Contact: Emily Borra, SGA President Recognition & SUFAC • Recognition: passed at Oct. 10th meeting • SUFAC Budget 2012-2013: – Currently POSTPONED • Ad-Hoc Committee: evaluate process – 2 students & 2 advisors from student orgs Emergency Funding New Student Organization • Eligible for max. $500 and 2 requests/year, whichever comes first Existing Student Organization • Must have submitted budget last year • Eligible for max. $2500 and 2 requests/year, whichever comes first Contact: SGA for More Information and Form BUDGETS & FUNDING Campus Accounts • Campus Account is necessary for funding • Cannot have external account for deposits; should be deposited in State Fund Contact: Jeff Kahler (Budget Analyst, Main 202) Online: Budget Office – Business Office – Forms (on the left navigation tab) Cash Handling • Starting Cash, Travel Advance, Petty Cash or any cash request • Don’t forget to deposit the money back into your account! Submit Department Deposit Form along with the money to cashiers. Contact: Suzie Bednar-Munsell (Old Main 206) Spending Funds Purchasing – Rob Waksdahl (Main 206) • Fill out Purchase Requisition Form on green paper. Travel – Suzie Bednar-Munsell (Main 206) • Fill out Student Trip Planning Form. Plan your travel in advance. Make an appointment. Speaker/Performer – Allison Gerland (YU 155) • Fill out Entertainment Contract Catering/Food Service – Monica Anderson • Fill out Catering Request Form, submit to Aviand’s MARKETING & PROMOTIONS Marketing & Promotions • Brand Review through Univ Relations – External or longer than 3 months • Student Org Promo: – Use of a university logo preferred – Written identifier, at minimum (i.e., University of Wisconsin-Superior) – Identification of organization – Website or other contact information • Event or posting date. Marketing & Promotions • Logo’d Items: – Approved by Univ Relations – Can coordinate puchasing (lower price/unit) • Social Media: – Guidelines for best use on Univ Relations website – Nofity Tech Servies & Univ Relations of any new sites RISK MANAGEMENT – HOT BUTTONS Hot Button #1 – Travel Tips DO: • Fill out Student Trip Planning Form and meet with Travel Office • Designate “Agent of University” if advisor not traveling • Be an upright representative of the University • Know and follow all travel policies and procedures • Make reservations, get petty cash, sign trip release forms, collect emergency contact info prior to all trips Hot Button #1 – Travel Tips DON’T • Forget to fill out all proper paper work – Student Trip Planning Form – Agent of University – Trip Release – Emergency Contact Info • Leave without petty cash for gas, food, etc Hot Button #2 – Event Planning DO: • Evaluate all risks • Keep participants as safe as possible • Utilize the headline test DON’T: • Forget that you can purchase extra insurance if needed Hot Button #3 - Signature Authority/Contracts DO • Fill out University Entertainment Contract for outside performers (Tammy Fanning sign) • Utilize Payment to Individual Form for honorariums for speakers DON’T • Forget that you cannot sign any agreements, contracts, memos of understanding… Hot Button #4 Funds/Fundraising DO DON’T • Complete proper paperwork for fundraising, donations, prizes, raffles (need approval) • Know and understand cash handling policies • Use non-food items or prepackaged/bakery items for fundraising • Use hot foods (such as soup or taco sales) for fundraising Hot Button #5 - Food DO: • Use pre-packaged or foods on the “approved vendors,” less than $100 in YU • Cannot purchase alcohol • Use Aviand’s for catering • Send supporting documentation to Purchasing DON’T: • Use foods from the deli or foods that might spoil for event or gatherings Hot Button #5 - Copyright – Movies, Music… DO • Order movies from Swank when possible OR get written permission from producer of film to have a public showing • To Order, Contact: Allison Gerland (YU 155) DON’T • Show movies without copyright permissions • Be fooled: student organizations are not for “educational purposes” – only if the film is used in curriculum and shown in a shortened format BENEFITS, SERVICES, RESOURCES Benefits of Recognition • Reserve and use university facilities, including YU 153 (student org mtg room) • Apply for funding through the SUFAC budget process • Receive program planning assistance through Student Involvement • Listed in directory • Use the UW-Superior name when identifying the group's affiliation. • Participate in campus events that are open to all recognized student organizations.
