The number of books sent to your school will be based on previous campaigns STEP 3: Complete a membership plan Review the “Chapter Leader’s Checklist” for 2014 – 2015 Fill out your SOMA Membership Recruitment Plan *deadline 7/31/14 Fill out your “activities/events to promote the osteopathic profession” report *deadline 7/31/14 STEP 4: Confirmation of book shipment You will receive an email from [email protected] confirming the ship date, location and number of books You will receive a tracking and/or order number STEP 4: Use SOMA FLYERS & helpful info You will receive flyers at your studentdo.com email with the following info: ◦ Membership Benefits Flyer ◦ Reasons to Join SOMA ◦ SOMA Welcome Letter Use and edit the flyers to assist in your membership drive to compliment your own recruitment plan! STEP 5: Confirm receipt of books Send an email to [email protected] with a scanned copy of the order summary (located in or on one of the boxes) If you do not receive an order summary, send a detailed email with the amount of books that arrived to your campus Work with your Executive Board to come up with ideas and incentives Use the following slides for extra tips Collectively decide what works best for your chapter Actively participate in the 2014 Membership Drive Workshop at the summer meeting!!! Contact Admissions about including a SOMA Flyer in the orientation packet for new students that features: ◦ Reasons to join SOMA ◦ Benefits ◦ Info about the FREE Gilroy Atlas by Thieme Inquire about making a note in the 1st year book list (especially if Gilroy Atlas is a required or suggested book)◦ “FREE Gilroy with SOMA Membership, which is $__ for 4 years of membership. Join during Orientation Week!!” for more info contact: school [email protected]” Prepare a SOMA presentation to give during orientation: ◦ Ask administration ASAP if you can present during Orientation (the sooner you talk to students, the better) ◦ Utilize the SOMA recruitment PowerPoint (update it and make it your own/relevant to your chapter) ◦ Set up laptops outside of orientation for students to use to join online (and to receive their FREE Gilroy atlas right away) Find an influential spokesperson: New member gifts (and raffles): ◦ Find a leader who is a SOMA supporter, and encourage them to speak on SOMA’s behalf at orientation or some other time early on in the Fall semester ◦ ◦ ◦ ◦ ◦ ◦ Scrubs, gloves, etc. Textbook, pens, etc. T-shirts students will do anything for a free T-shirt OMT pocket manuals Personalized business cards “Med School Survival Guide” created by current students for incoming students, etc Welcome Party/Reception: ◦ i.e. OsteoBlast ◦ Ice Cream Social ◦ BBQ, bowling, etc… SOMA Benefits: ◦ FREE GILROY Anatomy Atlas! ◦ Push the benefits that SOMA offers! Specifically the SOMA insurance. Currently this program is much more affordable as insurance companies continue to increase premiums Represent SOMA at your school’s Activities/Club Fair: ◦ Create a slideshow of past SOMA events (Conventions, DO Day On the Hill, Unity Project, your own Chapter events) ◦ Create a poster highlighting the benefits of SOMA ◦ Hand out candy/treats with a small card attached listing a few key benefits, and the website to find out more about SOMA Raffles: Promote SOMA New Member Scholarship ◦ ◦ ◦ ◦ ◦ ◦ ◦ ◦ ◦ ◦ ◦ ◦ Utilize the FREE Thieme Recruitment Packet! Textbooks, pens, etc. T-shirts Restaurant Gift Cards Nintendo Wii iPhone Weekend get-away or other desirable prizes Offered by National SOMA Foundation Five $500 scholarships given out at the Fall Convention DEADLINE: September 12, 2014 If you have extra funds, consider offering an additional scholarship for 1 new member to attend Fall convention to get them more involved right away Follow-up from your initial membership Create flyers and send out emails with instructions on how to register online Allow students to sign up on their own time Continue to recruit new members throughout the year (know that after October 15th they are not eligible for a Gilroy atlas) Leftover books MUST be sent back to Thieme prior to Dec. 1, 2014 or you will be charged UNUSED BOOKS MUST REMAIN SHRINKWRAPPED Send an email to [email protected] with the following information ◦ School name ◦ Amount of books to ship back If your school utilizes laptops, do the SOMA presentation in the lecture hall and have everyone register at the same time If your school does not utilize laptops, or if you are registering students during an Activities/Club Fair, you can have a few