Online course compliance for students outside of Wisconsin
• • • We need to be licensed/approved by the state that a distance education student resides in at the time they are taking the class. UW-Madison compliance with federal and state regulations that govern Title IV funding.
It’s important that curricular representatives be sure that all online courses be coded for their department(s).
Instruction Mode Value on the Basic Data page
Sections with Distance Education Instruction Modes report • Produced by Curricular Services at the beginning of Initial Call and Final Call, and it is posted with other materials on the Curricular Toolkit.
• It is also posted with materials for the Curricular Review materials posted on the Curricular Toolkit for fall and spring terms.

PDF Schedule of Classes • New XML report produced from ISIS that is available to curricular representatives • PDF Schedule of Classes allows us more flexibility in design and content

• PDF Schedule of Classes will continue to be in development. It can grow/shrink in response to needs and is very dynamic.

DO NOT CHANGE CLASS TYPE (enrollment, non-enrollment)

If you change the class type after enrollment has occurred: Students cannot drop the course Students cannot swap sections of the course Instructors might not have access to some of their grade rosters.
Do not use “Stop Further Enrollment” or “Tentative Section” You may only set a class status to “Active” or “Cancelled Section”.
Cancel IND or Med Career Field classes with instructors who are no longer here.
Manually canceling these sections will prevent them from rolling forward term after term.

Enrollment Requirement Groups
Placement at the course catalog level is encouraged if at all possible. Recommend all classes numbered 700 or higher be limited to ‘Graduate Students Only’ – Requirement Group Number 000008 and be placed at the course catalog level.
Capability to enforce specific test scores.
Capability to enforce a class that requires graduate students to enroll for 3 credits; undergraduate students for 4 credits.
Capability to enforce anti-requisites – if you have a class where students who have taken course ‘y’ are unable to enroll for course ‘x’.
Capability to enforce a specific grade in a previously completed class.

Wait List
Once permission is granted, the status will not change from ‘closed’ to ‘open’ in the Student Center. The class gets placed back into their wish list/shopping cart and students need to continue through the enrollment process and ‘Finish Enrolling’.
Wait List Audit page – fairly new. Gives you a quick look at enrollment/combined enrollment/wait list capacities. Also the number of class permissions placed for your specific department (does not include combined section permissions at this point).

Class Permissions Always ask for a student’s 10 digit campus ID number Always place the permission on the Enrollment Section What did the student do and when?
Check Expiration Date Placement of a class permission will not change the status of the class to ‘open’ within the Student Center.
If combined section, class permission needs to be placed on subject student wishes to enroll under.
NEW – You can now easily determine the drop date for the class section by clicking on the ‘Dates and Deadlines’ link provided.

Class Roster The Class Roster now features a Photo Roster.
COURSE GUIDE
Course Guide Overview Course Guide was initially launched in June 2009 and has undergone extensive updates and enhancements since inception.
It is a fully searchable online course catalog that aggregates information from many sources to provide enriched course information to students and advisors for use when planning and selecting courses for enrollment at UW-Madison.
