Welcome to Energia online Users guide online Welcome to Energia online - Quick Guide Step 1: Logging on Click on the customer log in section on the top right of the energia.ie homepage Enter your e-mail address and password which you have received via e-mail at registration. Step 2. Energia online plus Provides basic functionality like meter read history and pdf version of your bills. Click on the premium button to gain access to Energia online premium. Energia online premium Step 3: Select a category sheet - e.g. Consumption, expenditure etc When you open Energia online premium the package defaults to the dashboard. You can select one of the other tabs by simply clicking it. b. Search box You can select a specific characteristics through the search box. c. Lock/unlocking your selections You can lock your current selections. After locking you can continue to make other selections but when you press the clear buttons you will revert to the locked selection. To clear a locked selection - simply click on the unlocked button. Step 4: Interrogating the charts If you hover over a chart and hold down the left button your mouse you can select an area of the chart and get more detailed information on just that information Step 4: Select a report from the bottom of the screen. Energia online premium defaults to the main report for each tab. You can select alternative tabs from the bottom of the screen by clicking on them. This is the example of the charts available in the expenditure tab. Step 5: Select date range, MPRN, Site address etc from the selectors You can select on a variety of account identifiers and there are 2 main ways of making your selection: a. Shortcut navigation This allows you to click on the data value you wish to view through a series of drop down menus and clicks. You can select by date by simply clicking on the date - you can select multiple dates by holding down the control key. The selected values turn green, available selections turn white and unavailable selections are greyed out. You can also click on the downward pointing arrow to select from the drop down menu. If you have a specific account, MPRN, site address or other characteristic in mind you can type in the information in the search area. This area will auto-fill based on the information available. Cycle & drill buttons If available, you can click on the cycle button to display other dimensions/measure, or you can use the drilldown to the next dimension of the chart. You can print and export the data by using the relevant shortcut. Step 5: Clearing your selections To clear all selections click on the “clear” button from the tool bar. Use “back” button from the toolbar to go to the previous selections. Once you press the “back” button you go back to the original selection by pressing the “forward” button. To clear selections in a specific field, click on the rubber icon selections area. next to the field in the current Step 5: Setting up bookmarks If you find that there is one particular selection that you are using on an ongoing basis for a group of sites, tariff categories etc you can set up a bookmark which saves your current selection for future reporting. Simply click on the bookmark dropdown menu at the top of the package screen. 1 Welcome to Energia online Energia online is a new state of the art online package that allow you to view your Energia electricity and gas data. These powerful tools provide you with reporting functionality which allows you to manipulate your energy consumption, costs etc and view your information by data, site, tariff category and a host of other criteria. It puts the power in your hands to actively monitor and manage your information and develop meaningful analysis of your energy consumption. Over the past 10 years, we have gone from strength to strength meaning that we now provide competitive electricity and gas to 25% of the Irish business sector. By significantly reducing your energy costs, we can give your business the edge in today’s competitive business climate. Energia Online is a major step forward in providing you with an excellent market leading service and further enhances our commitment to energy efficiency services. This tool will aid in the implementation of a comprehensive energy management program. The reports available will provide the foundation for an effective energy management strategy by your organisation. Welcome This booklet provides you with most of the information you need to master Energia online. We have taken a step-by-step approach to help you navigate the package. Although initially the package may look complex it is a very powerful and easy to use tool. The information provided is taken from a copy of our internal billing system - you cannot change any data on our internal system from this package so feel free to manipulate the data in the knowledge it will not have any effect on your Energia account. If you have any issues with Energia online you can contact your account manager or customer service and they will help with your queries. 