Prescribed sources for series
ISBD punctuation & MARC
Using SARs; tracing decision; required
references; classed-together / classedseparately; monographic vs. multipart series
• Basic description & access for series
• Complex description for series (including
subseries)

Unit 10
2
Scope
• Traditionally, description and access for
series have been hard to separate
• Recent changes in MARC 21 standards
now emphasize and clarify the separation
• Description: reflects what is on the book
• Access: uniform title (“established form”)
may or may not reflect what is on the book

Navigation
• Description (AACR2):
– Prescribed sources of information: 2.0B2
– All transcription rules are in 1.6 (2.6 only lists
examples)
– LCRI: 1.6 (extensive guidelines for PCC libraries)
• Access, Form of entry: LCRI: 25.5B (Conflict
Resolution for Uniform Titles)
• Access, Choice of Entry: LCRI 21.2C (major vs.
minor change)

Sources (2.0B2)
•
Prescribed sources of information for
series in order of preference:
1.
2.
3.
4.
•

Unit 10
6
Definitions
• Series title page: “An added title page bearing
the series title proper and usually, though not
necessarily, other information about the series
(e.g., statement of responsibility, numeric
designation, data relating to publication, title of
the item within the series). “
– Includes page preceding or facing the title page.
– Does not include t.p. verso
• Cover: front, back, & inside cover, flaps, & spine
(LCRI for Glossary term Preliminaries)

Unit 10
7
Source Priority (1.6B2)
• “If different forms of the title of the series (other than
parallel titles) appear, choose the title given in the first of
the prescribed sources for the series area as the title
proper of the series. Give the other form(s) in the note
area if of value in identifying the item.”
• “If the title of the series does not appear in the first of the
prescribed sources of information and different forms
appear elsewhere in the item, choose the title given in
the other prescribed sources in the order of preference
for the sources (e.g., if different forms appear in the
second and third sources, choose the one appearing in
the second source).”
• Note that the series t.p. outranks the monograph t.p.;
the monograph t.p. outranks the cover
7/17/2015
Unit 10

Example
• Series title page:
Yale music masterworks
• Cover:
Yale music masterworks series
• Transcribe as:
Yale music masterworks
7/17/2015
Unit 10
9
ISBD Punctuation & MARC
• Series statement. MARC, unlike ISBD: no
parentheses, no “ISSN” label, no end
punctuation
– MARC: 490 1_ ‡a Title proper, ‡x 4 digits-4
digits ; ‡v vol. no.
– ISBD: (Title proper, ISSN 4 digits-4 digits ; vol.
no.)
• Series added entry (ISSN is not entered), end
punctuation required but not double punctuation
– 830 _0 ‡a Uniform title ; ‡v vol. no.
7/17/2015
Unit 10
10
Indicators and Added Entries
• 490 1_ : there is a series added entry field,
usually 830 <default indicator>
• 490 0_ : there is no series added entry
field because
– some libraries do not follow the default & do
not make an added entry (such as LC), or
– the national authority file has a “no added
entry” decision
7/17/2015
Unit 10
11
Description and Access
• The primary function of the ISBD areas is
descriptive
• To access the description, headings or
access points must take the user to the
description
• Detailed rules for access will be covered in
later sessions
7/17/2015
Unit 10
12
Double-Duty
• Traditionally, some elements of the description
are also used for access in MARC
– Titles in the description
– Control numbers (ISBN)
• In the MARC environment, these elements can
do double-duty as long as they do not cause an
authority control problem
– 245 is both a descriptive field and an access/retrieval
field
7/17/2015
Unit 10
13
Obsolete 440
• Series once did double-duty, but the MARC
standard changed in 2008
• Prior to the change, if the descriptive form of the
series matched the series uniform title, the
series was entered in 440
• 440 is/was a field used for both
– Description (this is the way the series appears
on the book) and
– Access (the title form is consistent with the
established form of the series & functions as
the series added entry field)
7/17/2015
Unit 10
14
490/830
• In current cataloging 490 x _ is a
descriptive field only
• In order for the series to function as an
access field, an 830 _0 field must be made
• In some cases, the 490 and 830 will differ
only in tagging and end punctuation
• 830 is always a “uniform title”—the form
that must be used for all 830s in this series
7/17/2015
Unit 10
15
Cataloger Jargon
• Trace: make a series added entry
• A list of added entries was printed on the
bottom of the catalog card, so staff could
“trace” or track down the added entry
cards if the card set needed to be
withdrawn
• If a series is “untraced,” no series added
entry field is made
7/17/2015
Unit 10
16
Examples (490/830)
• 490 and 830 are the same:
490 1_ ‡a Studies in the Buddhist traditions
<no period at the end of the field>
830 _0 ‡a Studies in the Buddhist traditions.
<period at the end of the field>
• 490 differs from 830
490 1 _ ‡a Undercurrents
830 _0 ‡a Undercurrents (Cork, Ireland)
<no double punctuation>
7/17/2015
Unit 10
17
Series Examples
A. 490 1_ ‡a Botanical guidebooks, ‡x 16425006 ; ‡v no. 26
830 _0 ‡a Botanical guidebooks ; ‡v no. 26.
<No ‡x subfield; must have end punctuation>
B. 490 1_ ‡a The medical perspectives series
<490 does not have a non-filing indicator>
830 _0 ‡a Medical perspectives series. <series
added entry never has an initial article>
7/17/2015
Unit 10
18
Example: 490 0_ Based on
Authority Record—”n” means NO
• 490 0_ ‡a Suhrkamp Taschenbuch ; ‡v
3969 <authority record 645 says: do not
make a heading/do not trace>
Example: 490 0_ Based on LC
Policy
• 490 0_ ‡a American poets continuum
series ; ‡v no. 109 <LCCN 2007039117>
7/17/2015
Unit 10
20
490 0_ Local Processing
• Since the decision on the authority record is not
consistent with the indicator on the bibliographic
record, the MARS program changes the 490
indicator from 0 to 1 and makes a series added
entry
• 490 1 _ ‡a American poets continuum series ‡a
830 _0 ‡a American poets continuum series ; ‡v
no. 109.
• But do not use 490 0_ on original records on the
assumption that MARS will make the 830!
7/17/2015
Unit 10
21
Series-Like Phrase
• Words & phrases, letter/number combinations,
etc. not considered to be a series
• No 490/830 is made
• Although an authority record can be made, the
SAR does not actually represent a traceable
series
– SAR will lack 644, 645, 646
– 008 Type of series c (Series-like phrase)
• Follow instructions on the authority record which
will usually be either: record as imprint (in 260)
or in a note
7/17/2015
Unit 10
22
“Not a Series” Categories (LCRI
1.6 Series or Phrases)
• Not a series if the phrase repeats the name of a noncommercial issuing body and is not numbered;
considered a series if numbered
– An American Astronautical Society Publication
• Not a series if the phrase essentially repeats the name of
a commercial publisher or a sub-imprint of the publisher;
not considered a series even if numbered
– Bulfinch Press book
• Names of publisher subsidiaries are not considered
series; in the example, Interscience publications are a
subsidiary of Wiley Publications
– An Interscience publication
more…
7/17/2015
Unit 10
23
Not a Series (LCRI 1.6 Series or
Phrases)
• In-house editor imprints are not considered series
– A Helen and Kurt Wolff book
• Numbers alone are not considered series
– UC-13
• Slogans are not considered series
– Workers of the World, Unite!
• Names of prizes are not considered series
– Booker Prize 2005
• Terms on the back cover the publisher includes to
facilitate shelving in bookstores, such as "Novel,"
"Mystery," "Contemporary history" and so on, if
unnumbered—not a series.

