The Mix Designs have to be
downloaded every 30 days. This is to
help prevent samples going into LIMS
against invalid/expired Mix Designs.
The report in the APW that has the
Mix Designs has a date on it from
when it was last download. If that
date is more than 30 days old, the
worksheet will not let you upload
(show you the highlighted message).
Simply close out of this menu, go into
the Mix Design menu and download
the Mix Designs, then upload your
sample again. Before closing the APW,
you will need to save the Excel file to
retain the upload Mix Design list.


When you click download mix designs, it downloads a report into the
excel file. In order for the updated report to stay the excel file has to
be saved. There are two options:
If there is no data in the
worksheet, just save the excel file.

When you go to clear your
worksheet, choose “Clear
Worksheets & Refresh Lists”. This
feature will update all the list and
save the excel file for you.


Check your firewall settings. Microsoft Excel and File Transfer Protocol
should be set to Public.
Go into your control panel and select “Windows Firewall”

When uploading your plant data to LIMS, you need to leave the Core
Section blank (do not fill in the TIN or Performed On). If these items are
filled in, the test will upload to LIMS with no data.

If you upload with the TIN and
Performed On, you do not have to
purge and re-upload the sample. The
Roadway test will not upload to LIMS
and you will receive the below
message (due to no test data). Just
make the change (removed the TIN
and Performed On in the worksheet
and re-save the sample.

If the project, pay item, plant or mix design is not
available for the project, download the appropriate list
to get current information. If the information is still not
available, make sure the information is approved/valid in
LIMS.
› To update all list at one time, go into the Clear menu and select
“Clear Data & Refresh Lists”. This will update all list and save
the excel file with the updated information.

Once you enter cores into LIMS, you cannot add or
remove cores in the system. You should upload all core
data at one time.


› The Financial Project ID or Pay Item Number was entered incorrectly or does
not exist in LIMS.

› The Plant or Pit Number was entered incorrectly or does not exist in LIMS.
› Verify the Plant Number is correct in LIMS and is a Department approved
asphalt plant/pit.

› The Destination LabID was entered incorrectly or does not exist in LIMS.



› The Mix Design Number is not in LIMS or not entered correctly. Verify
number matches. Verify that the mix design is an approved department
design and matches the entries in LIMS.


› The Sampled By Number (TIN) is not in LIMS or was not entered correctly.
› Verify that the TIN number has the correct number of digits and is followed
by a "-000" at the end. i.e. A12345678-000. Verify the user is in LIMS and
qualified for the testing being uploaded.
Sample login error: User id not found…
› The UserID is not in LIMS or was not entered correctly.
› Verify that your UserID is valid by logging into LIMS manually. If you cannot
log into LIMS, please contact your District for further assistance.


Sample login error: Invalid Field Value ________
› Read the message to locate issue. For example, Real Number Specified, one of
the numbers entered is not correct. It may have a comma instead of a decimal
point. Another message could be length exceeds 20 characters. Just double
check the information that was entered to make sure it is correct.


› Check message to see if the Pass/Fail indicator is there.

