To Get Started…
Open PowerPoint by going to the
“Start” button, finding Microsoft Office
and then PowerPoint
 Another way to open PowerPoint is to
double-click on the red PowerPoint
icon that may be on your desktop

Parts of the Window

The window
consists of toolbars,
navigation pane,
task pane, notes
pane, and the main
slide pane
Normal View

Normal view

This is the view that
you will work in
when creating a
presentation
Normal View with Outline


Instead of the slide
thumbnails you can
click the Outline tab
The advantage of
using the Outline
tab is that you can
edit directly in any
slide from this
section
Slide Sorter View



You can view all (or
most) of the slides in a
presentation in this
view
You can rearrange
slides in this view by
simply dragging and
dropping to the new
position
Normal view with
thumbnails you can
only see six slides at a
time
Slide Show View

You can access the
slide show by the
menu bar


View show
You can also start
the slide show by
clicking the third
button below the
navigation pane

Once in slide show
view, you can control
the show with the
mouse, keyboard, or
on-screen controls
You can also write on
the screen through the
control options

Right-click on the “pen”
control, then choose
pointer options to choose
pen type/color

Open PowerPoint
 File-New
 Click icon on menu bar (blank paper)

Choose design (use task pane)
 Choose default layouts or change as
needed to add graphics, charts, etc.

Save Presentation



It is a good habit to save your presentation
when you create it and then to often click
the save icon to ensure that you do not
loose data
Remember that the default location is “My
Documents” and the default file name is
“Presentation1.ppt”
You may change either of these defaults
when you first save your presentation
Masters


If you want to make a change that will
affect the entire presentation such as
layout or font, then you make that change
on the master
Go to “View” and “Master” which gives you
three choices



Slide
Handouts
Notes
Masters
Most of the time you will need to go
to the slide master, this is where you
can change the font, background, etc.
 There is a master for the title slide
and a separate master for the rest of
the slides in the presentation

Add Text

To add text to a slide simply click
inside a text box and type

Default layouts
 Title
slide for first slide
 Title and Text default for rest of presentation
 Change the layout through the task pane





Blank
Title and 2-Column Text
Title and Content layouts as well
Add Additional Slides

To add additional slides to your
presentation, click the “New Slide”
button on the Formatting toolbar
When you add a new slide to a
presentation it will automatically have
the default “Title and Text” layout
 If this layout is not what works best for
your information, change it via the task
pane

Delete and Copy Slides
You can delete a slide by rightclicking on a slide and choose delete
in the navigation pane or in the slide
sorter view
 You can copy a slide by right-clicking
and choosing copy, then you can
paste into another presentation or in
the same one

Notes

You can add notes to a presentation
in two ways
Notes pane which is located at the
bottom of the slide in “Normal” view
 The “Notes Page View” allows you to
type in notes while seeing how those
notes will print

 Access
“Notes Pages” under “View” in the
menu bar
Tips




Remove bullets by clicking the “Bullet” icon
on the Formatting toolbar
Use the “Increase” and “Decrease” buttons
on the Formatting toolbar to move your
bullets back and forth
Reorder slides via thumbnails or use the
slide sorter view
Use “Spell Check” to double-check your
presentation
View Show



During the creation of a presentation or
after it can be helpful to view your
presentation
You can view the show through the Menu
bar by using “Slide Show” then “View
Show”
Another way to start a show is to click the
third button at the bottom of the
navigation pane

This button starts the show at the current slide
while using “View Show” starts at the beginning
Print Preview and Print
Once you have finished you are ready
to print your presentation if you need
hard copies
 First, go to “File” then “Print Preview”
to view the different ways that it
could be printed out


Drop the “Print Now” menu down to view
the different formats available

You can print right from “Print Preview” or
through “File” then “Print”
The “Print Dialogue” box allows you to
choose how you want to print out a hard
copy


Slides
Handouts
Notes Pages
Outline View
Print Preview and Print

Other options include




Number of copies
Range of slides to be printed
Color, black and white or grayscale
Multiple slides (1 to 9) can be printed on
the same page through the “Handouts”
option

Most common options


6 slides to a page
3 slides with lines to write notes
