The UCPH Housing Foundation – who are we and what do we do

• The UCPH Housing Foundation: Our role as your housing market ‘go-between’.

• The UCPH Housing Foundation does not gain profits from the rent you pay. • We are the administrators and we are working for you so you have all your housing contracts through one agent.

• 1 year maximum of service – focus on helping as many as possible when they arrive in Denmark for the first time • The housing situation in Copenhagen in the spring • Contracts are binding for students for the period the contract is signed for.

Things The Housing Foundation cannot do for you

• Registering and de-registering with Borgerservice for CPR-number etc.

• Apply for housing subsidy – you have to do it yourself • Media license for DR/ Danmarks Radio • Personal insurance House Contents Insurance which will cover you and your belongings during your stay.

• IT-problems with your computer or with your Eduroam network • Your SANIVA account (Østerbro, Tåsingegade) • Provide cleaning detergents, toilet paper, light bulbs etc.

Housing Subsidy (”Boligsikring”)

If you are staying in Denmark for more than 6 months and have a kitchenette in your studio/apartment, you may apply for housing subsidy from the Danish state. Students that receive scholarships, grants, or bursaries may not be eligible for the subsidy, however. Please contact your local Borgerservice Center (addresses can be found on our website) for more information and note that you are responsible for understanding all the rules prior to applying. International students may loose their residency permit if it turns out that they are not entitled to receive the subsidy. The UCPH Housing Foundation cannot fill out the application for you.

Arrival issues

Move in issues report & status: • Within 7 days after your arrival please report all issues & status comments in your online workflow.

• The move-in report is your opportunity to remark on the condition of your residence when you move in. This way we are aware of damages or broken items and are able to fix these, if needed. • Also, the report is your “insurance” in regards to the return of your deposit when you depart. Your issue reports stays in your flow.

• Please note - after this period you risk that it is no longer possible to report a pre-arrival damage - but you are always welcome to contact us and talk about it!

Responsibilities and social life

• You will be in your own home, in a residential area. Please be considerate to roommates, flatmates & neighbors, also the surrounding neighborhood.

• Parties should be approved by your neighbors and never last past 10pm on weekdays and midnight on weekends.

• Hosts/ initiators of a party have the responsibility for (organising) the post-party clean-up • Coordinate with flat/roommates when you have issues you need to contact the Housing Foundation about.

• Inform, ask, talk about and help each other when you have problems or questions – your roomie or neighbor is likely to know the answer!

Cleaning and maintenance of your home

Common areas should be cleaned by everyone and is a common responsibility • • • • • • A regular cleaning routine (cleaning schedule) should be there from the beginning. Later on it may be too late!

Cleaning is much more fun if you do it together  If a roommate or flatmate leaves earlier than the other(s), make sure you both/all help each other with a thorough ‘spring cleaning’ of the common areas Pay extra attention to: - Keeping the drains clean - Decalcifying wet areas - Airing out your room every day all year around - Removing garbage on a daily basis Youtube.com has great tutorials Danish Residence Assistants (RA) are staying at Signalhuset, Bispebjerg, Tåsingegade and Østerbro Kollegiet. Finances, rent and payments

• See all payment details in the ‘Payment’ section on our website.

• You pay your rent in your online Flow by credit card or via bank transfer. • It is your own responsibility to pay rent and fees on time. Use the “Payment Schedule for …’ on the website to see your deadlines.

• Online payment system requires Google Chrome and ONLY accepts credit cards (no debit cards  ). • Remember you can only pay when there is a MINUS on front of the amount in the “amount due soon box” • Required reading: - The Booking Manual (page 22-31 concerns finances) - www.housingfoundation.ku.dk/payment-information/ Frederiksberg, January 2015 Dias 9

Deposit

You pay a deposit of DKK 4,000 (for apartments DKK 8000) A deposit cannot be used to pay the last month’s rent

Return of deposit;

• Approx. 8 weeks after departure • Complete the online survey and other move-out steps such as stating how you want the deposit returned if given an option • If your first payment was via bank transfer or less than the deposit, the deposit can only be returned via bank transfer - remember to fill in the Bank Information in your online Flow: Remember correct IBAN NUMBER.

Typical deductions in connection with your move-out • An unclean room or unclean common areas after your departure • Damages – such as broken furniture • Lost keys and lost laundry card If you have paid too much rent, the excess amount will be returned to you together with your deposit.

Typical mid-semester pitfalls:

Ignoring a blocked drain – can cause major water damage Leaving windows unattended – can become warped or even fall down Leaving surfaces or floors wet Not defrosting the freezer when needed– if the electricity goes, it causes a much larger water damage • • •
