Create an EndNote Library 2. Add references to the EndNote Library 3. Manage references: using groups & finding duplicates 4. Insert references in MS Word (Cite While You Write) 5. Change citation style and edit preferences 6 Citations & Bibliography Two places to cite the references you have used: • within a sentence (in-text citation) In-text Citation Herring and Paolillo (2006) found that the genre of a web entry, rather than the gender of the writer, affects the style of writing. • at the end of the document (bibliography/references) Bibliography/Reference Herring, S. C., & Paolillo, J. C. (2006). Gender and genre variation in weblogs. Journal of Sociolinguistics, 10(4), 439-459. 7 The EndNote Library Contains all your references. No limit to number of references, but <100,000 is recommended 8 Step 1: Create an EndNote Library a. b. c. d. Hands-on All programs > EndNote > EndNote Program File > New Filename: Project (*.enl) Save 9 Step 2: Add References to the Library Direct Export Import .Txt File Online Search Import PDF Manual Inputting EndNote Library MS Word/Open Office Cite While You Write 10 Method 1: Direct Export Export references directly from a database. Steps: 1. At the database, select the records you want 2. Save, output, export or send to EndNote (The EndNote option may also be labeled as “RIS”) 3. Click “Open” to transfer records to your EndNote library 11 Method 1: Direct Export 1. Mark the records 2. Click on EndNote WOS Method 2: Import .txt File Used when references cannot be exported to EndNote. Steps: 1. At the database, select the records you want 2. Export file and save on desktop. (File format is usually .txt, but for PubMed, it’s .nbib ) 3. In EndNote, go to File > Import 4. Browse and select the .txt file 5. Select Import option > Other filters e.g. PubMed (NLM) Which filter to use? http://bit.ly/zQ8LY5 13 PubMed Method 2: Use a Filter 1. Mark the records 2. Choose Citation manager 3. Create file Method 3: Online Search NATL Search free databases and library catalogues (e.g. LINC, Library of Congress) Steps: 1. Go to Online Search > More 2. Select a free database or catalogue, e.g. NATL U of Singapore 3. In the online search pane, search by exact title of book 15 Method 3: Online Search Select more Search by the exact title Method 4: Import PDF Files Extracts references from PDF files PDF must contain a Digital Object Identifer (DOI) and is not a scanned document. Steps: 1. In EndNote, go to File > Import 2. Choose either file or folder, and Import Option > PDF Note: If the author, title, journal, etc, fields are not autopopulated, the PDF is of the wrong format 17 Method 4: Import PDF Files 18 Method 5: Manual Inputting Link to the video: http://youtu.be/30u5_b9d5D4 19 Add References to the Library (Re-Cap) Direct Export Import Text File Online Search • Most major • Some databases • Library databases e.g. Factiva, BAS catalogues e.g. • Google Scholar NUS, LOC • FindMore@NUSL Import PDF • Only for PDFs with DOI no. and is OCRable Manual Inputting • Use as last resort EndNote Library MS Word Cite While You Write 20 Managing References: Custom Groups Create folders to group (categorise) references Go back to All References. Select references and drag into custom group. Alternatively, right click on the references > add references to. 21 Managing References: Smart Groups Automatically group references based on your search criteria, e.g.: author/year/title contains/is/word 1 begins with… Note: Any references added to EndNote will be 2 automatically filed in the group, with immediate effect 22 Step 3: Duplicate References To find duplicates: • References > Find Duplicates 23 Recap PART I Introduction to EndNote & workflow Adding references to your library Managing references: groups & duplicates PART II … coming up in 5 mins Cite While You Write Backing up and recovering EndNote vs. EndNote Web 24 Cite While You Write (CWYW) i. Use MS Word to insert citations into your paper ii. Create a paper with properly formatted references, bibliography, figures & tables iii. To differentiate citation and bibliography fields, change the MS Word’s Field Shading option. iv. Do NOT edit the references in MSWord, but in EndNote Library only. 25 Setting for Field Shading in Word > Word