A Step-by-Step Overview

This presentation will show you how to enter hours that you serve in the ADVANCE AmeriCorps program participating in training/member development activities. If you want to know how to enter Direct Service activities, including fundraising, see the presentation

Entering Direct Service Hours.

Only 20% of an ADVANCE member’s hours can be training/member development. This is approximately 60 hours.

This includes activities that are:* 1.

instructional and support a members’ ability to serve effectively in their placement or 2. improve the members skills, knowledge and self-awareness • • • • •

Examples include:

Orientations Trainings Reflection Sessions Cluster meetings and conferences Professional conferences and workshops relevant to mentoring/youth development

*** This is NOT trainings that you conduct or facilitate at your service site but those in which you are a participant only.

This is the welcome screen , after you enter the URL for your campus site. You will enter the password you received in your Welcome E-mail.

This is your Home Page Your Name will be here To enter new hours click on Hour Logs in the sidebar.

Important messages will be posted on this page and it will show the summary of your hours. Make sure it matches your records. It also shows whether or not your Campus Coordinator has approved your hours and whether the ADVANCE Program Director has also approved them. 5

This is the first screen you will see. Make sure the date in this header says the month and year for which you are logging hours!

#1 To enter training hours, first you must add the training. Click on Training & Member Development in the sidebar on the left under Positions and Trainings. Then you will arrive at the screen below. If you have previously entered a training, it will show up. #2 In the drop down menu, select, Add Training.

#3 On this screen, first select the service site. Give the training a Title and Description. For example: Title:

Description:

My Site Supervisor gave me a tour of the school, reviewed the volunteer handbook and showed me a video about effective mentoring.

Select the location where the training occurred. The options are Campus, School (this means at a K-12 school), Community (this means at a site other than a K-12 school) or National (if it is a national training like a webinar where people are participating from multiple sites) #4 Enter the date and time and primary topic area. Then click Save at the bottom of the page. 8

#5 You will be taken to the next screen and the training will be listed.

#6 Now you can go back to the hour logs tab and you will see the Orientation as a option under Training & Member Development and you can proceed to enter the training hours under Add Log Entry. 9

Step #1 In the calendar, click the date for which you are going to enter training hours. Step #3 Select the training. Step #2 You will see that the date under Add Log Entry will change to that date!

REMEMBER THAT ONLY QUARTER HOUR FORMAT IS ALLOWED!

•If you serve 15 minutes or less, click 15.

•If you serve between 16 and 30 minutes, click 30.

•If you serve between 31 and 45 minutes, click 45.

•If you serve 46 minutes or more, please round up to the next hour and leave minutes blank. #4 – Enter your hours in the Add Log box at the top 11

# 5 Make sure that your hours are entered correctly on the bottom of the page under the Complete Hours Log section. 12

Check the totals on the page. If you need to make corrections go back to the Log Entry tab, click on the day with the error, make the changes and then save the changes. Checking Your Totals To see the status of your hours, Click on the Report Tab 13