2 Logging in 1 2 3 Log onto www.energia.ie On the top right hand side of the homepage you will be able to see You will have received a log in via e-mail from Energia. This will include a temporary password which you will be asked to change. Your e-mail address will be your username. You will only be able to view accounts associated with your e-mail address in Energia online. If you want accounts to be added or removed from your account you should contact customer care. This is the first page of Energia online. You will find some useful links and reports on this page as well as gain access to your online account. By clicking on the premium link you will be brought straight into the online premium product. There is also a “forgotten your password” function available and if you forget your password we can issue you with a new one to your e-mail address. Logging in 3 Energia online plus 4 5 6 Bill Summary Meter read Tab Filter Tab Provides a breakdown of bills to date and also allows you to print a pdf of the actual bill. The tab is broken down into two sections - meter read history and first/last meter read This tab allows you to select your accounts and sites by date. You can also expert the information to Excel. Meter read history lists you accounts where the read has been estimated. First/last meter read list your accounts where the meter has been read by networks or provided by you to Energia. You can export this information to Excel. Tip: You can click on the MPRN/GRPN and submit a meter reading for that site. Online Plus 3 Logclicking onto Energia Premium by the premium tab. 4 The How To Tab The How To Tab gives you some basic assistance on how to select data you wish to view and carry out basic navigation. If you have more detailed queries, this manual should cover the rest of what you will need. Of course if you get stuck or our documentation does not answer your needs you can call our Key Account Managers who are your Energia Online Premium support. They will be glad to assist and advise. 1 1 Action Toolbar The action toolbar allows you to perform various functions within Energia online premium. • • • • • • • • • • Clear your data selection. Go back or forward to previous selections. Lock or unlock the selection. Search for an account or MPRN. Bookmark a selection that you may wish to use regularly. View current data selections. Refresh screen. Print your current selection. Access Reports. Access Help. Bookmarks Book marks are a very handy tool in Energia online premium - they allow you to save your selections that you view on a regular basis. You can use this for a group of sites or for specific frequently used reports. How to Tab 5 The 1 Dashboard The Account Selector This area shows the account that you are looking at. If you click on the drop down menu beside either Account ID or Account Name, you can switch between accounts. Overview of your account Search Box The Dashboard: You can use the search box to find an account, a site, a specific address, an MPRN or any other variable that is unique to your account, This is the first working screen, made up of five main sections. 2 4 1 This shows your current balance with outstanding debt broken down by number of days. 3 2 Current Balance Last Regular/Customer Read This gives an overview of sites where we have received a meter read either from you or networks. It is colour codes: Green - last 6 months Yellow - last 6-12 months Red - over 12 months 5 3 We recommend that meter readings are provided frequently so that we can improve the accuracy of your bill. If you have an online meter your meter is read automatically and therefore will always be up to date. 4 3 Tips • Check that you have the correct account selected that you wish to look at. • You can submit a meter reading by calling customer service or online at www.energia.ie • Click on the go to buttons and you will be brought into the relevant tab for more in depth information. The Dashboard Energy Consumption This screen highlights energy used over the last rolling 12 months and provides a comparison versus the previous 12 months, if you were an Energia customer. It also indicates the % of increase or decrease in consumption between the two comparative periods. The graph shows basic trends. 5 Expenditure excluding VAT This indicates the total expenditure ex VAT for the last 12 months, plus the same data for the previous 12 months, and the % increase or decrease between the two periods. A graph shows basic trends. 6 Account Filters Making your selections Account filters These are the engine that allow you to choose which accounts/sites/ tariff etc. you want to view by period. It is divided into 3 main sections 1 1 2 3 Billing Calendar The Billing calendar allows you to select years, months or billing periods over which you want to view data. The same calendar appears on each tab. So for example under the tab expenditure, you can choose to see accounting and cost details over specially selected periods of time. 4 2 Filters The filters also appears on all tabs, it allows you to choose to see your data by account, MPRN, Tariff and other unique identifiers. 