• PowerPoint is used primarily for presentations • It lets you present text, pictures, and information easily and can make it look professional 4

• First, toolbars; – There are four major toolbars used in PowerPoint • The General and Formatting Toolbar • The Attribute and Insertion Toolbar • The Overview Toolbar • The Layout Toolbar 9

- The General and Formatting Toolbar Top bar contains buttons such as: New, Open, Save, Attach, Print, Spell Check, and can also be used to insert Tables, Graphs, and Links for the Internet Bottom bar contains buttons such as: Font Type, Font Size, Bold, Italicize, Underline, Align, Colour, Slide Design, and New Slide 10

- The Attribute and Insertion Toolbar This toolbar, located at the very bottom of the PowerPoint window contains: Draw Options, AutoShapes, Text Boxes, Word Art, Insert Picture, Colour Options, 3d-Options, Line Width, Tables, Vertical Alignment, and Distribution Options.

- The Overview Toolbar This toolbar, located on the left, allows the user to view what slides they currently have. There are two different viewing settings: - Slides View - Outline View Slides view lets you see a thumbnail of each slide graphically. Outline view lets you see a text representation of each slide.

- The Layout Toolbar This toolbar, located to the right, is used to change the look and feel of your slideshow using pre-made layouts.

There are layouts designated specifically for text, content, or just other.

There are also colour, and animation layouts.

• Text Boxes – You add a text box by clicking the text box button on the Insertion and Attribute Toolbar at the bottom – Just click and drag how big you want the text box – You can change the font type, size, and colour after making a text box Example of the text box button 15

• Pictures – Adding pictures is done by clicking on the Insert Picture button on the bottom toolbar – You can also add pre-defined clipart by clicking on the Insert Clipart button, which is also on the bottom toolbar An example of the Insert Clipart and Insert Pictures buttons, respectively 16

• Tables – Tables are added by clicking on the Insert Table button on The General and Formatting toolbar at the top – Just click and drag to make the tables you wish Example of the Insert Table Button Example of a table 17

• Charts – Charts are added by clicking the Insert Chart button on the top toolbar – A spreadsheet file will open up and let you input different values Example of the Insert Chart button 18

• Shapes – Shapes are on the bottom toolbar, just click, and drag on the slide to make them as big or small as needed – There are many shapes, ranging from lines and arrows to stars and banners Example of the different shape buttons.

Using Layouts

• The Layout Toolbar lets you select pre made templates for slides • There are many different templates relating not only to text, but also pictures and objects which you can insert Examples of the Layouts 22

• This is an example of a slide layout. Notice the text is situated on the left half, while the content (table and picture) are on the right Table!

  There are also design schemes and colour schemes available for slides. This slide is an example of a colour scheme You can choose to change selected slides, or the total slideshow 24

• WordArt – WordArt can be created by clicking on the Insert WordArt button on the bottom toolbar – WordArt gives a unique look to titles or any text Example of the WordArt button Example of the WordArt gallery 27

• WordArt con’t – WordArt has pre-defined styles for you to choose from – For example; 28

• Sound and Movies – Sound and Movies can be added to slides by clicking Insert > Movies and Sounds – Sound can be configured to run in the background – Movies can be configured to start on click, or on a new slide 29

• Animation – Animation lets you choose the transition from one slide to the next – You can select animation by right clicking on the slide you are currently working on and clicking on “Slide Transition” – An example of a slide transition: 30

• Slides (con’t) – There are also Animation Schemes that not only make the slide transition animated, but incorporates text on the slide into the animation – You can find Animation Schemes by clicking Slide Show > Animation Schemes – An example of an Animation Scheme: Example of how to select Animation Schemes 31

• AutoContent Wizard – Under the New Presentation option (select it from the top arrow on the right toolbar) and select “From AutoContent Wizard” – This is the easiest way to create a slideshow – Just follow the steps 37

• Custom Animation – Using Custom Animation you can add effects manually – Select Custom Animation from the top arrow on the right toolbar Example of how to find Custom Animation 43

• Custom Animation (con’t) – You can choose three types of animation; • Entrance • Emphasis • Exit – This can only be used on objects, not total slides – The next slide will demonstrate the use of a Custom Animation to display a picture Example of Custom Animation options 44

• Custom Animation (con’t) – Notice it has three parts: entrance, emphasis and exit – Custom Animation can make this happen at the beginning of the slide, or in this case, by mouse click 45

• Linking to Another PowerPoint Presentation • A button can be configured to link one presentation to another using a feature called "action button" • Go to ‘Slide Show’ menu, ‘Action Buttons’ submenu, and select an appropriate button • Create the button in an adequate size. You should be able to modify the button using ‘Format AutoShape’ feature, just like a normal picture or a shape • When the ‘Action Settings’ window pops up, click on ‘Hyperlink to’ drop-down box. Scroll down and choose ‘Other PowerPoint Presentation’ 46

Tips and Tricks

• Linking to Another PowerPoint Presentation (con’t) – This feature also allows you to have a button that will operate an internal slide changes, open a program that is not related to PowerPoint, or add a web-hyperlink – You may also set the action to operate when the button is clicked on, or as soon as the cursor reaches the button 47
