Care of Equipment
Document Camera
How can it be used?

Take pictures of anything under the
camera

Display a 3 dimensional object to make
it easier to view as a class.

Display a microscope slide.
How can it be used?

Display printed materials with or
without the stage.
Use it for reading
 Show a printed graphic organizer to
complete (whole or guided reading)
 Place worksheets under the camera
 Work problems on them by placing a blank
piece of paper on the stage and save the
problems for later use to review with the
students.

Care

Do not hold the camera itself when
moving to focus on the stage. This
could inadvertently damage the camera

When adding the lighting attachment to
camera, do not release it until you hear
a very distinctive snapping sound.
That attachment is very expensive and
if it falls it could be permanently
damaged.
Care

The goose neck is very flexible and
robust. However, do not try to bend
the neck excessively at very acute
angles as this may damage the goose
neck itself.
Projector Care

Read the user manual that came with
your projector. It will include
operational information exclusive to
your projector.

Become familiar with the unit before
your first presentation or event.
Projector Care

To prolong lamp life, always allow your
projector to cool completely before
turning off or unplugging. Remember
that excessive heat can greatly shorten
your lamp life. Do not operate your
projector in direct sunlight or near a
heat source.

Store your projector in a cool, dry area.
Projector Care

Do not block the ventilation holes on
the projector as this will lead to
overheating in a very short time

Do not cover the lens while in use with
the lens cap, paper, cloth or any other
object as this too may lead to
overheating or damage to the lens.
Projector Care

Read the user manual that came with
your projector. It will include
operational information exclusive to
your projector.

Become familiar with the unit before
your first presentation or event.
Projector Care

Avoid using your projector in a smoky
environment. This can cause damage
to the optics of the unit and can void
your warranty.

If projector is mounted to the ceiling,
be sure that the area near the intake
fan is kept clean and not in direct line
of air or heat vents.
Projector Care

For optimal image quality, always keep
your lens clean. The safest way to
clean your lens is with a lens cloth,
which can be purchased at a camera
store.

Do not move/shake the projector or the
desk on which it is mounted once in
use. Vibrations damage the bulb.
Projector Care

DO NOT LEAVE YOUR PROJECTOR
RUNNING UNNECCESRRILY.

The bulb has a predetermined life
which is dictated by the number of
hours in use.

If you leave the projector running when
it is not in use only serves to shorten
the life of the bulb.
Scanner Care
How often should I clean the
scanner?

Clean the scanner every day or every other
day if reaching the maximum daily duty cycle
of the scanner.

Clean the scanner weekly if reaching the
maximum daily duty cycle spread over a
week period.

Clean the scanner monthly if the scanner is
only used occasionally.
How do I know if the scanner
requires cleaning?
When the scanner is jamming multiple
times a day.
 When the scanner is grabbing multiple
pages at one time.
 When the scanner is squeaking as it
feeds the page through.
 When lines appear in the scanned
image.

What happens if I don’t clean
the scanner?

Excessive dust on the main pick-up roller will
make it appear worn and smooth to the
touch, causing the roller to skip across the
page instead of grabbing properly.

Excessive dust on the rest of feed rollers in
the scanner will make a squeaking sound as
it feeds the paper through.
How often should I
replace the ADF pad?

A worn ADF pad does not push the
paper fully against the main pick-up
roller causing multiple pages to be fed
at one time.

The ADF pad can last up to 20,000
scans, however it should be replaced as
needed if regular cleaning does not
resolve miss-feed issues.
How to Clean the Scanner

Things You'll Need:
1 can of air, such as Dust Off
 Ammonia-free glass
 2 clean, non-abrasive cloths

How to Clean the Scanner

Turn the scanner off by pressing the
"Power" button.

Unplug the scanner by removing the
power cord from the power source.

Open the scanner lid.

Remove dust from the hinge area by
pointing the nozzle of the can of air at
each hinge and spraying
How to Clean the Scanner

Spray the glass surface of the scanner
with the glass cleaner.

Make sure to hold the glass cleaner
container several inches away from the
surface to allow the cleaner to spread
across the surface.

Be careful not to get any glass cleaner
on the scanner buttons.
How to Clean the Scanner

Wipe the glass cleaner around the
scanner surface with one of the clean
cloths, wiping until the glass cleaner
dissipates.