3 Current Filters This area shows the account that you are looking at. If you click on the drop down menu beside either Account ID or Account Name, you will see all the accounts to which you have access under your user name. You can only view one account as any one time. 4 3 Selecting Tabs There are a number of tabs along the top of the package that allow to you get more detailed information an various categories - Expenditure, trends, consumption etc. Once you have made your choice in the filters you can choose different tabs to view reports based on your selections. The Tabs you can view may vary based on the types of account that you have with Energia e.g. electricity, gas, unmetered supply etc. Account Filters Tips • If you want to select more than one year/month/period, either hold down the Control (CTRL) button on your keyboard and click on multiple selections, or hold down the left button on your mouse and drag across the selection you want. • If you wish to take away a selection you have made, click on the eraser icon beside the data. • Check your current selection - to ensure you are looking at the correct account/sites. • You can click of the filter items to make other selections by MPRN, Site address etc. 7 Expenditure Tab The Report Area Reports are shown in this area based on the filters that you have selected. This area defaults to the most popular report. The report title can be found on the top left of this area. Choose a report 1 Various standard reports can be selected from this area. In the Expenditure tab there are 5 categories of reports available. These appear as buttons on the screen. You can click on any one to show your data. Any report you view can be exported to excel or print the report by using the buttons at the top right. 2 3 3 4 1 Detailed Report Drills into the information by MRPN for the period selected. 2 Summary Report Totals days billed consumption, average consumption per day, expenditure (excluding and including VAT) and average unit price. Tips • This tab is good for year on year comparisons of expenditure. To see two or more years worth hold down the CTRL button and click on multiple years on the calendar, or drag the curser over multiple years. Click on AUP Yearto-Year report to view. • To see how each charge accumulates over a selected period (e.g. to see total Day Units consumed and the cost for this bill line over any given year), select Line Items Rates report. • At the top of any window where there is data you can extract to excel you will see the Excel icon XL. If you click on this it will extract the data to Excel automatically and you can save the spreadsheet down for your own records, or work on the columns as per normal Excel functionality. 3 Line Items Rates Breakdown of the charges on your bill by expenditure, consumption and average rate. 4 Expenditure Year-to-Year Details your total expenditure to date. Expenditure 8 The Trends Tab 1 Billed consumption and expenditure Bar and line graph explaining consumption and expenditure. 2 1 Year to Year Comparison based on the period selected. 3 Trends Provides an average consumption/expenditure per day across the period selected. 4 Line Item Trends Allows you to view Bill Line Items includes day rate , night rate, network charges etc. in a graph. By hovering over the dots you can view consumption and the expenditure amounts. 2 3 4 5 Report Area 5 Load factor % of load capacity used month by month (relevant to specific tariff types only) The Trends tab will show you how your consumption, expenditure and usage profile have changed over a selected period. Particularly useful for year to year, or even month to month comparisons. This tab shows reports in chart form, so if you find it easier to view graphical trends rather than raw data. Why you may want to use it: • To view trends in consumption by tariff. • To see year by year expenditure trends. • To compare your consumption trends with your expenditure trends. • Extract any report into Excel for your own records. Trends 9 The Consumption Tab The Consumption tab allows you to view your usage over a period of time. Why you may want to use it: • To view your billed consumption for the current month. • To compare consumption during certain periods or year to year. 1 • To compare usage on a site by site basis. • To extract your consumption data to excel. 1 Consumption Year-to-Year Consumption for a group site is shown here as a % comparison of previous year available. 2 3 4 2 Consumption Breakdown kWh Details in line graph form, showing the amount of day, night and heating units. 3 3 Tips • Use the rotate function to view by MPRN, tariff, month, year etc. • Use the plus sign to see data broken down to month or year. Consumption Ranking A bar chart showing consumption in ranking order per MPRN or Tariff. 4 Billed Energy Consumption Shows individual MPRN consumption listed as a sum total of the full account. Consumption 10 The Meter Read Tab Information on your meter read history The Meter Read tab shows when individual sites have had customer/ network reads . These are colour-coded for ease of reference: Green - less than 6 months Yellow - between 6 & 12 months Red - more than 12 months 3 1 Why you may want to use it: To manage sites that have not had a customer or network read in over 6 months. Reads can be taken and can be added online in order to increase the accuracy of your bill. 2 1 Last Meter Read Summary Outlines the last actual read, the last customer read and days since the last actual read. This information can also be viewed by site address. 