New Series Authority Records
•
If there is no series authority record in Orbis or
the national file (or LCDB), an authority record
must be created by a NACO cataloger for the
national file if
1. cross references must be made (including title
change for a previously established series)
2. the series is on standing order (it should have been
flagged by Acquisitions)
3. the heading would otherwise conflict with the
heading for a different series
4. the series is classed together analyzed
5. the record is coded as pcc

When Are Cross-References
Needed for the Series?
• Variant forms: Yale music masterworks vs. Yale music
masterworks series
• Issuing body reference: any non-commercial body
responsible for the series
– Excludes commercial publishers (e.g., HarperCollins,
Gale, Suhrkamp but also university presses like
Harvard University Press)
• CAUTION: if a non-commercial body issues
through a commercial/university press, a reference
for the non-commercial body must be made
– Includes university publications not issued by the
university press & government publications
7/17/2015
Unit 10

is part of the series name; one issuing body is
the (non-commercial) publisher

Unit 10
32
Series Cross-References
• Reference made for issuing bodies of or associated with
the university, although published by the university
press; note also reference for the earlier series title

33
Analysis
• Locally, a catalog record is not made for the
series itself (unless it is a classed-together
multipart)
• If a bibliographic record is made for a book in a
series, the series is said to be analyzed & the
bibliographic record for the book is called an
analytic record
• On the SAR, 644 f means the series is analyzed
• Analytic bib records are made for series that are
classed separately or classed together
7/17/2015
Unit 10
34
Classification Decision (646)
• The 646 field indicates whether the series is
classed together (646 c) or classed
separately (646 s)
– Books in a classed-together series are all
assigned the same call number; books in a
classed-separately series should NOT be
assigned the same call number
– Locally, the SAR for a classed together series
is expected to have a 090 with the call
number & location used for the classed
together series
7/17/2015
Unit 10
35
Classification Decisions Vary
• Whether to class together or separately is a local
decision, dependent on the needs of the library
(but an unnumbered series cannot be c.t.)
– The Library of Congress as a matter of policy
ceased classing together books in series in
2007
• Catalogers are expected to check the series
authority record and the Orbis database to
determine whether a local decision was made to
class the series together (or not)
7/17/2015
Unit 10

