CHAPTER 21 Enhancing a Presentation Learning Objectives • Work with slide masters • Insert graphics • Create SmartArt diagrams • Customize animations by changing options • Add video to a slide • Add sound to a presentation • Broadcast a presentation CMPTR 3 Mater Layouts • There are four mater layouts available in PowerPoint. • The theme Slide Master is the primary slide master for a presentation. • A layout master is a slide master for a specific layout in a presentation. • Handout masters contain the elements that appear on printed handouts. • A notes master contains the elements that appear on the notes page. Working with Slide Masters • A slide master stores theme elements and styles, as well as text and other objects that appear on the slides in the presentation. • Topics Covered: • Working in Slide Master View • Modifying Elements in the Slide Master • Modifying Text Placeholders in the Slide Master • Deleting a Graphic from the Slide Master • Inserting Clip Art in the Slide Master • Closing Slide Master View • Modifying the Slide Background Working in Slide Master View • To view the slide masters, you need to switch to Slide Master view found on the View tab. 6 Modifying Elements in the Slide Master • If you want to make additional changes to the overall look of slides, it is a good idea to make this type of change in the slide masters rather than on the individual slides. • You can also add placeholders to an existing layout master or you can create a completely new layout master. • You select the placeholders by clicking on the placeholders button on the Slide Master tab. 7 Modifying Elements in the Slide Master • You can adjust the size and position of text placeholders on slides, just as you would an ordinary text box. • You can also delete placeholders if you want. • You can delete graphics in Slide Master view. • You can also add graphics to the slide master. • To add clip art or a picture to the theme Slide Master or to specific layout masters, you must use the Clip Art or Picture button in the Images group on the Insert tab. Closing Slide Master View • When you are finished modifying the slide master, you need to close Slide Master view and return to Normal view. • You should always examine the slides in Normal view after you make changes to the slide master to make sure they look as you expected them to. • You can switch back to normal view in two ways; • Click on the Vide tab and select normal view • You can also click the Normal button on the status bar to close Slide Master view. Modifying the Slide Background • You can customize the background of slides in a presentation in both • Normal view on the Design tab • Slide Master view. Selecting Appropriate Font Colors • When you select font colors for use on slides or when you modify the slide background, make sure your text is easy to read on the slide during a slide show. • Font colors that work well are dark colors on a light background, or light colors on a dark background. • Avoid red text on a blue back-ground or blue text on a green background ( and vice versa) unless the shades of those colors are in strong contrast. • Also avoid using red/ green combinations, which colorblind people find illegible. Drawing a Shape • Another way to add a graphic to a slide is to draw it using tools available in PowerPoint. • To add text to a shape click on it and start typing. Formatting Graphics • You can apply formatting to any object on a slide. • You do this by double clicking on the object. • This will open the formatting options for the type of object you have selected. • Two examples are; • Picture Tools • Drawing Tools Inserting and Formatting Text Boxes • Sometimes, you need to add text to a slide in a location other than in one of the text box place-holders included in the slide layout. • You can insert a rectangle shape and add text to it, • You can add a text box, an object designed to hold text. • To insert a text box • click the Text Box button in the Text group on the Insert tab • use the Text Box shape in the Shapes gallery. • When you enter text in a text box, the text box will keep widening to accommodate the text you type. If you want the text to wrap to additional lines, drag a sizing handle to change the height of the text box object. Creating SmartArt Diagrams • Topics Covered: • Creating a SmartArt Diagram • Modifying a SmartArt Diagram • Formatting a SmartArt Diagram Creating SmartArt Diagrams • Types of diagrams you can create using SmartArt: • List -Shows a list of items in a graphical representation • Process - Shows a sequence of steps in a process • Cycle - Shows a process that has a continuous cycle • Hierarchy - Organizational charts shows the relationship between individuals or units within an organization • Relationship Venn diagrams, radical diagrams, target diagrams Shows the