File management is built on the foundation of files, folders, and storage media. A file describes a wide range of objects: – – – 6 Wells instructions the computer needs to operate (called program files or executable files) a file can contain a text document (often referred to as a document) a file can contain an image, video, or music Computer Concepts BASICS File Management Defined (continued) Lesson 8 7 A folder is a container used to store and organize files. Folders are created and stored on a disk or other storage media Storage media can include magnetic disks, optical discs, PC cards, tape, microfilm and microfiche, and mobile storage media. File and Folder Icons Wells Computer Concepts BASICS The Computer Window Lesson 8 8 The Computer window contains two panes. The Contents pane (right pane) contains fixed and removable storage devices. The disk drive icons identify the storage media devices: Drives A and B are floppy disk drives, Drive C is typically the hard disk, and CDs and DVDs, etc. are usually labeled D, E, F, and so on. When clicked in the Computer window, the disk drive is highlighted and information on the selected drive appears in the Details pane in the lower part of the window. Wells Computer Concepts BASICS Managing Folders and Files Folders are used to organize files on a disk based on properties such as the filename or keywords (also called tags). A period separates the filename and the extension. You can change the file type and the extension when you save the file using the Save As dialog box. Wells Computer Concepts BASICS Managing Folders and Files (continued) Lesson 8 12 In Windows Vista, you can create folders and subfolders in the Computer window, through the Explorer folders, and in software programs There are many options for renaming or deleting a file or folder in the Computer window Use caution when deleting a folder since this will also delete all the files in the folder When deleting a file or folder from most media storage devices, it is deleted permanently. When deleting a folder or file from a hard disk, it goes to the Windows Recycle Bin. Wells Computer Concepts BASICS Organizing Files Lesson 8 13 Files can be organized by moving, copying, and deleting files among folders. The first step is to select the files. To select a single file, click it. To select two or more files that are adjacent to one another, click the first file in the series, press and hold down the Shift key, and then click the last file in the series. To select files that are not adjacent, press and hold down the Ctrl key, and then click each of the files. Wells Computer Concepts BASICS Copying and Moving Files Lesson 8 14 It is easy, in Windows, to copy, delete, or move files from one location to another Files are moved or copied from a source location to a destination. The source is the folder or disk containing the file to be copied, and the destination is the location (folder or disk) where you are copying or moving the file. Whenever files are moved or copied, both the source and destination locations should be visible. Wells Computer Concepts BASICS Copying and Moving Files (continued) Lesson 8 15 Copying Files and Folders: To copy a file or folder, place a duplicate of it in a different location and leave the original in place. To copy a file or folder to a new location on a different disk, select it, and then drag the file or folder from its source location to its destination location. To copy a file or folder to a new location on the same disk, select it and hold down the Ctrl key as you drag to the new location. Wells Computer Concepts BASICS Copying and Moving Files (continued) Lesson 8 16 Moving Files and Folders: To move a file or folder to a new location on a different disk, select it and drag it to the destination. To move a file or folder to a new location on the same disk, hold down the Shift key as you drag it to the destination. An alternate method of moving and copying files is to drag the file or folder using the right mouse button. When you drop the file or folder in the destination, a menu appears giving you the options to Copy Here or Move Here. Wells Computer Concepts BASICS Searching for Files Windows provides three useful search options: – Lesson 8 – 17 – Wells Scenario 1: To search for a file located in a common folder such as the Pictures folder, use the Search box at the top of the folder window Scenario 2: To search for a group of related files, filter by using the column heading above the group of files by clicking its list arrow. In this case you are using one filter Scenario 3: To search for a group of files by date and size, use the Search folder to select multiple filters Computer Concepts BASICS Getting Help and Support in Windows Lesson 8 18 Windows provides online assistance for most problems encountered when working in the Computer window or with files. Select Help and Support on the Start menu. Then, in the window that opens, click one of the links displayed, use the Browse Help button on the toolbar, or enter a search word in the Search Help text box to locate the Help information you desire. Once a file or folder is deleted from a removable media storage device, it is gone forever; however, if you delete a file or folder from a hard disk, it is placed in the Recycle Bin where it can be recovered.
