Responsibilities of CPMG
 To Motivate students to participate enthusiastically in AAROHAN POORNIMA
2014
 To prepare the detailed plan and working structure of the fest.
 To follow all the guidelines and targets proposed.
 To coordinate activities at group level, collect instant feedback and take
decisions in order to attain best possible results.
 To provide all the formats to concern group advisors.
 To resolve all sorts of problems and issues of working groups for better and
efficient output.
 To ensure effective execution of all events and to support all managerial
groups in their respective tasks at the 11th hour.
 To maintain discipline .
 To distribute T-Shirts among Student Co-ordinators & Volunteers.

Responsibilities Of Group Advisor
• Overall in-charge of respective Group (Event/Mgmt.) .
• Group Advisor of Event Category will form the event advisor for each event
from his/her respective campus.
• To ensure the fulfillment of all the deadlines concerning execution and
reporting.
• To co-ordinate with Management Group Advisor if required.
• Only Group advisors are required to report Chief Co-ordinator AAROHAN
for all purposes.
• To provide & Collect all formats from event advisors.
• To attend daily meeting of CPMG from 4:00 PM to 4:30 PM at CPMG office
for sharing information.
• To act as a motivator and promoter for Event Advisors & participants .
• To prepare and submit final report of all activities to Chief Co-ordinator

Role Of Event Advisors
To work under the guidance and advise of group advisor.
To work as overall in-charge of Event.
To ensure massive participation of students of all institutions.
To prepare, coordinate and supervise execution plan of event.
To appoint Event Documentation Coordinator(EDC), Coordinators & Volunteers.
To distribute daily coupons (valid for the date of issue only) to coordinators and
volunteers.
To work as arbitrator in critical situations.
Interact & coordinate with respective group advisor and if required to Mgmt.
Group.
To prepare and submit report of respective event to Group Advisor on daily
basis.
To form rules and regulations of their respective event.
To invite judges/referees (among PGC Faculty members and parents).
To decide draws and ensure availability of venues, equipments and support
system.
To maintain and provide all information related to documentation / data
through Event Documentation Coordinator (EDC).
To Maintain proper communication with coordinators and volunteers.

Hospitality And Help Desk
 To invite guests and dignitaries from and outside Poornima








Foundation for inauguration of various events.
To receive the invited guests and escort them to appropriate venues.
To help the students with all kind of information (for eg. Exact venue
of event, contact details of respective coordinators and volunteers
etc.).
To establish and operate computerized help center with provision to
make announcement regarding status & commencement of events,
results, transport etc.
To ensure media coverage in all major news papers/channels with
measurable output.
Decoration of campus with flags and hoardings.
Calling parents for inauguration and judging in events.
Photography and video shooting of events.
Publish of a newspaper for Aarohan Poornima 2014.

 To design, publish and operate bus transport system during the event with








details of routes, bus numbers, timings and drivers.
To arrange for escort of invited guests.
To arrange intra campus transport at regular interval.
To arrange and publish details of one emergency vehicle in each campus.
To make First-Aid box in each campus and to appoint designated faculties
for its operation and to issue Wheel-Chair & Stretcher.
To design a system for making hygienic and healthy food items available.
To design and publish details of items along with their price which will be
available on stalls.
To design and publish details of available facilities in PGC mess along with
time schedule.
To design and publish the system of refreshment for invited guests.

 To design and publish the process of procurement of

materials, issue and return of consumable and nonconsumable materials.
To coordinate with group advisors for possible
requirements of materials and arrange to purchase the
same.
To issue the material as per defined process.
To maintain proper records and submit a report
specifically highlighting misuse/inappropriate use of
materials at the end of the fest.
To make available materials for welcoming the guests.
To arrange for the payment of the invited referees from
outside Poornima Foundation.

 To publish all the details of Aarohan Poornima 2014 on the







website comprising schedule, registration forms, necessary
contact details etc.
To train the students about the procedure of registration for
participating in Aarohan Poornima 2014.
To ensure proper functioning of registration mechanism which is
yet to be decided and to provide list of participants at-least 03
days prior to the event.
To generate regular reports (event wise/group wise) for
documentation purposes.
To update the details/results of events on website on daily basis.
To upload event photographs on daily basis.
To set-up LCD systems for information display.
To set-up information center at all the three campuses.

 To design the overall security system for Aarohan Poornima 2014 and

provide sufficient training/drill to each individual involved in
maintenance of discipline.
To design specific security arrangements during cultural programs, take
approval from local administration and police.
To create internal intelligence network at all campuses and channelize
the flow of information for effective redressal.
To ensure issue of PGC I-Card to each student well before start of the
event.
To ensure the participation/entry in events through PGC I-Cards only.
To arrange Ambulance vehicle with medical staff.
To strictly keep a check over OUTSIDERS.
To detect and take immediate actions in situation of mob formation and
chaos.

