Purpose of the Lodge

 To recognize those campers -- Scouts and Scouters -- who best exemplify the Scout Oath and Law in their daily lives, and by such recognition cause other campers to conduct themselves in such manner as to warrant recognition.

 To develop and maintain camping traditions and spirit.

 To promote Scout camping, which reaches its greatest effectiveness as a part of the unit's camping program, both year round and in the summer camp, as directed by the camping committee of the council.

 To crystallize the Scout habit of helpfulness into a life purpose of leadership in cheerful service to others

Mission of the Lodge

The mission of the Ahoalan-Nachpikin Lodge is to achieve the purpose of the Order of the Arrow as an integral part of the Boy Scouts of America in the Chickasaw Council through positive youth leadership under the guidance of selected capable adults.

How the Lodge works…or doesn’t…

   It is essential that everyone understands and fulfills the duties of his or her role in the Lodge  True for both officers, Chapter Chiefs, committee chairmen, and advisers It is also important for each person to understand the role of the other officers of the Lodge Understand what you need to do, understand why it is important, make a plan to do it, do it!

Oversee and be ultimately responsible for all Lodge operations and events.

Serve on the Lodge Key Three, along with the Lodge Adviser and the Staff Adviser.

Oversee and supervise all vice chiefs and committees.

Represent the Lodge on the Council Executive Board.

Represent the Lodge on the Section level, including being present at or having a representative at Section Council of Chiefs Meetings.

Coordinate, along with the Special Events Committee, efforts of the lodge to send members to national-level programs and training events, including but not limited to: NOAC, ArrowCorps5-type programs, and Trail Crew programs.

Oversee, with the assistance of the Chapter Committee Chief, all chapters, ensuring that each has the proper resources to effectively carry out its tasks.

Act as a medium for communication between adults and advisers and the youth of the Lodge.

Preside over regularly-scheduled Lodge Executive Committee Meetings (6 or more per year).

Set and prepare an agenda for each Lodge Executive Committee meeting.

Coordinate all event registrations at Lodge events; this includes preparation before, coordination during, and following-up after an event.

Publish the annual Planbook by March and publish The Dancing Bear, the lodge newsletter, on a regular basis.

Coordinate and update the Lodgemaster database program and maintain all lodge records.

Maintain paper-based and computer-based records.

Responsible for producing and working with the Council Office to print all necessary paperwork and forms.

Coordinate Doubleknot registration and keep all online portals fully up to date, including the website, Facebook, etc.

Work with the Vice Chief of Finance to coordinate and organize payment of dues and other financial record keeping aspects.

Take minutes at Lodge Executive Committee meetings and distribute copies before meeting for review.

Print and distribute agendas for Lodge Executive Committee meetings.

Produce and ensure the distribution of Ordeal Information materials at Callouts and at Camporees.

Oversee all finances of the Lodge.

Collect dues from members wishing to remain active members; assist with Re-charter. Coordinate any potential fundraising efforts of the Lodge.

Prepare a Lodge budget and ensure that it is followed.

Approve or deny lodge purchase requests.

Develop a check requisition form and handle check requisitions as approved by the LEC.

Collect money and provide receipts for transactions at registration at Lodge events.

Oversee and coordinate all operations of the Trading Post, including merchandising.

Keep an up-to-date inventory of all lodge merchandise in the Trading Post.

Oversee the coordination of the Lodge Annual Awards Banquet.

Responsible for forming schedules for all events.

Coordinate and plan all aspects of program for all lodge activities.

Plan and effectively carry out all lodge training initiatives; assist with Lodge Leadership Development initiatives. Coordinate and plan all service projects of the Lodge; this includes working with advisers, chairmen, and camp rangers to coordinate various projects.

Plan and assist in the execution of special events/service projects, e.g. ServiceCorps initiatives.

Train all Elangomats and coordinate Elangomat activities at Ordeals; oversee all Elangomats. Provide detailed service project guidelines to participants.

Coordinate tools for projects; this includes acquiring, distributing, and collecting tools.

Oversee, along with the Conclave Delegation Chair, lodge efforts in coordinating a Conclave delegation to the camp in the section chosen to host Conclave.

Coordinate menus for all lodge events with the Cook Crew.

Coordinate Vespers service at all Lodge events.

Train Chapter Chiefs and Unit Election teams to properly conduct unit elections.

Provide and coordinate all Election materials. Work with Chapter Chiefs to ensure that every unit requesting a unit election gets one.

Work with Chapter Chiefs to coordinate and execute well-planned and well-choreographed Call-out ceremonies at Camporees and at Summer Camp.

Plan and coordinate all aspects of the Spring and Fall Ordeals.

Work with the Vice Chief of Activities to execute a successful Ordeal experience. Coordinate clan assignments, Elangomat orientation, and candidate preparation at Ordeals.

Conduct a New Member Orientation at the Ordeals.

Be responsible for achieving a high Brotherhood conversion rate in order to achieve Quality Lodge; ensure ample opportunity to go through Brotherhood.