laptops available at your SOMA table to allow students to register online (the easier you make it, the more likely they are to sign-up!) Online Registration 2014-2015: ◦ Online registration is the ONLY way to sign-up for SOMA (unless you are an automatic school) ◦ Payments will be made online at the time of registration via credit or debit card **Students cannot receive their FREE Gilroy Atlas until they register for SOMA online** (auto-enrollment schools are the only exception) Include the following in a PowerPoint or send this in an email.. ◦ To register for your 4-year SOMA membership, visit www.studentdo.com/join ◦ Create an account You will verify information and assign a username and password ◦ Log in with your new username and password ◦ Click the blue “Join Now” icon Make sure to indicate your appropriate COM and graduation date! Fill in ALL required fields Click “Join” to move on to your payment ◦ *Please only hit submit button once* **Note: Creating a username and password doesn’t mean you are a registered member. You must complete a payment transaction in order to be a full member with special access to the site. Your students DO NOT need to enroll online!!! I will say it again… AUTO-ENROLLMENT schools DO NOT need to enroll online. Please read the following sides for how we obtain all your member information. Confer with your administration about who will be collecting the necessary information which is posted on the next slide. ◦ Even though your school has paid membership dues, it does not automatically mean they are registered SOMA members! You or your faculty representative should contact [email protected] with the official number of incoming students to receive an invoice for your payment. (DEADLINE Sept. 31) After payment and all the requested student info is received, SOMA will upload the roster and send out individual emails with each students’ username and password Use excel spreadsheet. Telephone Number Mobile Number Email College of Osteopathic Medicine (COM) Year of Graduation New members can use their new Username & Password to log into www.studentdo.com to access the wonderful benefits that SOMA membership has to offer Members may utilize the SOMA website to find out about upcoming conventions and projects, and to network with other members across the country! Presidents and NLOs automatically have privileges to www.studentDO.com to access their chapter’s membership data. Just use your membership log in information. Strict deadline - new members will NOT receive Gilroy Atlas if they register after October 15 If you’re having trouble meeting the deadline, please contact Mary Mamut at [email protected]. We are here to help! ◦ Each chapter will submit a report on the success of their program and how many students are involved in the organization ◦ It is imperative that all new members fill out their information correctly for reporting purposes and so SOMA members can be contacted at the appropriate place. $48 = National SOMA Less amount = due to your chapter Example: Your dues total: $73 National Dues: - $48 ___________________________________ Due to your chapter: $25 x (# of members who joined) National SOMA will send checks to your local SOMA chapter for the chapter portion of dues When you receive your check it will detail the amount of members per month and the total. 1. Reimbursements must be sent to an official COM Administrator at each chapter. This information will be verified every few months. We will not send SOMA chapter reimbursements to individual Chapter Leaders. 2. Checks must be cashed within 30 days 3. Checks are sent for a minimum of 5 new members or after 3 months, whichever comes first 4. Checks will come via CHASE BANK. These are frequently mistaken for junk mail. Please let your SOMA Chapter COM Administrator know to look out for your Chase reimbursements Steps: 1. Login to studentdo.com 2. Click on the tab Member Portal and select membership reports 3. Go down to the box for the membership roster search 4. For member type select SOMA student member 5. Put in the dates for your membership drive in Join Dates Between (Probably best to use you drive start date to the present date.) 6. Select your chapter in the Chapter field. You can leave the other fields for the search blank. 7. Click Find. It will generate a report on the website, but at the top right hand corner of the report, you are able to download it via word, excel, etc. Your Region Trustees and the rest of the National Leadership Team is here to help!
