Project Proposal

1. Name the Project

The first step is to give the project a name. Two purposes: Serves a functional reason (of being able to identify the project from other projects) Can be motivational for project members as they feel connected with the project. Once a project is named, folders can be set up to organise the project and its information.

2. Background Information

Describe and summarise important information about the project. Those who are unfamiliar with the project should be able to understand the project after what you have advised.

How to find the info?

Look at the original request for the project (the

Project Mandate

) Have an ‘initial meeting’ with the sponsor (See Section 3.3 page 61/62), Consult other information sources including existing company documents (eg Company Rules & Regulations, Standards, Memos, History, Company strategy, website), stakeholders (eg employees, management team, customers) etc Understanding the background helps you understand the motivation for the project and therefore assists with deciding what

type

of project you should do. See Section 5.3 pg109-110 of the text for more information.

3. The Project Goal

The next step is to understand what the project Sponsor wants to get out of this project in the end – what does he/she want to achieve by doing such a project (this is the

Objective)

.

The clearer the Objective = the better the project fit By setting clear objectives, a clear project vision is set, making it clear what must be achieved for the project to be a success and also making decision making clear later.

4. The Project Description

The next step is to consider the Project itself.

The clearer your project is described, the easier it is to plan

5. Resources Required

Consider the resources needed for the project ie:: People Skills Equipment Costs

6. Feasibility and risks

Is the project achievable? Discuss For further information, read Section 5.11-5.12 page 121-123 of the text.

7. Benefits

Aside from the objectives, what other benefits can be derived from this project? State all the good things that will come from this project. For further information, read Section 5.11 page 121-122 of the text.

8. Approval

Summarise the main points of the project proposal. Make a recommendation (based on a cost/benefit analysis) on whether the project should proceed. Seek approval from the Sponsor.
