Menu bar commands
• The Menu bar at the top of
the screen lists commands
available in Word.
• Examples are File, Edit,
View, Insert, Format, and
Tools.
• Click an item on the Menu
bar (File, for example) to
display available options.

Navigate in a
document
• The document window displays only a portion
of a page at one time.
• Move within the entire document by using
the:
– Keyboard.
– Mouse.
– Vertical scroll bar to move up and down through a
document.
– Horizontal scroll bar to move left and right across a
line.

Select text
• Text must be selected before it can formatted or
manipulated.
• Selected text is highlighted in black on the
screen.
You need to select text to change it or
manipulate it. Selected text appears dark on the
screen. Selected text looks like this sentence.

• Select a word
– Click at beginning of word and drag mouse over text.
or
– Double-click on the word.
• Select a paragraph
– Triple-click in the paragraph.
• Deselect text
– Click anywhere outside the selected text.

Formatting toolbar
• Buttons on the Formatting toolbar provide an
efficient way to apply character formats.

Font size
Underline
Italic

Fonts and font sizes
• Font refers to the appearance of a character
distinguished by typeface and size.
• Word’s default font is 12-point Times New Roman.
• Most text is keyed in a 10-, 11-, or 12-point font.
• A 14-point font is often used to emphasize main
headings and titles.

• Word offers a variety of fonts and font sizes.
Font size is
measured in
points. One

Alignment
• Alignment refers to the way in which the text
lines up.
• Use the alignment buttons on the Formatting
toolbar to quickly align text at the left, center,
right or justify text.

Line spacing

• Word’s default line spacing is
single (1.0).
• Other options are:
– Double spacing (2.0), which leaves a
blank line between every typed line.
– 1.5, which leaves .5 blank lines
between typed lines.
– 2.5, which leaves 2.5 blank lines
between typed lines.

Check spelling
• Use the Spelling and Grammar feature to
check the spelling in your document.
Checker
identifies a word
not in the Word
dictionary.
Suggested spellings.

Undo
• Click the Undo button to reverse the most
recent action you have taken.
• To reverse several actions:
– Click the down arrow on the Undo button to display
a list of recent actions.
– Click the action you wish to reverse.
– Remember! All actions above the selected action
will be reversed too.

Redo
• Click the Redo button to reverse the last
Undo action.
• Can be applied several times to redo the past
several actions.
• Click on the down arrow on the Redo button
to view all actions that can be redone.

• To center a page
vertically:
– Insertion point on
page to be centered.
– File menu, Page
Setup.
– Layout tab.
– Vertical Placement:
Center.

Insert date feature
• Insert menu,

• If desired, check

Tab types
Left
Aligns text at the left.
Right
Aligns text at the right.
Center
Centers text around tab.
Decimal
Aligns numbers at the decimal point.
Bar
Aligns text to the right of a vertical
bar.

Horizontal ruler
• Tabs can be set or cleared on the Horizontal
ruler.
• To view ruler:
– Click View menu, Ruler.
Default tabs
• Set every 1/2 inch (0.5)
• Small gray marks
