Pre-project planning and documentation is crucial for a
successful project:
By analyzing and documenting the business case, you are able to
capture the reasoning for initiating the project.
By defining the project scope definition package, you conduct one of the
major tasks in the pre-project planning process. It is where risks
associated with the project are analyzed, resources estimated,
objectives formulated, quality criteria set and critical decisions made.
By creating the project planning, the specific project execution approach
is defined. The success of the project will depend critically upon the
effort, care and skill you apply in this initial project planning.

 Current Situation
To be able to understand the project; every participant needs to understand how
& why things works nowadays.
 Problem / Opportunity
Makes clear to everyone why the project is needed, and what the problem
(opportunity) is in the current situation.
 Vision
Aligns all stakeholders in the project, so that they share the same vision of the
future situation.
 Options
Documents why a certain direction, and from which available options, was chosen.
 Benefits
Makes sure that everyone has the same idea of the business value.

Project Scope is the chapter that defines the project focus.
• Scope
Defines, in broad terms, the size of the project by explaining what activities you will
perform, and for how long. (note: mention explicitly what you will not do).
• Solution
Gives an idea of the (sub)systems you will deliver and implement, without details,
on a macro level to acquire director level buy in.
• People and Roles
Names the stakeholders and their roles and responsibilities in the project. Makes
sure that everyone knows who will make decisions.
• Quality Criteria
Names any quality requirements that are applicable, and assigns priorities in case of
conflicts among the qualities (like performance vs. security).
• Risks
Be sure to mention any risks, so that any re-planning (when some of the risks turn
into real problems) does not come as a surprise later.

Project Planning is the chapter that defines how/when we intend to
do the project.
• Processes and Activities
Mentions the processes and activities you will apply.
• Milestones
Names any specific dates and (if known at this stage) what you expect to be
delivering. Regular iterations/releases might be mentioned here.
• Dependencies
Names any dependencies, like the involvement of third parties, which are beyond
your own direct control.
• Assumptions
Makes any assumptions explicit, like the availability of certain information, or the
availability of other systems and services.
• Change Management
Defines how you're going to cope with changes during the project. This is part of
the defined process, yet it deserves to be mentioned explicitly.

following information types (depends on complexity):
• Reference - project name/reference, origins/background/current state
• Context - business objectives/opportunities, business strategic alignment (priority)
• Value Proposition - desired business outcomes + roadmap, business benefits,
quantified benefits value, costs/ROI, financial scenarios, risks/costs of not
proceeding, project risks (to project, benefits and business)
• Focus - problem/solution scope, assumptions/constraints, options identified/
evaluated, size, scale and complexity assessment
• Deliverables - outcomes, deliverables and benefits planned, organizational areas
impacted (internally and externally), key stakeholders, dependencies
• Workload - approach, phase/stage definitions, project (change) activities,
technical delivery activities, workload estimate/breakdown, project plan and
schedule, critical path, required resources - project leadership team, project
governance team, team resources, budget & funding
• Commitments (required) - project controls, reporting processes, deliverables
schedule, financial budget/schedule
