Bren 101 for MESM Students
(Part I)

The Student Affairs Office
• Provide day-to-day administrative and advising support for
MESM and PhD students
• Coordinate all aspects of admissions to MESM and PhD
programs
• Counsel and recruit prospective students
The Bren Graduate Advisor
• Primary contact for Bren graduate students who need
assistance
• When in doubt who to ask, what to do, etc seek advise from
the staff graduate advisor
• Communicate via gradasst@bren rather than individual’s
name@bren
– Except if you are sending a confidential email
– Why? More reliable service (e.g. grad advisor on vacation-> someone
else processes gradasst@bren)
• Currently, in the process of recruiting a new graduate advisor
• For now, primary contact is Corlei with assistance from two
recent MESM graduates (Ming and Breanna) who are helping
for a couple of months

Bren Hall
The

Floor
Classrooms/Meeting Rooms
• Most classrooms located on the first floor (except for Pine on the 3rd floor
and Bonsai on the 4th floor)
• All rooms controlled by and scheduled by Bren except for the colloquium
room (1414)
• The University registrar has control of this room M-R 8-5
– Registrar schedules large Bren classes in this room as well as other
department’s classes
• Seminar room (1424) generally locked unless in use
• Janitorial staff (Theresa) lock classrooms at 4:45 pm; if not locked in AM
send email to scheduling@bren or come to Dean’s Suite for assistance
• Locked out after hours: contact (805) 893-2000 or (805) 893-8000
• If using a classroom after hours, make sure, double sure, you lock it after
use (most have a little button you just push in)
• If you schedule use of a classroom and use the data projector, please
remember to turn it off; the bulbs cost $500 and don’t last long
Bikes
• Bikes must be locked in designated bike rack areas
• If your bike is not parked in the designated UCSB bike rack you
will receive a ticket from the University Police and/or your
bike will be confiscated
• No bikes are allowed inside the Commons, Kitchen, Periodical
Room etc
• Bike Locker:

Other Few Other Details
• Do not manually hold elevator doors open for
extended time or they will freeze and only central
maintenance can unfreeze them; use the DH (Door
Hold) button
• University policy prohibits smoking in or near
buildings (including the Bren courtyard)

Mailboxes
•
Every student has a small mailbox in Room 2406
•
Check it weekly
•
Faculty and Staff mailboxes are located in Room 2530
•
Mail rooms are open Monday-Friday 8:00-4:00 except for a few early closures now
and then for special events
•
Incoming and outgoing mail is limited to official University business.
•
Bins for on-campus and off-campus mail delivery are in the staff/faculty mailroom,
Room 2530.
•
USPS/UCSB Mail Services Department won’t process stamped personal mail
•
A US Post Office is located in the UCen, and the nearest off-campus mailbox is
behind the MRL building
•
Please note that when you leave the University, the USPS will not forward your
mail that is addressed to the University of California even if you submit a “Change
of Address”
Career Center
• Room 2524
• Library of books on careers, job search, etc., a small
conference table, and 3 computers
• Used for career development exploration and as a quiet room
• Can not be used by students as a room for meetings
• On occasion, the room might be reserved

Davidson Commons
• Space for all MESM students (not just 2nd years) to work, meet,
relax
• Each computer assigned to members of a specific group project;
anyone can use the computer but must relinquish upon request by
a group project member
• Phone can only make on-campus calls (dial 4-number extension)
unless you have a group project budget code to override restriction
• Students are expected to participate in cleaning and up-keep of this
room
Note: there is very little janitorial service these days; they mainly
empty the trash and clean the restrooms, not countertops
Copy Machines
• Students can use the 3rd floor copy machine located in the
Davidson Student Commons
• Your copy codes for access to this machine are the last 5
digits of your 7 digit perm #
• Copies are $0.05 each, double sided copies count as two
copies
• Copy usage will be billed to your BARC account on a
monthly basis.
• Hardware problems-> email purchasing@bren
Student Kitchen & Patio
• Informal place to interact and eat
• Please keep refrigerator fee of disgusting old food
• Please clean up after yourselves (and bit more)
• No hanging wet suits, towels, etc. off balcony of patio; only on
racks
Lockers
1) 8 lockers
-Jeff Kirby: lottery for individual lockers; he will relay
further details by the first day of class
2) Shared lockers
3) Individual locker lottery
4) Dispersal of locks will be the week of Sept 29th
Periodical Room
• 100% quiet room; no meetings
• Bren commitment: at least 2 copies of each required text for
each core course
• Copies for elective classes if we receive donations or free
copies from the publisher
• The books etc. must be used on site; DO NOT remove from
the room
• No storage of personal items
• Please return books to original location after use
• Have a book that might be an appropriate donation?

