Why the VAN?
We should use the VAN because centralized
data is key to running a successful campaign.
The more information we have about a voter,
the more accurate our lists will be in November.
We have many tools to track important
information about a voter.
Reset Your Password
The way to
reset your own password is to click on the “forgot
password”
link.
Creating New User
Accounts
Who Should get a new Account?
● New Precinct Chairs
● Trusted Volunteers/activists
This
screen is
known as
the home
screen.
This
screen is
easily
available
by clicking
on the
home
button at
the top of
the page.
To add a
new user,
you must
first select
the
“users”
link on the
home
page.
Select the “users” link to go to the users page
Searching for existing users helps keep your database clean.
Search for the person for whom you would like to create the
account.
Fill in the appropriate fields and select refresh
The existing users will be listed under the search option
If the person does not have an account, click on the Add New User button to add a
new user to the database.
You will then be brought to this screen. There are three steps to creating a new user. First, you should fill in the
name and make sure your user is assigned to your county.
The username should be easy to remember.
The profiles are different types of access to different parts
of the database based on the work that the user will be
performing.
User Profiles
A guide
Party (1) County Chair
County Chairs have the highest level of permissions. With this level of permissions, you can create lists, export names, print mailing labels,
administer phone banks, cut turfs, create new user accounts, Commit Data using MiniVan and administer bulk uploads. The County
Chair can also create accounts that can do all these things.
Party (2) Field Director

Many times, the County Chair will have the need for a Field Director. The Field Director has the responsibility of managing the Voter
Contact that happens. This permission enables the person to cut turf and create accounts that can cut turf. This account can also commit
data from minivan. You can also Bulk Upload Survey Responses and create accounts that can bulk upload data.
Party (3) Staff
●
Party 3 Staff has all the abilities to create accounts and manage the accounts that are directly related to direct voter contact. This profile
can administer Virtual Phone Banks, cut turf and create/edit scripts.
Party (4) Organizer
●
The main differences between staff and organizer are that the organizer profile cannot bulk upload. Changing the voter file is only able to
be done on a small scale. This person can create volunteer accounts.
Party (5) Volunteer
●
This profile is for people that do sporadic voter contact. These folks can make calls and enter data but they cannot create any accounts.
They cannot commit data from miniVAN.
Party (6) Data Entry
●
This profile is for your Data Entry folks. They have different editing permissions than the “Volunteer” permission. This permission does
not have the ability to create accounts.
Party (7) MiniVAN/VPB
●
This profile is designed specifically for volunteers who are using one of the instant data entry tools in VAN. People assigned to this
permission can use the Virtual Phone Bank and MiniVAN to record their data from Voter Contact. They don’t have editing privileges, but
they do have the ability to log in and use miniVAN or VPB for Voter Contact calls/knocks.
Precinct Chair (p)
●
The Precinct Chair permission has the ability to do all the Voter Contact work that will need to be done by the Precinct Chair in the cycle.
This is where you select the permissions
the person needs to do their work. If they
will be doing more intensive work, you’ll
give them the lower numbered profiles.
Remember to give access based on need.
Folks won’t all need access to mycampaign
immediately. Select one of the profiles from
this dropdown menu.
Once you’re finished with the fields, select
Next.
Here is where you
can select the
geographic
locations in which
your new user can
work. Select the
county in which they
will be working. You
can also select by
Precinct, if there is a
new precinct chair,
for example.
this is where you will send off a new
login to the user. The email they
receive will contain a link to set the
password and will walk them through
next steps.
Tips and Tricks
The more people that are able to work within the database, the
more data we are capable of collecting. The more data we
collect, the more accurate our lists will be moving forward.
The more people we have working in VAN, the more targeted
Voter Contact can happen.
You will need to reset your password every 30 days.
Changing Accounts
How to change user profiles to already
existing accounts
In order to change an account, you must first search for the user.
Use the same process as you would if you were creating a new account to get to this
screen.
Click on the name of your desired user in the search
fields.
You will then be brought to an user profile page.
Scroll down and you will be brought to this screen. From here, you can
impersonate the user to see if you can identify any problems they
happen to have.
You can send them a new password from this screen.
Down at the bottom of the page, you can see what levels of permissions
the user has. You can change this by selecting a different Profile from
the dropdown menu
Tips and Tricks
You can impersonate only users with lower
permissions than yourself.
As the County Chair, you should be the person
creating the accounts, or get a VAN
administrator to do this work for you.
Adding County Wide
Access
If you are in the User’s profile, you can select the “Assign
People” link, which will allow you to choose how much access
you’d like to assign to someone.

Select the whole
county and
save.
Once you save, you will be brought back to this screen, where
your edits will be viewable.
Create a
New list
is a tool
that has
been
updated
since the
last
cycle.
This is the
tool you
will use to
create
your call
and walk
lists for
Voter
Contact
Events.
Create a New Search
This is how we identify which people we want
to talk to. We can “pull” folks out of the voter
file based on differing criteria.
This is where we can select variants like
location, age, survey response, and “Targets”.
These Blurbs listed in alphabetical order
unless you ‘favorite’ them. Then they will
float to the top.
Clicking on the words
in each blurb will open
up a menu from which
you can select the
data you would like to
see.
In this shot, we will
see folks who have
been identified as
supporters of Labor.
“Running the search” means
“pulling” a list of folks who
meet desired criteria.
Targets
We have identified voters who are targeted for certain
types of contact.
We have targets
for Phone Banks
and Block Walks
Targeting
Using targets is the most effective way to ensure that we
are talking to the right people to ensure a strong
Democratic turnout in November. We use a few different
targets for the different kinds of contacts we are making.
Phone Targets
Vote by Mail: the Vote by Mail target is people aged 65+ and includes midrange voter scores to whom
we would not normally send a VBM Application. The goal is to identify support for the ticket so we can
add them to our list if they are Democrats or omit them if they are Republicans. Those we ID as
Democrats will be added to our VBM List.
Volunteer Recruitment: The Volunteer Recruitment target is a high support score for Democrats with
a high voter turnout score. We also are using a TDP designed process to match online volunteer
signups and convention signups to the voterfile and load them into this target. These are the folks
most likely to volunteer.
To ID Democrats: The ID target is midscore range voters, or folks that are largely unknown to us.
They have relatively high turnout score. These are folks for which we need to identify support. This
helps us identify to whom we need to speak in November.
Blockwalking Target
Block Walking: The Block Walking target is a combination
of the To ID Democrats target, but also includes base
Democratic voters and sporadic voters. These are folks we
want to touch before the election to make sure that they get
out and vote in November.
Survey Response
Under this header, you can choose a
survey question and a response to a
question.
In this example, we are searching for
the folks that have expressed an
interest in volunteering this year.
This is a good place to recruit for
phone banks and block walks.
You can also choose from what dates
these folks were canvassed.
