E-Mail Tool Bars
Outlook 2010
The Basics
Address Book
Allows you to find
anyone who has a
district email
account
 It works just like a
search engine

Address Book Icon
 On the Reply Screen there is
an Address Book Icon.
Search Button

Allows you to
search for a
message that
someone has
already sent you
that might be
somewhere in your
inbox
View Reading Pane
Allows you to read an email message on your
screen first without opening
it.
 Click View and check how
you want it to be displayed

Forward
Allows you to send the message to
someone else without re-typing it.
 The recipient will see everything on your
message as well

Reply to All

Allows you to send your response to
everyone that the message was sent to
– For example: You want to reply to all the members in your Learning
Team about your ideas for an upcoming project.
Reply

Message will go only to the person who
sent it to you
– For example: Ms. Jones asks me to help her with the computer. I hit
the reply button letting only her know that I will be there in a few
minutes.
Delete



Allows you to remove messages from your In
Box that you do not need any longer.
It is a good idea to delete messages after
you read them because they take up too
much space.
Create a folder to store important messages.
Move/Copy

Allows you to move or
copy an email message
that you need to keep into
a specific folder.
Help

Ask the Office Assistant questions such as
how to set up a distribution list, or how to
attach a document
Options
Set Replies
 Create Inbox Rules
 Create an E-Mail
Signature
 Select Themes

Message of Low Importance

Lets the recipient know that the
message is not urgent and you can reply
at your leisure.
Messages of High Importance

This symbol alerts the recipient that
the message is urgent and needs to be
read quickly
Check Names
–Checks for the names of the
message recipients in the address
book or in your contacts folder.
Attachment

You can send your teacher an assignment
you completed at home, or send a
document home from school to your
PUSD E-Mail, or a personal E-Mail
account.
Check for Spelling

Please use the spell check
before you send an E-Mail.
Insert Signature

Allows you to have a permanent signature on all new e-mails
so that you don’t have to type it each time
– For example:
 Jeffrey
Gates, M.Ed., M.B.A.
 Technology, Life, Careers Teacher
 Oasis Elementary

attachment or a
picture on your

This
will send your

Carbon Copy
 Is
used when you want to send a
copy of the message you are sending
to an additional person
– For example: If I am sending you a
message about a missing assignment, I
may want to send a “carbon copy” to
you parents so that they also know that
you are missing the assignment
Blind Carbon Copy
 Is
used in a similar way as carbon
copy except that the “Blind Carbon
Copy” recipient is kept private from
the other recipients of the e-mail
– For example: If I send your parents a
blind carbon copy of the e-mail instead
of a carbon copy , you will not know
that they received the e-mail from me.
Their names will not appear on the email message you receive
Setting Up Conversations
You can set up your In Box messages by the:
1. Date they are received
2. Who they are from
3. Who they are to
4. The file size
5. The subject (the topic of your e mail)
6. E Mails that have attachments only
7. By their Flagging
8. By their importance
Flagging E Mail Messages
 E Mail messages can be flagged by you for follow
up at a later time depending on how important
the message is to you.
 They are visual reminders for you to address the
message at a specific time.
Assigning Message Categories
 You can select a color category for different types of
e-mail messages.
 For example:
 Blue for your History Teacher, Red for your Math
Teacher, Green for the Tech Teacher, Orange for
Mom, Purple For Dad, and Yellow for your Language
Arts Teacher.
 This is an easy way to visually keep track of your email messages.
