Dept to coordinate

4(7) : Employee Allocation

• • The employees of local, district, zonal, multi zonal cadres which fall entirely in one of successor states are deemed to be allotted to that successor state The rest of the employees would be allocated based on their options and other guidelines that would be evolved by the advisory committee to be appointed by the Central Government.

Pensions

• • Service books of retired employees AE/AEE and above to be handed over to the O/o ENC(AW) by special messenger by 6 th March 2014 All pension related files to be processed immediately.

4(9) : Irrigation – Krishna and Godavari Management boards • • Workout operational guidelines, staffing pattern, budgets, office locations, procedural protocols, Study similar boards elsewhere in the country to understand the intricacies of functioning.

4(13): Services • Issues related to – appointment, – seniority lists, – holding DPCs, – declaration of probation, – pending employee association issues, – preperation of service rules and codes

4(14): Court cases and Laws • List of cases in – Supreme court, – High Court – APAT Where Government of AP is party should be prepared

5 : Departmental Restructuring & Reforms • • Structure and staffing of practically all departments will need to change when two states come into existence Some of outfits which have lost relevance to be closed or merged with other
