SALES TAX
 Although CA is a non-profit organization, we still need to





pay sales tax at the point of sale
Do not have a vendor not charge you sales tax-it creates
more work because we need to calculate and send money
to the Dept of Revenue as use tax
CA recoups sales tax paid every 6 months by tracking it
separately and then completing a sales tax refund return
We may recoup sales tax on food up to 6.75%
Sales tax must be charged on items sold through
fundraisers IF the fundraiser lasts more than 60 days
Sales tax charged outside of North Carolina can not be
recouped unless it is NC Sales Tax charged by an online
vendor
PURCHASING CARDS
Why use p-cards?
 Purchasing convenience for 96 employees
 Allows CA to recoup sales tax that would be lost if purchases
done through expense reimbursement; over $31,000 in sales
tax charged through p-cards last year
 Provides income to the school through rebate received; last
year - $15,410
How can help you make the process smoother?
 Remember to put your initials at the beginning of each charge
you allocate online
 Meet the due dates for coding online and turning your report
in to your manager
Student Transportation
 CA vehicles are always the first choice; parent or employee





vehicle only if there is no other option
CA insurance does not cover personal vehicles
Drivers of personal vehicles as well as the personal vehicle itself
must be approved in advance
Must always be at least 3 people, including driver, in vehicle
(unless single passenger is related to driver)
If student being transported is not related to the driver, written
permission from parent must be obtained in advance
Driver Approval lead times:
 Personal Vehicle - 2 business days
 CA Activity Bus – 5 business days
 In process of updating CA Activity Bus Driver Approval with new
insurance company

When using a CA bus or van, PLEASE:
 Return it on time
 Return the bus key to Facilities right away
 Return it with a full tank of gas
 Return it clean
Athletic Facilities Rekeying
 All of the Athletic Facilities were rekeyed at the end of
the school year
 Common key no longer works
 Employees still have the same access; will need to call
Security after hours to open facility
 Coming soon-a badge reader on the Weight Room for
employees!
Employee Injuries and
Worker’s Compensation
• On the job injuries that require medical treatment must be
reported
• Report to both your division head and the HR Manager;
report must be filed with NC within 5 business days
• Non-urgent treatment is to be handled at our designated
worker’s comp clinic:

Harassment Training
 On-line harassment training was supposed to be
completed by this past Tuesday
 We still have 30 employees who need to complete
 Must be completed as soon as possible and no later
than the first day of school

Background Checks and Hiring
• Background check required in advance when someone
works one on one with students. Examples: substitute
teachers, tutors, extracurricular coaches and
instructors, camp instructors
• Not sure? Ask Belinda Blackwood or Debby Reichel
• Try not to hire for just one day….
• New hire paperwork must be completed no later than
the first day of employment and preferably prior to
ensure we have the right documentation ahead of
time.

Paperless Payroll Checks

Beginning with September 30 paycheck, paycheck stubs will be accessed
electronically via the Paychex website
• Link to how to create an account will be emailed and can also be found on
employee portal at MyCA
• W-2 at year-end will continue to be mailed but will also be accessible online

• No changes as of yet; we will continue with our current domestic partner

Healthcare Reform
 What’s already happened
 Dependents up to age 26 must be covered regardless of student status
 Emergency services covered without pre-authorization
 No authorization or referral required for OB/GYN services
 No pre-existing exclusions for enrollees under age 19
 OTC medicines no longer covered under FSA unless obtained with a
prescription (unless insulin)
 Summary of Benefits and Coverage provided to all covered employees
 Plans must comply with guidelines for providing preventative care for women
 Employee contribution to health FSA limited to $2,500 per plan year
 PCOR and Reinsurance fees charged to fully insured plans to help pay for
healthcare exchanges
 What’s coming (2014)
 No pre-existing exclusions allowed for anyone
 Health Insurance Exchanges open
 Coverage for routine costs of approved clinical trials
 Addition wellness incentives implemented
HELP WANTED:
Employees who care about the environment and are
willing to share their new-found composting expertise
with students during lunch in short 10-15 minute
sessions during lunch
Translated: We need a number of willing souls to help
supervise students in the indoor and outdoor dish/trash
areas during lunch for the first three days of school to
ensure composting, recycling and trash is being handled
correctly. Training will be provided!
