Printing
• One of the most important considerations
in creating a paper copy of an Excel
document is determining how you want
your data to appear on the printed page.
– Preview a Worksheet Before Printing (Print
Preview)
– Change Your Printer Setup (Page Setup)
– Zoom In on Part of a Page
– Change the Page Breaks in a Worksheet

Change the Page Printing Order for
a Worksheet
• In Page Break Preview
mode, Excel indicates the
order in which the pages
will be printed.
• To change the printing
order
– Click File  Page Setup
– Click on Sheet
– Click Down, then over

Suppress Errors in a Worksheet
Select <blank> to
suppress cell error

Print Nonadjacent Sheets from a
Workbook
• If you want to print more than one
worksheet from the active workbook, but
not every worksheet in the workbook, you
can select the worksheets from the tab bar
to print. Use Ctrl to select the different
worksheet.

• Selecting the Page(s) option
button and type From and
To boxes.
• To have Excel fit a
worksheet on a set number
of pages open Page Setup
and click Fit to option button
• To print a portion of a
worksheet, you can define
the area.

• You can hide rows or
columns
• Click File Page Setup

Printing Worksheet without a Chart
• You can print a worksheet without printing
an embedded chart by setting the chart’s
properties so that it remains hidden when
the worksheet in which the chart is
embedded is printed.
• It is similar to hiding rows and columns

Avoid Printing a Chart
• Right Click on Chart 
Format Chart Area 
Properties Tab
• Select the Print object
check box causes Excel
to print the chart when
the worksheet is printed,
while clearing the check
box hides the chart.

• To print a chart, click
chart tab and then on
the File menu, click
Print to display the
Print dialog box. In
the Print what
section, the Selected
Chart option button is
the only one
available.

• If you want to print the
chart at its actual size,
such as when a full-page
slide would be too large
for your projection
equipment, you can do so
by opening the Page
Setup dialog box to the
Chart tab page.
• Custom option tells the
Excel to print chart at its
actual size.

Excel gives you complete control over how your worksheets
appear on the printed page. Don’t be afraid to experiment
until you find a look you like.
Use Print Preview to see what your worksheet will look like
on paper before you print, especially if you’re using an
expensive color printer.
You can preview where the page breaks will fall when you
print a worksheet and change them if you so desire.
Don’t forget that you can have Excel avoid printing error
codes! Be sure to use your power wisely.
You can choose either to print or not print hidden rows and
columns, and repeat rows or columns in a printed worksheet.
When you print a worksheet that contains a chart, you can
print the chart so it fills up an entire sheet of paper, print the
chart at its actual size, or print the worksheet without the
chart.