Work with the Ceremonies Chairman to coordinate and execute well the Pre-Ordeal, Ordeal, and Brotherhood Ceremonies at all necessary times.

Train drum teams for ceremonies and for call-out ceremonies at Summer Camp.

Promote American Indian dancing of all types and encourage participation of Lodge members in competitions and shows.

Be an ambassador for American Indian crafts, dance, and culture at all Lodge events.

Oversees the Ceremonies Committee to ensure successful ceremonies and to ensure successful integration of Native elements in ceremonies.

Work with the Ceremonies Chairman to coordinate and execute well the Pre-Ordeal, Ordeal, and Brotherhood Ceremonies at all necessary times.

Oversee and coordinate regular chapter meetings at an advertised time and place. Have activities planned and information about upcoming Lodge events.

Work with the District Executive to coordinate unit elections for every troop wanting an election in every district of your chapter.

Conduct or coordinate a team to conduct unit elections in every troop wanting one.

Be aware of upcoming OA, council, and district programs.

Vigil Committee

  

Reports to: Lodge Chief Organizes and coordinates all efforts of the Vigil Committee, including overseeing the nomination and selection process of Vigil candidates.

With adviser, oversees and coordinates all aspects of the Vigil call-out and ceremony.

Conclave Committee (host year)

Reports to: Lodge Chief

 

Responsible for planning, coordinating and executing Conclave during Lodge host years.

Responsible for coordinating and forming ad hoc committees to perform and accomplish necessary tasks in preparation for Conclave.

Ordeal/Brotherhood Committees

   

Reports to: Vice Chief of Unit Elections and Inductions Responsible for coordinating all aspects of the Ordeal, including working with the Ceremonies teams, the Vice Chief of Program and Activities for scheduling, and the Vice Chief of Unit Elections and Inductions for general planning.

Responsible for working with the Service Committee to coordinate service projects for the Ordeals.

Responsible for coordinating Brotherhood conversion efforts, including contacting Ordeal members on a regular basis.

Responsible for ensuring ample opportunity for Brotherhood conversion is available at Lodge events and at Summer Camp.

First Aid and Safety

Responsible for having first aid supplies and running a First Aid Station at all Lodge events Responsible for overseeing the collection of health forms at Ordeals Responsible for knowing about any special medical issues or needs

Activities Committees

Service Committee

      

Reports to: Vice Chief of Activities Works with the Ordeal Committee Chair and the Vice Chief of Program and Activities and the Vice Chief of Unit Elections and Inductions to put on a successful Ordeal program.

Responsible for coordinating Ordeal projects.

Responsible for coordinating and communicating service needs.

Coordinates Lodge service days and all Lodge service projects.

Works with Council Committees to establish service teams to address needs at Council events.

Responsible for exploring all service opportunities and attempting to involve the lodge in as much service as possible.

Reports to the Vice Chief of Activities Responsible for working with the various people in charge of different aspects of the events For Ordeals, work with Vice Chief of Activities, Service Committee, and Ordeal Committee For other events, work closely, as a sort of “Senior Patrol Leader” for the Vice Chief of Activities

Finance Committees

 

Merchandise/Trading Post Committee

  

Reports to: Vice Chief of Finance Responsible for all merchandising operations of the lodge, including designing and ordering new merchandise as needed/wanted and keeping track of all lodge merchandise.

Responsible for running the Lodge Trading Post at all events and coordinating the sale of Lodge merchandise at Summer Camp.

Banquet and Honors Committee

   

Reports to: Vice Chief of Finance Responsible for planning the banquet, securing a location for the banquet, and organizing provisions for the annual banquet.

Responsible for promoting the event and putting on a well orchestrated event.

Responsible for securing recognitions from the preceding year.

Unit Elections/Camp Promo Committees 

Conclave Delegation Committee

  

Reports to: Vice Chief of Program and Activities Develops a theme for Conclave; coordinates thematic elements and develops merchandise for event.

Promotes and coordinates transportation and attendance efforts of the Lodge to that year’s Conclave.

Indian Affairs Committees

Ceremonies Committee

    

Reports to: Vice Chief of Unit Elections and Inductions Responsible for all ceremonies of the lodge: Pre-Ordeal, Ordeal, and Brotherhood.

Responsible for facilitating all ceremonies at events and at Summer Camp.

Responsible for keeping track of regalia and all lodge ceremonies-related gear.

Responsible for training ceremonies teams and ensuring that team members are sharp and on-time for all ceremonies.

Indian Affairs Committees (cont.)

Dance and Drum Committee

   

Reports to: Vice Chief of Indian Affairs Coordinates the incorporation of American Indian elements into Lodge ceremonies.

Responsible for Lodge drums and American Indian elements.

Responsible for promoting American Indian dancing of all types and encouraging members to build regalia, become involved in dancing, and competing in powwows, at Conclave, and at NOAC.

Work with the Ceremonies Committee to ensure all American Indian aspects of ceremonies are accurate and correct.