SCF & GIS
• Compute team sets policies for SCF use
• If issues with supplies, equipment, etc., contact request@bren
• Food and drink in spill proof containers allowed but subject to change
if there are problems and/or mess
• Periodically SCF and GIS (but not usually both at the same time) are
closed for general students use to accommodate workshops, labs, and
classes
• Students self-regulate noise levels; don’t complaint o us– you need to
solve it yourselves
• Expectation is that students will be respectful, keep noise to a
minimum and find alternative locations for meetings and fun
• Students have generally defined the GIS lab as the especially quiet lab
Showers
• Across from the rest rooms on the 3rd floor
• For a quick rinse off after exercising, not for daily personal
hygienic use or any other purposes
• The custodial staff cleans regularly
• No storage of personal items
• No sand in the shower please; it corrodes the pipes and will
quickly ruin the availability of this resource

information
Email
• Use subject line to everyone’s advantage
• Forward emails with extreme caution and respect
• Help reduce email inefficiency
– Only cc when the others really need to know
– Generally only address to one person (cc others as appropriate) so
it is clear who you’ve thrown the ball to and who needs to take
responsibility or throw the ball to someone else
• Be careful what you put in email; you can never be 100% sure who will
end up seeing it
• On a related note: use My Space etc with caution; many employers etc.
now use this as part of “background check”
• If at all possible, communicate in person if subject matter has the
possibility of creating conflict or controversy or if you are upset

Scheduling Meetings
• Schedule meetings that involve the Dean (Ernst) or Associate Dean
(John) via the Dean’s Assistant = Doris Bleecher (doris@bren)
• Schedule meetings with Assistant Dean and other staff members
directly
• By and large Deans have open door policy but they are very busy so
if it is important and time sensitive you probably want to schedule a
meeting
• Direct scheduling of faculty with Corporate Time not advisable
without their permission
• Email first; follow-up after reasonable amount of time with 2nd
email if no response
Room Scheduling

• All other rooms scheduled centrally using scheduling@bren
• Bren staff will not schedule group project or other students
meetings in other rooms unless there is a special
circumstance, or it is a special group project stakeholder
meeting or a group project review meeting
Bren School Events
• Event calendar on web (menu/events & media)
• Emails/email flyers
– Non-public events distributed through all@bren
– Open events distributed through bren-alerts
• Email list serve to announce bren events
• You’ve automatically been subscribed
• We do not allow any flyers etc to be taped to any Bren Hall surface
(except bulletin boards)
• Also, it is important to follow campus rules for proper posting in
other campus locations (regulations located as Associated
Students Office in Multicultural Center
– If you have something appropriate for announcement, please send it
to media@bren for distribution
Emergencies/Safety
• Dial 9-911 from campus phone
• University police = 893-3446 or just 3446 from campus phone
• Don’t hesitate to report anything or anyone that looks suspicious
• Dial 893-2000 or just 2000 from campus phone or pick up red emergency
phone (one between Bren and MSI near road) for Community Service
Organization (CSO) early am/late pm escort service
• If alarm sounds, you must vacate building
– vacate because dangerous chemicals are used in Bren
– Police have ticketed people caught in the building during an alarm even if
it is an advertised drill
– Meet on lawn between Bren and Harold Frank Hall
Graduate Student Health Insurance
(GSHIP)
• Enrollment is mandatory for all graduate students.
• For more info, check out the Student Health Services website