38
Monographic Series vs. Multipart Series
• Monographic series: a series of monographs
with no determined conclusion
– Most series are monographic series
– Series added entry is usually a uniform title
• Multipart series: a series of monographs with an
implied conclusion
– Collected, selected, or complete works of an author;
author/uniform title combination added entry
– Multipart histories, studies, etc. (of art, of a country,
etc.), or a single multipart work by an author, with
volumes having distinct individual titles; uniform title
added entry (or author main entry)

39
Monographic Series vs. Multipart Series
A. 490/830 Springer series in advanced
microelectronics
•
No limit to the number of monographs that can
be issued under this monographic series
B. 490 Selected works of Miguel de Unamuno,
but:

Selections. ‡l English. ‡f 1967.
•
7/17/2015

multipart set
Unit 10
40
Multipart Series
• Can be classed together or classed
separately if the multipart is analyzed
• Generally references will need to be
made, so a SAR is needed
• Orbis Staff Name/Title search is a good
index for searching for the SAR if the
multipart is an author’s works

Series Searching Tip
• Only Staff searches retrieve SARs; generally
use Staff Title Headings Search
• Generic series titles are usually qualified by the
issuing body or publisher
– Generic titles consist solely of the type of publication:
“Monograph series,” “Working paper(s),” “Occasional
paper(s),” etc.
– Occasional papers (Art Libraries Society of North
America) but NOT
– Occasional papers of the Africa Institute <no
qualifier>
7/17/2015
Unit 10
50
Series Searching Tip
• Non-generic series titles are qualified only
if they conflict
• Usually the non-generic series qualifier is
the city of publication, but common (as
opposed to generic) titles are often
qualified by publisher:
– Literary classics (Amherst, N.Y.)
– Literary classics (Gramercy Books (Firm))

Series Title Proper (490)
• Transcribe the title proper of the series in 490 ‡a
as you would transcribe the title of the book: use
the same punctuation, capitalization, and
diacritic rules (1.6.B1)
• If there are variant forms on the book, use the
priority list for prescribed sources to determine
which form to transcribe in 490 (1.6B2)
7/17/2015
Unit 10
54
ISSN (490 ‡x)
• Transcribe the ISSN following the series
title proper in 490 ‡x
– Do not enter “ISSN” before the digits in ‡x (MARC will
provide the “ISSN”)
– Enter the number in 2 groups of 4 digits separated by
a hyphen: ‡x 1234-5678
– When a ‡x subfield is entered in 490, end the series
title proper (490 ‡a) with a comma
• Take the ISSN from anywhere in the book

Caption and Numbering (‡v)
• Enter caption & numbering in 490 ‡v
• End the subfield preceding ‡v with a space semicolon
(subfield preceding ‡v could be 490 ‡a or ‡x)
• Include the caption used on the book with the numbering
in 490 ‡v, but abbreviate the caption if listed in Appendix
B.9 (1.6.G1)
– If not listed in B9, transcribe as found (abbrev. or not)
– If the caption is abbreviated on the book, convert to
the AACR2 abbreviation if listed
• Transcribe letters used as numbers as is (capitalized or
not); do not convert to arabic numerals

• Convert roman numerals to arabic numerals (exceptions
can be made for clarity)
• Convert written out numbers (“volume four”) to arabic
numerals (“v. 4”) (Appendix C.2)
• Convert written out ordinals to abbreviated forms:
– English: 1st, 2nd, 3rd, etc.
– All other languages 1., 2., 3. etc.
• Ordinals already abbreviated in the book in other
languages: transcribe as is: 2a. (if on the book) not 2.
• Don’t convert ordinals (3rd) to cardinals (3)

Parallel Series Titles
(LCRI 1.6B, 1.6C)
• If the series appears in multiple languages,
choose as the language of the title proper the
predominant language of the book (LCRI 1.6B)
• Record the series title proper based on LCRI
1.6B, then,
• Record the first parallel title (1.6C LCRI)
• If neither the series title nor the first parallel title
is in English, record in addition the subsequent
parallel title in English if there is one (1.6C LCRI)

Multipart Numbering (1.6G2 &
LCRI 1.0C)
• Do not follow LCRI 1.0C (LC/CONSER practice
for temporary data, e.-f.) to record series when
the book cataloged is a multipart
– 1.6G2: express series numbering when the book is a
multipart as a range, e.g. v. 1-5 (record gaps with a
comma & do not repeat the caption: v. 1, 3-5)
– LCRI 1.0C says to record temporary data for series
numbering in <angle brackets>; YUL does not follow
the LCRI for temporary series numbering data (but
does apply it to 260 dates)

Subseries (1.6H1, 1.6H4)
• LCRI 1.6H. Two series are considered to be
series/subseries if both are on the same topic,
but one is comprehensive, the other specific
• LCRI 1.6H. Record the subseries after the main
series if they appear together on a prescribed
source; select as the prescribed source the
source in which they appear together
• LCRI 1.6H. If the series and subseries do not
appear together on any single (prescribed)
source, record them in separate series
statements