Repeat Steps 5 and 6 as necessary to
remove all visible dirt from the scanner.
How to Clean the Scanner

Remove any remaining dust or lint from
the scanner surface by pointing the
nozzle of the can of air across the
scanner surface and spraying.

Allow the glass surface to dry
completely for about 5 minutes.
How to Clean the Scanner

Close the cover for the glass surface.

Wipe the top and sides of the scanner
with the clean cloth.

Clean the scanner buttons by aiming
the nozzle of the can of air at the
buttons and spraying for several
seconds.
UPS

The Uninterruptible Power Supply
(UPS) units are there to protect the
computers and devices on the network.

The UPS should be checked often to
ensure that it is functioning properly.

Once the UPS is not functioning it
means that all the equipment are at
risk and can be damaged.
UPS

The UPS has two states

ONLINE
 The
UPS is functioning properly and is
supplying power from the battery to the
connected devices

BYPASS
 The
UPS is NOT supplying power from the
battery but directly from JPS.
 There is no protection for the devices.
 Any issues with power will be passed directly
to the devices
UPS Operation

The UPS units should always be in
ONLINE mode

If the UPS is in BYPASS mode then it
provides no protection at all

The ratios of PCs to the UPS are 18:1
for the 6KVa unit and 36:1 for the
10KVa unit
UPS Operation

If the unit is off, or in BYPASS mode, press
and hold the ON button until you hear a
beep.

The unit will go through a series of
diagnostics test and if they all pass then it
will go into ONLINE mode.

If the tests fail, it will not got o ONLINE
mode and you should contact Computer
Environmental Soultions at 926-2935
Network

The network is covered by a lifetime
warranty (twenty years) by Medianet.

If network ports stop working, you
simply place a call to them (754-5784)
and schedule a visit for them to rectify
the issue

Physical damage to the components
are not covered under the warranty.
Care of Your Air Conditioning
System

You should change it whenever it gets dirty.

Depending on the usage, that could range
from every three to six months.

Once a year be sure that you check the
evaporator coil located inside the air handler
to make sure there is no dust build up.
AC Care

You should check around the unit and
make sure there is no debris on the
surface of the condenser that will stop
airflow.

Also you should check between the fins
of the condenser to see that it's not
plugged with dead bugs or pollen.
AC Care

Spraying the condenser with a hose will
usually be good enough to get rid of all the
debris.

Ensure the rooms are PROPERLY SEALED

Do not run some units in the lab while others
are off. All units are to be operational at all
times once the lab is in use.
AC Care

The units do not need to be left on
while the labs are not in use.


The cabinets and the UPSes have their
independent mechanisms to prevent
overheating. The AC units are not
required for this.
Do not run the units hen the labs are
being swept as it will collect all the dust
from the air. This leads to premature
malfunction and earlier servicing times.
Dell Equipment

All Dell branded equipment are covered
under hardware warranty for three
years.

The date on which the warranty expires
can be check by going to the Dell site
http://www.support.dell.com and
putting the service tag number and
look for the warranty information
Laptops

Laptops should not be left in cars
(trunk or otherwise) because they can
be stolen and the heat WILL cause
damage to the LCD (LIQUID Crystal
Display) screen.

If the laptops fall there is the risk of
components being damaged and the
LCD screen getting shattered.
Laptops

Do not place the laptop on your
pillows, beds, blankets or any soft
surface in general as this generally
leads to the blockage of the ventilation
holes. This will lead to over heating

If you it must be used on any of the above
mentioned surfaces, procure a dock with
fans which will raise the unit from the
surface thus preventing the risk.
Laptops

Do not put any pressure or heavy objects on
top of the laptop (closed or otherwise) and
this can lead to damage of the internal
components as well as the shattering of the
LCD screen.

The LCD if shattered is NOT covered under
the warranty

AC adaptors for the laptops are covered
under the warranty and should be replaced
without any additional charge.
Server

The server is the core of the network
and should be backup up regularly.

The server is not to ne used as a
regular desktop and only by the system
administrators.

Ensure that both power supplies are
plugged into electrical outlets as they
provide redundancy in the event one
fails
Server

No external person, including those
from e-Learning, should gain access to
your server without expressed
permission from the system
administrator or the principal of the
school

System administrators are to manage
their own domains and as such will be
held accountable for everything on it!
