What is the role of the Kent Primary
Care Agency?




There are 1.7 million patients registered with GPs in
Kent. Of these, 419,000 are women eligible for
cervical screening
We send out approximately 212,000 call and recall
letters to women each year
We notify approximately 116,000 women each year
of their results
81% of eligible women are being screened in Kent
What is the recall interval?

Women are recalled in 3 or 5 years time,
depending on age and the result of the last
test

25-49 year olds are recalled every 3 years

50-64 year olds are recalled every 5 years
What is a prior notification list?



An electronic prior notification list is produced
for the practice when a patient is due for a
test
The prior notification list gives an opportunity
for practices to tell KPCA of any women they
feel should not be sent an invitation.
The data is viewed via the ‘Open Exeter’
website. This website can also be used to
print HMR101 forms, view test results and
cytology history
After prior notification lists replies
have been received at KPCA



KPCA staff make any necessary
amendments
Four weeks after the prior notification list has
been produced invitation letters are sent out
regardless of any ‘non returns’
The letters can be for a first call, routine
recall, early recall or for a patient previously
suspended from the programme
The test

The test is taken at the surgery or clinic, and
sent to one of three laboratories in Kent

The result is sent to the GP/clinic and to
KPCA via an electronic link

KPCA sends a result letter to the patient by
first class post
Non responders




If no test result is received by KPCA within
16 weeks a reminder letter is sent to the
patient. In ‘early recall’ cases the interval is
12 weeks
If there is still no test result received by
KPCA a non responder notification is sent to
the GP
The GP should now invite the patient
The patient’s recall date is automatically
reset at end of a further 12 weeks if all
invitation attempts have failed
