What do we mean by “visually
scanning or shelf reading items?”
To visually scan physical items for call number consistency—
popularly known as “shelf reading”—we visually check the call
number every single item in the shelf section that we are
reviewing
We are checking to see if the items are in the correct call
number order

Why shelf read?
Shelf reading is our best means of ensuring the integrity of our
physical collections
This task supports the two primary objectives of Access
Services
Let’s briefly review those objectives

17/48
Why shelf read (2/4)
1.
2.
To maintain the integrity of and access to the various library
collections
To assist library users as needed to find materials and to gain
accurate information related to their research needs

18/48
Why shelf read (3/4)
In essence, we are charged with…
Managing the physical order and circulation of research
materials in a variety of formats (paper, floppy disk, CD, LP,
audiotape, etc.)
Maintaining patron records and working with patrons about
aspects of those records (e.g., fines)
Communicating with library users about research materials that
they are using or wish to use.

19/48
Why shelf read (4/4)
As a critically important performance task that supports our
departmental objectives, shelf reading confirms that every single
item is in its proper call number position
Done as a regular and organized activity, shelf reading promotes
effective access to our physical collections by library users
Shelf reading is our main means for finding missing items that are
either mis-shelved or have fallen down behind the shelves

Accuracy and quantity
Visually scanning items is a labor-intensive activity
It requires that you remain attentive and mindful to the task
Accuracy, not quantity, should be your main consideration
This task assignment will usually last an hour
You can expect to shelf read once per four-hour work shift each day
you work
Revised WE 2013-05-29 15:20 EST
Created WE 2004-06-23

22/48
Accuracy and quantity (2/2)
Although accuracy has precedence over quantity, you can expect to
shelf read somewhere in the range of 300-600 (non-journal) items in
an hour’s time, depending on your skill level, how messed up the
shelving area is, and the size of the items
But do not rush through the assignment
Take care scanning each item’s call number
Speed is not important on this task

Write down the previous number
On the sheet for the particular call number area where you are
assigned to shelf read, write down the last call number jotted
down by the previous student for the assigned section on a slip
of paper
This call number is where you will begin
In the binder, write down the date and your name, so no one
else will be sent to your section at the same time

Note where you stop; count
At the end of the hour, note down the call number of the last
item you scanned
Try to have your last item shelf read during your hour be the last
physical item on the shelf
This will make it easier for the next person to find where to
continue
Now count all of the items that you have shelf read; allot enough
time when you start shelf reading to be able to accomplish this
count before leaving the area
Return to the Circulation area and sign back in on the Daily
Tasks Completed sheet
In the “No. of Task Items” column, write in the total number of
items that you shelf read