Options > Advanced > Show document content Field shading > change to “Always” [Word 2007] 26 EndNote Tab & Field Shading If EndNote is properly installed, you will see the EndNote tab in Word After you add references, Field shading shows up as text highlighted in grey. 27 Inserting Citations Method 1: Find Citation a. EndNote X5 tab: Insert citation > Find Citation b. Search for a word in any field (e.g. title, author) c. Select the references that you want to insert into your paper Method 2: Insert Selected Citation(s) a. In EndNote library, select a reference you want b. Go to Word and place cursor at insertion point c. Click on Insert Citation > Insert Selected Citation(s) 28 Editing Citations & Library References a b a. This is where you remove a citation if you no longer want to cite it. Or, edit a reference instead of changing it manually on the Word document. b. Use this to exclude author or year in the intext reference, or add page number. 29 Which citation style to use? Please check with your lecturer or thesis supervisor OR ask the journal for their style guide To change the citation style In MSWord, EndNote X5 tab: Click on Style > Select Another Style… 30 Change & Create a Bib Section To create bibliography section* a. Bottom right corner of Bibliography group > Layout > Bibliography title b. Type “References (or Bibliography)” *The bibliography section appears only when you insert a citation 31 Convert to Plain Text Before sending documents to a publisher or IVLE, strip the field codes used for EndNote citations because they may interfere with other software. EndNote X5 tab > Bibliography Group > Convert Citations and Bibliography > Convert to Plain Text. A copy of the Word document will be created with no field codes. 32 Backing Up Library (1) Method 1: Save a Copy Creates an exact copy of the library xxx Copy.Data and xxx Copy.enl • File > Save a Copy… 33 Backing Up Library (2) Method 2: Compress Library Saves the .enl file and .Data folder into a compressed file • File > Compressed Library (.enlx) • To restore: File > Open > Open Library… 34 Export Travelling Library Exports all the references used in your current Word document to another (or new) library • EndNote X5 Tab > Tools Group > Export to EndNote > Export Traveling Library 35 EndNote vs EndNote Web Feature Organize references Store and cite images and objects Find full text articles automatically Link to PDF files Format bibliographies Online database searching Import filters for online databases Operating System Access to references Multi-user access (network or Web) # of output styles Database size Max # of References Max # of fields Max # of Reference Types Create table and figure lists Subject Bibliography Spell Check Create a list of "favorite" styles Reference grouping Create Smart Groups for instant sorting Advanced searching capabilities Search across multiple databases Integrated in MS Word EndNote Yes Yes Yes Yes Yes Yes 700+ predefined; create your own Mac OS X & Win Desktop & Network No 5,000+ predefined; create your own Unlimited Unlimited 52 46 Yes Yes Yes Yes Yes Yes Yes Cite While You Write Cite While You Write EndNote Web Yes Yes No Yes Yes Yes 700+ predefined Win, Mac & Linux Web browser Yes 3,400+ predefined Unlimited 25,000 50 39 No No No Yes Yes No No No Cite While You Write (optional installation) http://www.myendnoteweb.com/ 36 New in EndNote X6 • Sync your EndNote and EndNote Web libraries’ references, attachments, and groups • Track references and find your favorites • See more with the expanded layout options • Email a reference, including file and figure attachments • Use PubMed direct export feature to import records in fewer steps • Manage medical journal names and abbreviations with the updated terms list covering over 13,000 journals • and more… 37 More Information NUS EndNote LibGuide – www.libguides.nus.edu.sg/endnote Contact NUS Libraries’ EndNote team: [email protected] Endnote Training YouTube Channel – http://www.youtube.com/user/EndNoteTraining EndNote Updates – http://endnote.com/downloads/available-updates Output Styles – http://endnote.com/downloads/styles Import Filters Connection Files Microsoft Word Templates Frequently Asked Questions EndNote X5 Getting Started Guide (PDF) 38
