Why does the University need to know I am
travelling overseas?
o The University has a duty of care to its staff and students
o In the event of an overseas crisis we need to know whether any staff or students
may be affected. Serious incident plan can be activated ensuring VCE are fully
briefed to enable to full response.

What are the University’s procedures?
1. Obtain authorisation from HoD and prepare FIN1
2. Complete the online Travel Overseas Form
3. Read Occupational Health travel advice
4. Register with TravelGuard- If destination is ‘high risk’ or field work
it is the travellers responsibility to complete a Risk Assessment.
5. Both HOD and Sally Hartley (or VCE) will need to formally sign off
trip.

What Insurance does the University
provide?
AIG are the University Insurers
Our insurance does not cover staff or students for travel to
countries classified as “Extreme Risk” by TravelGuard, or to the
following destinations due to either high kidnapping risk
 Iraq (except Kurdistan)
 Sudan
 Niger Delta
e.g. Syria is currently classified as “extreme” risk.
What Insurance does the University
provide?
Personal effects/money:





Read the summary of cover for limits.
Emergency replacement of visa, passport etc
Property irregularity report.
Must report to police within 48 hours
Be vigalent and don’t display obvious signs of wealth.
What Insurance does the University
provide?
Cancellation/curtailment
 Cover if a trip has to be cancelled or cut short as a
direct result of a cause which is outside your control.
 Exclude failure of airline/events known
about/disinclination to travel.
 E.g – accident or illness just before due to leave UK.
What Insurance does the University
provide?
Emergency Medical Assistance

If applicable make sure you get your European Health Insurance Card.

Lifeline Plus Assistance must be called ASAP – If possible prior to seeking medical treatment. Failure to call
them could invalidate your insurance. They are great and will support you if the worst happens!

Where possible they take over medical care including organising hospitalisation/treatment/advice/return.

Limited capabilities in certain regions

Exclude journeys against medical advice
