SUBSEQUENT COE POLICY

Students have an opportunity to submit a subsequent COE after not meeting standard on a previous one. A subsequent COE must follow similar protocols for submission as those for original COEs in terms of using inclusion bank tasks, meeting sufficiency requirements and submitting the collection during the submission windows published by the state. Subsequent COEs do not qualify for the stipend and incur a $200 scoring fee. District Assessment Coordinators must authorize the development of a subsequent COE. Instructions can be found at: http://www.coe.k12.wa.us/domain/53 4/27/2020 6

CREATING GROUPS

A “Group” is any logical grouping of students  Class  Part of a class  Students who are working at the same time and have the same sufficiency requirements   Cohort groups  Full submission Standard subsequent submission (did not meet standard with a score between 21 and 40) Expanded subsequent submission (did not meet standard with a score of 20 or below) Invalidated students  Must complete a new full submission  May not re-use any tasks 4/27/2020 11

STEPS TO CREATE A GROUP

Login to eCOE Click on “Biology Groups” on the left Click Add New Group button Choose the Cohort group from the drop-down (Full, Subsequent or Expanded Subsequent) Teacher name will be auto-filled Name the group (something like “3 rd Period Biology”, or “After-school Group”) Live demo 4/27/2020 12

SET STUDENT ACCESS

Students can only access COE when teachers explicitly allow them to.

Three settings:  Closed – students may not log in  One-time – teacher opens the access for a specific amount of time, then it automatically closes  Recurring – used for classes that meet at the same time every day; access opens and closes on pre determined schedule Click Insert to set up the group To return to this screen click the Settings link.

Notes:  Be sure you use am or pm on the times  Weekends are only included so teachers who meet with students on weekends can open access for students. Use with caution! Students should not be allowed unsupervised access to COE.

Click the checkbox next to the student name, then click the double right arrows to move him or her into the group.

Continue until all students have been moved.

Notes:  Watch for students with the same name!

 You can move multiple students with the same initial, but if you are changing screens move the students first Live Demo 4/27/2020 14

ASSIGN WORK TO STUDENTS

Biology Groups>Manage Group>(specific group name) Select students (very important step!)  Use checkbox at top to select all, or select individual students Click “Assign Task(s) to Selected Student(s)” button The Biology Task Bank will appear There are two checkboxes on each line; one selects the task, and the other marks it as on-demand. The first checkbox must be checked to add the task to the student’s collection.

Select as many tasks as you want to assign, then click the “Assign Selected Task Form(s)” button.

The screen will refresh and you’ll see the tasks assigned to each student 4/27/2020 15

MANAGING STUDENT WORK

The View link next to each student’s name takes you into that student’s collection.

     From this screen you can:  Reset the student’s password Change tasks from on-demand to extended time Hide/show submitted tasks (for subsequent submissions) Include/un-include tasks from the collection Un-assign work (use with caution!) Assign tasks to an individual student  Check eligibility and sufficiency Live Demo 4/27/2020 16

STUDENTS LOG IN

Student login site: https://apps.coe.k12.wa.us/coestudent Username for students: Pattern is first initial-last name_# Must check student login on Manage Groups page Initial password for student is coestudent Students then choose their own password If password is lost, go to View link and click the button to reset password Students use the same login for all content areas (reading, writing, biology) Live demo 4/27/2020 17

STUDENT LOGIN ISSUE #1

Error Message: Runtime error Cause: Student put underscore (_) in name instead of hyphen (-) Solution: Be sure the student doesn’t hold shift when typing hyphen 4/27/2020 18

STUDENT LOGIN ISSUE #2

Error Message: Cause: Students are trying to log in to the COE Website, not coestudent Solution: Direct students to https://apps.coe.k12.wa.us/coestudent 4/27/2020 19

STUDENT LOGIN ISSUE #3

Error Message: Cause: Student is logging in with incorrect password Solution: Teacher resets student password; check student login name Student logs in again with password coestudent 4/27/2020 20

BEFORE STUDENTS LOG IN

Be sure access to the group is open (Settings link) If the task is on-demand, assign item that the students will be working on.

If the task is extended time (anything that is not on-demand) students may work on any part of the task.

Frequently asked question: How do I assign a single question in an extended time task?

Answer: Students can view the entire task. Just tell them which question you want them to work on.

4/27/2020 21

OPENING ON-DEMAND TASKS

On-Demand tasks are assigned an item at a time Can be assigned to individual students or an entire class Teachers can set up on-demand before class starts, then they will be open to students when access opens If a student does not log in during the class period, the on-demand status reverts (absent students) If a student does log in during the class period, whatever work that is done during that time counts as his/her on demand attempt Live Demo 4/27/2020 22

THE STUDENT’S TURN!

Student logs in to https://apps.coe.k12.wa.us/coestudent Choose Biology from list of collections Student will see titles of tasks that they can work on (either extended time or on demands that are open) On-demands that are not open to them will say “OD-No Access” for the title To respond to individual questions, students click the “Respond” button, write their answers in the text box, then click the Save button. When all questions are answered, students click the Mark Task as Complete button at the top of the page.

4/27/2020 23

DIAGRAMS

Some (but not all) questions allow students to submit labeled diagrams Questions with optional diagrams will be indicated with this text: When the student clicks on the response box for the question they will see this at the bottom: Students should write “diagram included” in response box Teachers download and print the student diagram form, then store diagrams in a secure location until time to submit.

4/27/2020 24

MORE ABOUT DIAGRAMS

Blank diagram forms can be found in several places: eCOE – At the top of the “Manage Groups” page COE Website: http://www.coe.k12.wa.us/Page/188 (bottom of page) http://www.coe.k12.wa.us/Page/300 (top of page) Forms may be pre-printed and available to students 4/27/2020 25

APPROVING STUDENT WORK

Work that is completed on-demand is automatically approved Other tasks can be completed when students a) mark them as complete, and b) include them in the collection Once a task is Included the teacher can review it and approve or send back for revisions 4/27/2020 26

APPROVING STUDENT WORK

Click View to see individual student collection Click title of task to be approved Live demo Approve or send for revision Question for Scott: What is appropriate feedback?

4/27/2020 27

Students must meet all eligibility and sufficiency requirements in order to submit the collection The submission window must be open (January 5 – 28, 2015) All tasks to be submitted must be marked as complete and included Teacher reviews all tasks and approves “Submit for Teacher Approval” button becomes active When student is ready to submit, he/she clicks the button Teacher gives final approval to entire collection Live demo 4/27/2020 28

FINAL APPROVAL (CONT.)

If the student has included diagrams, a work sample documentation form will print out listing all diagrams the student marked Teacher checks diagrams against form, then staples the form and diagram together to submit to the scoring center Student work is placed in an envelope, and all envelopes from the school are packaged together and sent to the scoring center (address on COE website) Please submit biology diagrams separately from math and clearly mark the box “Biology” 4/27/2020 29

FINAL APPROVAL (CONT.)

Final step in approval is principal approval Principals must complete approval by 5:00 pm on submission deadline date Diagrams must also be shipped by that deadline Collections that have been successfully submitted will have a status of “Submitted to OSPI” 4/27/2020 30