2 3 Meter Read Detailed Report Provides meter serial number, type of meter, the read date and value of meter read. Tips • To narrow the data down, you can select specific MPRNs using the Selector. • From the Meter Read Report, you can view in descending order by clicking on the ? icon 3 Last Regular / Customer Read Heat Map Colour-coded map to advise customers of last actual reads at a quick glance. By hovering over each square, you will see MPRN, consumption amount and the amount of days since last actual read. The size of the box represents the consumption for that meter as a proportion of your overall usage i.e. the bigger the box the more consumption used relative to your other meters/sites. Meter Read 11 The Half Hour Data Tab Online meter consumption 1 A summary of True Power kWh, Reactive Power Factor kVarh, Apparent Power kVa and Power Factor. 2 What this tab shows you: This will show you half hourly usage for any period you select. If you do not have a half hourly meter you will not see this tab. Why you may want to use it: • To view any sites or periods that you have exceeded your power factor. • Track sites or periods that consistently show an excess of your power factor limit, incurring charges. Summary Details Displays information for sites by consumption and kVa demand per half hourly period. 3 Trends Trend report allows user to examine consumption and demand. By clicking on the bar graph, this will change from monthly to yearly. 4 Day Comparison Consumption can be further examined by date and times of the day for specific MPRNs. 5 Power Factor Allows user to further examine Power Factor per half hour period and by day. 1 6 Power factor by MPRN Allows users to compare power factor by half hour during each individual day. 7 Max Demand This shows the max demand amount in bar graph form and the maximum import capacity amount. 3 2 3 4 5 6 7 N.B. this tab will only appear if you have an certain pattern of consumption Half Hour Data Tips • You can extract this information to an excel document. • Power Factor is colour-coded for ease of reference. For those in red, this means that site has exceeded it’s power factor and would need attention. 12 The Bill Tab What this tab shows you: This will show your information for any bill produced while you are an Energia customer for the past 3 years. Why you may want to use it: • To view your billed data for the current month. • To access billed data for any business reason, including VAT amounts, charges etc • To extract the billed data into excel for your records. Three available reports Charges This is a breakdown of the charges on the bill and a summary of the bill. Cancelled Charges If there have been any cancelled charges on the bill these will be shown on this report. 3 Tips • You can view your total bills by period of time rather than by specific bill ID and export this information to Excel. • If you would like to compare sites you can select multiple MRPN’s in the filter selection area by holding down the control key. • If you want to view a PDF of your bill you will need to navigate back to Energia plus. Bill Adjustments Adjustments will be displayed in this report for example revised meter reads etc. 13 Glossary of Terms APPARENT POWER KVAH Product of the voltage (volts) and current (amperes) in a circuit and is measured in kilavolt amperes (kVA) AUP Annual Unit Price. Capacity Charge Cost Centre Code Codes provides by the customer for accounting purposes Estimate Read Estimated read created by our based on your average previous usage over the past 12 months First Rate The rate applying to the first 4000 units you use in each billing period - generally applies to GP/GPNS accounts only. GMPRN Group Meter Point Reference Number is a group reference number over a number of MPRNs in the Unmetered Market only. GPRN Gas Point Reference Number. Number allocated to the site for the meter. HH Half Hour. Usually used in the context of Half Hourly Data, i.e. half hourly consumption figures. Only applicable to Half Hourly Meters. Line Items Rates Each line on your bill (e.g. day rate, night rate, standing charge) is a bill-line item. The rate for each of these items is a Line Item Rate. Load Factor % of load capacity by month by month. LVMD Low Voltage Maximum Demand. Max Demand ??? MPRN Meter Point Reference Number. Number allocated to the site for the meter. MVMD Medium Voltage Maximum Demand. Next Rate The rate applied to all units used over and above the first 4000 for a billing period. Generally applies to GP/GPNS accounts only. Night Rate The rate applied to units used during the night, usually between 11pm and 8am. Peak Units Units used during peak demand times for your site. Power Factor Power factor is expressed as an integer which is normally less than one. Power factor is calculated by dividing true power (meter or billed consumption) by apparent power. Power Factor Threshold Point over which if you go over your pre-agreed threshold you will be charged additional network charges. PSO Levy Public Service Order levy. A government levied charge passed on by suppliers to customers. Reactive Power kVArh Term used to describe the loss of power in an electrical system arising from the production of electric and magnetic fields and is expressed as kVArh. Regular Read Also called Actual Read. A read taken by a networks meter reader. Service Capacity Charge Charge for amount of maximum import capacity. Standing Charge Networks charges for connection to the grid/network. True Power kWh Describes meter or billed unit consumption and is measured in kWh (kilowatt hours) Unmetered Electricity supply to a point without a meter. Generally refers to public lighting.
