USA Volleyball
&
Advanced Event Systems (AES)
National Event Registration
Information Session
October 10, 2008
Additional Notes/Comments:
• First step is to be sure membership data is accurate in Webpoint and
verified prior to accessing AES.
• Non-Webpoint regions need to supply club administrator information to
USAV for login to be created.
• A Webpoint email support form will be inserted. USA Volleyball and AES
will receive a copy of the email with questions, comments or issues to
respond.
• Once players & staff are in AES the next step is to add them to your team
roster.
• If a member of a club is not displaying, there may be a problem with that
individual’s membership within the club (not identified properly), within
the region (registration or payment not received), or within the USAV
national office (data regarding current membership status or current
background screening not received). First action should be to check the
club records. If everything appears to be in order within the club, the next
action should be to contact the Region.
Additional Notes/Comments:
• Information regarding IMPACT certification must be included in USAV
data.
• Coach Eligibility in Webpoint Regions is determined by the Coach Code of
Ethics Date Received field. Regions may use this to track additional
regional eligibility requirements.
• Coach Eligibility in non-Webpoint Regions is determined by the data file
including the role of Coach or Assistant Coach. An individual should only
have this role associated with his/her record if regional coaching eligibility
requirements are met.
• For junior clubs, ALL adult members must have a current Background
Screening in order for the membership data to import into AES.
• USAV data may be imported periodically to overwrite manually entered
records with verified USAV data. USAV data imported into AES will not
need to be verified by the Regions. Data which is manually entered into
AES will need to be verified by the Regions.
