Employee Responsible Use
• User account is to be used mainly for
educational purposes, but some limited
personal use is permitted (Doesn’t interfere
with instructional responsibilities)
• District may suspend or revoke your access if
you violate the rules

• Technology Department is exclusively
responsible for installing and supporting all
approved software on district computers
• Selection of all new software begins with the
CISD software evaluation form and is finalized
through approval of the Technology

• All original software will be stored at the
technology center
Inappropriate Use
• Attempting to disable any Internet filtering device
• Borrowing someone’s account
• Downloading or using copyrighted information without
permission from the copyright holder
• Posting messages or accessing materials that are abusive,
obscene, sexually oriented, threatening, harassing, damaging
to another’s reputation, or illegal

• Wasting school resources through improper
use of the computer system
• Gaining unauthorized access to restricted
information or resources
• Posting messages to multiple users, which are
not related to school business (chain letters,
personal advertisements, etc.)
Inappropriate Use
• Wasting school personnel resources by making
computers inaccessible through either physical
environment or blocking remote access by
password changes, program deletion or screen
savers, etc.
• Sharing of security passwords or features for
logon or applications or promoting activity to
discover security passwords or features

• Leaving computer unattended by authorized
user and/or not logging off system or secure
program
• Participating in any chat room accessed on the
Internet
System Access
• Employees and students in grades 2-12 will be
assigned individual accounts
• District requires that all employee passwords be
changed every 45 days (a forced password
change will be initiated after 90 days)
• All users will be required to sign a user agreement
annually for issuance or renewal of an account

• System users will have 5 gig of data storage
available on the network
• System users must purge electronic mail with
established retention guidelines (20 meg
storage on network)
• System users must not move computers or
telephones

• Students may not distribute personal information
about themselves or others by means of the
electronic communications system
• A student who gains access to inappropriate
material is expected to discontinue the access as
quickly as possible and to report the incident to
the supervising teacher

• A student knowingly bringing prohibited
materials into the school’s electronic
environment will be subject to suspension of
access and/or revocation of privileges on the
District’s system and will be subject to
disciplinary action in accordance with the
Student Code of Conduct

General Guidelines
• When sending important information, don’t
assume your recipient will read it immediately
• Use judgment in distributing large enclosures
• Don’t use enclosed documents for very-short
messages
Sending Messages
• Don’t copy your administrator or other staff
on unnecessary messages
• Avoid long distribution lists
• Don’t send messages just to say “thanks,”
“o.k.” and things of that nature
• Think about what you’re doing when you
communicate with other employees by e-mail
The Subject
• Be descriptive in the subject title
• Don’t make the title too long
The Body of the Message
• Be direct, and get right to the point
• Choose your words carefully
• Use new paragraphs to show a change of
direction in thought
• Separate paragraphs with a blank line
• Watch that punctuation!!!!!

• Don’t get too “creative” with text or graphics
• Never put anything in an e-mail message that
you wouldn’t put in a memo
• Take a breather before you reply to an
e-mail that elevated your blood pressure
Additional E-mail Information
• The district e-mail network is provided for school
use. It is inappropriate and against district policy
to use the system to send jokes, information
pertaining to non-school related activities, chain
letters, and political opinions, etc.
• Always delete unknown e-mail attachments
before opening them