• Coverage effective from 9/2008 -9/2009 without a break in service. There
is no need to re-apply after one year
• All incoming Bren students received coverage effective at 12:01 am on
September 1, 2008.
• Students who have dependents are required to apply quarterly.
• Contact Student Health Services at 893-5361 for further details on
dependant health coverage
Financial Matters
• Myth: You will be paid as a teaching or research asst if
you go to graduate school
• Generally, only true for those pursuing a PhD in science or
engineering
• Highly unlikely that you will be able to fully finance your
education this way
• Only a small percentage of MESM students secure a
position and rarely for all 6 quarters
• Most MESM students fund all or a significant portion of
their education with loans or savings

Financial Matters, con’t.
• First, the Big Question…
• Will you have enough time to work?
• The MESM program is FULL-TIME and nearly all consuming
• You should expect to be engaged in school work a minimum
of 40 hours/week and at times more
• Some students have successfully managed up to 20
hours/week
• Most say < 10 is max
• Some say no time for any!
Teaching Assistant Positions
• Detailed info about TA positions on Graduate Division’s website
1) Provides partial fee remission
– Covers GSHIP and most of fees but not out-of-state tuition
2) Provide salary
– approx. 5K per quarter for 50% (20 hours) time position
• Bren has NO TA positions for MESM student since we don’t have an
undergraduate program
– The few TA positions we have our for PhD students to TA MESM
classes
– University rules don’t allow MESM student to serve as TA’s for
their peers
Teaching Assistant Positions,
con’t.
• May be opportunities in other departments although they
will give priority to hiring their own graduate students
– EEMB, MCDB, Chem, ME, Global Studies, Law and Society, Writing
Program, various language programs, rarely Geol, and Geog
• It’s your responsibility to explore and pursue; in order to
do this, go directly to the dept and explore who you
should talk to (contact person varies from dept to dept)
• We have no power to give or get you a position in another
department
• Most likely opportunity is Environmental Studies (since
they don’t have a graduate program)
– Normally, appoint all TA’s for year in spring
– So… probably limited, if any, opportunity this year
Research Positions
• Detailed info on Graduate Division’s website
• Funded by extramural contracts and grants secured by faculty
• It’s entirely their decision who they hire; “administration” can’t award
these positions
• Most research positions filled by PhD students
• Often link between the research that needs to be done for the grant
and what the PhD student GSR is doing for their dissertation
1) Graduate Student Researcher (GSR)
– Salary + full fee/tuition/GSHIP payment
– High level and fairly independent work
2) Student Assistant (SA)
– Hourly wage only
– If faculty hire MESMs to help with research, it is usually as a
student assistant
Work Study
• If you filed a FAFSA and received financial aid, some of it may be
in the form or work study
• Many positions on campus are directed exclusively to those with
work study

Bren School Awards
• Bren School Fellowships/Prizes
– Recruitment incentives; awards for 1st year only
• Award will be credited to your BARC
• May not show up on BARC until 1st day of classes, Sept 25th
• Used to pay fees/GSHIP/Tuition (non-taxable) first and any extra
beyond that paid as stipend (taxable)
– Stipends disbursed via hard copy check by the Billing Office in
SAASB
– Awardees that secure a TA position (or GSR) must inform
Student Affairs Office (gradasst@bren)
• Award must be deferred to another quarter or changed from fee
payment to stipend (since TA/GSR covers most of fees)

– Doris Duke Conservation Fellows
• 5-6 fellowship providing fee/GSHIP/tuition in 2nd year plus a $5,000
stipend to help with the cost of a summer internship (and a few other
benefits)

October and posted on web
– Fee Fellowship
• One quarter of full or partial fee payment
• Only eligible if you have filed a FAFSA and have demonstrated need
(University requirement)
