The personnel area is an organizational unit that represents a specific area of
the enterprise and is organized according to aspects of personnel, time
management and payroll.
We are considering three personnel areas –

Personnel Sub Area
Personnel sub areas are a subdivision of the personnel area. Organizational
control of the main HR sub areas, namely the pay scale and wage type
structures and work schedule planning, takes place at the personnel sub area
level. For HPPCL, Personnel Sub-area is mapped to HPPCL establishments
i.e., Plants, Offices, Mines, etc. in TAMNAR and HO.

Employee Group
Employee groups represent a primary subdivision of personnel. An employee
group defines the extent to which its employees place their labor at the
disposal of the enterprise.
Employee Groups considered are – Regular, Apprentice, Workers etc.
Employee Sub-Group
Employee subgroups subdivide employee groups. The employee subgroup is
defined by a two-character, alphanumeric code.

Master Data Maintenance:
 We would enter, maintain and update all required Information related to
employees through various Information Types (Infotypes).
Infotype:
Employee Master Data will be maintained in logically grouped together records
called Infotypes. Each Infotype will contain data related by some common
attributes. For example, The Personal data Infotype stores related particulars
about the employee, such as name, date of birth, gender, marital status etc.

Infotype:
 HR Infotypes are characterized by a validity period, defined by a start date and
end date for the Infotype record. For example, in case the employee’s address
changes during his stay with the company, the change can be made in the
system, with a new validity period attached to the changed record.
 HR Infotypes are date driven and maintains the history as to when the events
or creation of the record occurred and its validity period.

Actions:
 The HR department executes regular activities like hiring an employee,
transferring an employee, promotion of an employee etc. Each of these activities
has certain procedures to be followed to complete them. The procedure that is
followed to complete these activities in SAP HR module is called Personnel
Actions.
 Personnel actions are nothing but a logical grouping of Infotypes in sequence,
to which data has to be entered and once an infotype is saved, the system
displays automatically in sequence the other infotypes one after the other. This
ensures that all of the information relevant to the action procedure is entered in
the system.

Organization Management Structure
 Structure in Organization Management presents the hierarchical
relationships between the various organizational objects like Company,
Departments, Positions, Job, Person and Cost Centre.
The complete hierarchy of the organization is maintained in the OM structure
which serves as the basis for many other modules like Personnel
Administration, ESS, Personnel Development, SAP Workflows etc.
 OM data is used for the reporting purposes like
• Employee listing per Organizational Unit
• Cost Centre assignment to Position/ Department

 Organizational Management is based on the creation, maintenance and use
of standalone Organizational Objects and these Objects are related to each
other through relationships.
 Although Organizational Management can consists of many object types, the
following are the three basic building blocks for creation of an organizational

 Master Data in SAP is uploaded through tools like LSMW ( Legacy System
Migration Workbence) and BDC (Batch Data Conversion).
 To upload the legacy data in the SAP system, the data is collected in a
specified format that is supported by SAP.
 Data Migration Templates are Personnel Administrationa and Organization
Management.