relationship between two or more elements • Matrix - Shows the relationship between two or more elements • Pyramid - Shows foundation- based relationships • Picture - Provides a location for a picture or pictures Creating SmartArt Diagrams • To create a SmartArt diagram, you can • Click the Insert SmartArt Graphic button in a content placeholder, • click the SmartArt button in the Illustrations group on the Insert tab to open the Choose a SmartArt Graphic dialog box. Modifying a SmartArt Diagram • A SmartArt diagram is a larger object composed of smaller objects. • You can modify the diagram by adding or deleting shapes, modifying the text by changing the attributes, and changing the way the shapes look. • You can also modify the diagram as a whole. Formatting a SmartArt Diagram • As with any object, you can add formatting to a SmartArt diagram using the commands on the SmartArt Tools Format tab. Changing Animation Options • Topics Covered: • Changing the Effect Options • Changing the Speed of Animations Changing the Effect Options • To animate a graphic, you simply select the graphic, and then select an animation on the Animations tab. • Most transitions also have options you can change by clicking the Effect Options button on the Transitions tab. Changing the Speed of Animations • To change the speed of an animation, you change the time in the Duration box in the Timing group on the Animations tab. Adding Video • Topics Covered: • Inserting a Video on a Slide • Formatting a Video • Changing Video Playback Options • Trimming a Video • Setting a Poster Frame Inserting a Video on a Slide • PowerPoint supports various fi le formats, but the most commonly used are • the Audio Visual Interleave format which uses the file name extension .avi • and the Windows Media Video format, which uses the file name extension .wmv. • You can insert a video clip in two different ways: • Change the layout to one of the content layouts, click the Insert Media Clip button, and then use the Insert Video dialog box. • Use the Video button in the Media Clips group on the Insert tab. Formatting a Video • Videos can be formatted just like pictures. • you can apply a style, apply special effects, crop the sides of a video, or resize it by drag-ging the sizing handles. • However, be very careful if you resize a video. Normally, you don’t want to change the proportions of a video because it will distort the image. Changing Video Playback Options • You have the following options available for video playback • Volume - Change the volume of the video from high to medium or • • • • • low, or mute it. Start - Change how the video starts, either when the presenter advances the slide show ( On Click) or automatically when the slide appears during the slide show. Play Full Screen - When selected, the video fills the screen during the slide show. Hide While Not When selected - the video does not appear on the slide when it is not playing, make sure the video is set to play automatically if this option is selected. Loop Until - When selected, the video will play continuously until the next slide appears Rewind After When selected - the video will rewind after it plays so that the first frame or Playing the poster frame appears again. Trimming a Video • If a video is too long, or if it contains parts you don’t want to show during the slide show, you can trim the clip from within PowerPoint. • To do this, click the Trim Video button in the Editing group on the Video Tools Playback tab • then in the Trim Video dialog box, drag sliders to indicate where you want the video to start and stop. Setting a Poster Frame • A poster frame, sometimes called a preview frame, is the image that appears before the video starts playing. • The default poster frame for a video is the first frame of the video. • You can change this so that any frame from the video or any image stored in a file is the poster frame. LO21.6: Adding Sounda SmartArt Diagram • Topics Covered: • Inserting a Sound Clip • Changing Playback Options for a Sound Inserting a Sound Clip • Music clips can add interest to a presen-tation and help create a mood that reaches the audience on an emotional level. • PowerPoint supports most digital music fi le formats; but to ensure it works seamlessly, try using Wave or MP3 files. • To add a sound clip to a slide, use the Audio button in the Media group on the Insert tab. Changing Playback Options for a Sound • Similar to videos, the options for changing how the sound plays during the slide show appear on the Audio Tools Playback tab. • Sound clips can • start playing when you click the Play button on the play bar in the slide show (On Click) • they can start Automatically when the slide appears on the screen during the slide show • they can be set to play throughout the rest of the slide show (Play Across Slides).
