Welcome to the 2015 Wisconsin 4-H & Youth Conference First, take care of paperwork… Youth register between April 1-12 • Register in your WI4honline account By April 12 • Sign and submit Water Sport and Community Service Liability Waivers, if applicable • Complete the University Health Form found at www.uhs/wics.edu/campus-health/youth-programs/ • Send that form to University Health Services • If you must arrive late or leave early, an Absence Release may be mailed or brought to Conference. What to Bring appropriate casual clothing For boys and girls: • tee, polo or short sleeved shirts • knee length shorts, neat jeans or slacks Dress Code What to Bring clothing for special activities What to Bring clothing accessories What to Bring extras • • • • • • • • • • Alarm clock Money for pizza, shopping, snacks, etc. Notebook and pens Personal toiletry items Prescriptions and/or over- the-counter medications Towels and soap Favorite pillow, if desired Inexpensive or disposable camera (optional)- label camera with your name! Water Bottle (optional) Music, costumes, props or other items needed for the Talent Show, if applicable What NOT to Bring • Bed linens, blankets, pillows are provided • Please do not bring valuables – expensive cameras, jewelry, laptops, or electronics When You Arrive • Cars and buses may unload by Sellery Hall in the parking lot between Dayton and Johnson Streets • A Youth Leader Council member will be there to greet you Registration/Check In • Adult Advisors check in their county delegations at Sellery Hall. – Receive nametags, room keys & wrist bands for meals. Always have your wristband and room key with you! Nametags should be worn at all times! Floor Meetings • A Meet and Greet for youth and County Adult Advisors will be held after Registration but before tours at 2:15. • Floor meetings will be held Monday afternoon and each night – Led by members of the Youth Leader Council • Reflect on the day’s activities • Remind you of what’s coming up tomorrow • Time to connect with your Adult Advisor (chaperones) • Ask questions Monday Afternoon Tours State Capitol UW-Madison Campus Camp Randall Kohl Center Geology Museum Where will you be staying? Sellery Hall, a UW-Madison dormitory on the southeast corner of campus Dorm Life • Dorm rooms have two beds You will share a room with another delegate from your county, if possible • Rooms are airconditioned and each has a refrigerator • The dorm has community-style bathrooms Meals • Gordon Dining Facility is right next to your dorm • Delegates need to wear their wristbands for entry. • All you can eat! • A vegetarian entrée and many fresh veggies and fruits are available. Conference Rules • Follow dorm rules – – – – Keep windows, screens closed Don’t misuse fire alarms Honor curfew, lights-out times Don’t use phones between 10:30 pm and 7am • No SAD – smoking, alcohol, drugs • Dress appropriately First Aid & Emergency Issues • Remember to drink enough water to stay healthy! • First Aid is available on site around the clock. • If you are feeling ill, please inform an Adult Advisor or any staff member so they can obtain assistance for you. • Emergency transportation is available to medical facilities, if needed. State Street a fun place to visit during afternoon free time delegates CANNOT leave dorm grounds without a chaperone. Safety Precautions Street Smart Issues • State Street is Off Limits after Dark! • Whenever away from the conference site, you need to be in a group with an Adult Advisor. • DO NOT give any money or talk to homeless people! Safety Precautions Traffic Safety Issues • Volunteer Coordinators will direct conference traffic – Please follow the conference route and be aware that Madison drivers don’t always follow traffic rules! • Warning: traffic doesn’t always stop for red lights! • Always cross at crosswalks and wait for pedestrian cross signals Free Time • Free time is when County Delegation Photos are taken – talk with your county delegation to decide what kind of attire to wear • Everyone will receive a delegation photo before returning home Thursday Free Time • Free time includes all sorts of fun activities – – – – Dances Cards Games Fun runs • Hang out with old friends and meet some awesome 4-H members from around the state! Gathering for Seminars • Meet your group outside of Sellery Hall before walking or boarding a bus to seminars. • YLC members will hold up signs for you to find your seminar group and lead groups to seminar classrooms or sites Seminars Seminars will connect you with people, technology, animals, or the chilly waters of Lake Mendota! Madison Masonic Center Assemblies are held in the Madison Masonic Center, several blocks from the dormitory Rides are available for those who need them Assemblies • Theater rules – – – – No flash photography No hats or caps No refreshments No feet on the seats Assemblies Wednesday Night Talent Show • Talent Show application forms are due May 1st • Auditions for the Talent Show will be held on Monday and Tuesday • Selections will be announced Wednesday morning • Talent Show rehearsal will be held Wednesday afternoon at the Masonic Center State Groups Art Team State Groups Drama Company • • • • • • • Creative writing Rehearsal Set design Make-up Lights Sound Performance State Groups Press Team • Take delegation photos • Record the event in photos • Create re-cap slide show for Thursday morning. State Groups Showcase Singers Interpret Choreograph Rehearse Perform State Groups Youth Leader Council – wear matching polo shirts for easy identification – greet groups upon arrival – emcee assemblies – lead groups to seminars – lead daily floor meetings – serve as a resource for questions Adult Advisors County Adult Advisors: – Support and monitor delegates – Lead your county meetings – Register/check in the group – Distribute Conference t-shirts, keys, nametags, photos and wristbands – Serve as seminar presiders – Assist with operational duties to ensure the conference runs smoothly Volunteer Coordinators (VCs) • The VCs: – Help coordinate the conference on-site – Serve as a resource for Adult Advisors – Ensure safety When You Leave • Please remember to clean your room and pack before the Thursday morning assembly. • Don’t forget to send your Thank You letters. • Share your Conference experience with your county!