Publication and Documentation

To act as a single body responsible for creating reports and results
instinctively with the coordination of Website and Maintenance
Group.
 To be in touch with all the Documentation Coordinators at all level i.e.
events and groups.
 To give and take reports, results, data and formats with other
Management Groups, as and when required, for efficient working in
Aarohan Poornima 2014
 Post event, to collect and retrieve reports from Advisors at all level i.e.
events, groups etc. and submit them to CPMG

submit required data and documentation under
supervision of advisor.

the team will be from same department of the college. The registration of team events
will be compiled by HOD in the prescribed format and will be uploaded on the

Points To Ponder…
• Department Level team formation
• 1st year department of PCE will be divided into 2 separate departments
(Group A,B). (PCE- 02 Dept.)
• PIET 1st year will be one department. (PIET- 01 Dept.)
• PGI 1st year will be one department. (PGI- 01 Dept.)
• All higher classes (2nd yr, 3rd yr and 4th yr) of each branch / discipline will be
treated as one department. (PCE- 07 Dept., PIET- 05 Dept. & PGI- 04 Dept.)
• M. Tech. PCE will be one department (01 Dept.)
• Total department- (04 + 17 = 21 Dept.)
Note:
In case of outdoor sports events the formation of girls team will be as follows:
1. First year department (all branches combined) will be considered as one
department. (04 Dept.)
2. Higher classes (all branches combined) will be treated as one department.
(PCE M.Tech. -01 Dept., PCE- 01 Dept.{EC+EIC+EE} + 01 Dept.{CS+IT+CIVIL+ME}, PIET- 01 Dept. & PGI- 01 Dept.)

Fundamental Rules & Regulations
• Judges/Referee/Group Advisor’s/Event Advisor’s decision will
be final & binding.
• Judges coming from outside PF may be offered Rs.400/against use of their personnel conveyance.
• Participants have to follow the rules & regulations that are
decided for the event.
• Participants will have to maintain the dignity of event as well
as institution.
• Carrying Identity Card throughout the Fest is compulsory for
faculties and students.
• During the Aarohan Poornima 2014 all the Advisors &
Faculty members will not be allowed to take leave. For
emergency condition permission will be granted only by
Director General, PGC.

Discipline Regulations
• Group & Event Advisors along with members of discipline committee will
be authorized to take on the spot action against students involved in any
act of indiscipline.
• Types of indiscipline:
1. Inviting anybody from outside Poornima Foundation.
2. Using abusive language & personal commenting.
3. Objecting decision of Judges/Advisors.
4. Misbehaving with organizing teams, faculty & staff members on duties.
5. Consumption of alcohol or entering campus under influence of alcohol.
• Actions:
1. Cancellation of participation in one/more/all events.
2. Suspension from Tech Fest.
3. Suspension/Termination from college under existing PGC norms.

Special Arrangements
• Canteen/Provision open at all venues within easy
approach from 09:00 AM TO 05:00 PM
• Hostel mess available to Hostellers & Day Scholars
(on payment basis) between 11:00 AM TO 02:00 PM
• Mess of all campuses will run as per regular
schedule for their respective Hostel students.
• Students living in Himalaya Boys hostel will avail
their lunch in PIET Mess.

Transport Facilities
• Transport facility will be available as per
following:
– Arrival time
– Departure Time
: 09:00 AM
: 05:00 PM
• Free transit arrangement to/from all campuses
available at an interval of 20 minutes, From both
ends (PCE to PGI and PGI to PCE).
NOTE:
Pick-up time will be decided by the transport
department of PGC and will be circulated in time.

 IF ANY STUDENT DOES NOT REGISTERED HIM SELF/ HER SELF IN ANY
ACTIVITY, HE/SHE WILL BE AWARED 0 MARKS OUT OF 10 MARKS IN
DISCIPLE.

Incentives to Student Coordinators and
Volunteers
 ATTENDANCE
 A max of 12 attendance to event volunteers.
 A max of 16 attendance to group coordinators and event
coordinators.
 A max of 30 attendance to CPMG Coordinators.
 COMMUNICATION ALLOWANCE
 Rs. 100/- to all CPMG coordinators and group coordinators for the
purpose of telephonic communication.
 REFRESHMENT COUPONS
 A coupon of Rs.40 will be given to all coordinators and volunteers on
days of execution of event.
 T-SHIRTS
 All the coordinators and volunteers will get a T-Shirt of Aarohan
Poornima‘14.
NOTE: THERE IS NO PROVOSION OF CERTIFICATES TO THE COORDINATORS
AND VOLUNTEERS.
