INGOING CONDITION REPORTS
The condition report is issued to the tenant and forms part of the
Residential Tenancy Agreement. This report is done before the
tenancy commences and describes the condition of the premises. The
Agent will make comments on the condition of the property and then
issue a copy of the report to the tenant and a copy to the landlord.
The tenant will then have 7 days to make any of their own comments
and then return it to your Managing Agent.
OUTGOING CONDITION REPORTS
Once the tenant returns all keys and gives vacant possession of the
premises, our Property Management Team will go out to the property
to complete the Outgoing Condition Report. Going off the Ingoing
Condition Report, the Property Managers will check the condition of
the property compared to when the tenant first moved in. If there are

PERIODICAL INSPECTIONS REPORTS
With periodical inspections we conduct detailed inspections every
three or six months depending on your requirements. The first being
immediately three months after a tenant moves into the premises.
With our programmed inspections and recommended routine
maintenance, we ensure that your property remains well looked
after.
Rental Payments and Arrears
RENT COLLECTION
Our system of rent collection is designed to ensure you receive
the rent due to you promptly. We ensure your tenants have no
excuse for late payment of rent by giving them a 24 hour
automated rental payment system. They are given three
options by which they can pay their rent, options being direct
debit from their bank account into our trust account, St George
bank card or cash in the office.
ARREARS REVIEW
At Elders Real Estate Rooty Hill, we review arrears daily and
have a system of regular contact with tenants to ensure they
pay their rent. If they fail to pay their rent after 14 days they
will be served a termination notice. This notice usually brings
prompt results , but if it doesn’t work, we will contact you to
discuss whether to proceed with termination of the tenancy or
whether to allow the tenant more time.
Mid and End of Month
END OF MONTH
The “End of Month” procedure is completed on the last
working day of month.
We will send you email you a statement when this is
completed so that you can keep track of your income and
expenditure on the property.
Along with your End Of Month Statement you will receive an
electronic copy of invoices that were paid on your behalf for
your records and tax purposes such as :
Council Rates
Water Rates
Strata Levies
Any Maintenance or Repair issues
You do however have the choice of receiving your statements
and invoices in hard copy.
Your End of month funds can be either transferred directly by
way of EFT into your nominated account or we can post you a
cheque with your statement.
The Importance of Landlord Insurance

MANAGEMENT FEES
FEE: 6% + GST of all rent collected

PERIODIC AND OUTGOING INSPECTION
Fee: NO CHARGE
The periodic inspection is conducted approximately every 6
months.
- Issuing the tenant with the required written notice of inspection,
- A room-by-room written report detailing tenant performance, criticisms, repairs, concerns and recommendations for improvement to the condition
of the premises,
- Checking smoke alarm(s),
- Tenant follow up of unsatisfactory items identified,
- Issuing of original written report to landlord.

Professional Fees and Services
The outgoing inspection is conducted when the tenant vacates the
premises.
- Landlord communication for reletting instructions once tenant advises
vacating,
- Tenant issued with confirmation of vacating in writing and final inspection
guide giving clear and detailed instructions as to final inspection expectations,
- Final inspection conducted comparing the premises to the ingoing inspection
report and photos of the grounds,
- Calculating water usage and any compensation and charged accordingly,
- Coordinating final bond calculation and release of bond,
- Report to landlord any repairs identified at the inspection.
LEASE RENEWAL FEE
Fees: $33.00 inc GST
This fee is applied when the lease is extended for a further term
with an existing tenant.

- Copy of lease renewal sent to landlord
A fixed lease continues the protection of your income and obligates
the tenant to guarantee this income flow should they vacate the
premises before the lease end.

LETTING FEE
Fee: 1 weeks rent inc GST
This fee is charged when a new tenant is secured and enters a new tenancy.

information sheet
- Advert placed in the local newspaper in a prominent position.
- Answering tenant enquiries and issuing application forms.
- Careful checking tenant rental references and employment details
- Collection and checking of tenant identification
- Checking the application on the Tenant Default Database
- Personally viewing the property for suitability with the potential tenant
- Landlord communication for the final decision on the applicant
- Preparation of the written lease, bond lodgement forms, etc
- Complete detailed multi-page condition report
- Photos taken of the outside of the premises to reinforce inspection report
- Smoke alarm(s) checked and water meter reading recorded
- New tenant induction/interview completed to sign, issue and explain fully the
main tenant obligations, lease, pet lease agreement (if authorised by the
landlord), bond form, ingoing inspection forms, compulsory legal Information
Booklet, and issuing of keys.
- Lodging the bond with Residential Tenancies Tribunal, Issuing the landlord
with a copy of the new lease, ingoing inspection report, and any pet lease

- Out-of-Pocket Expenses (smoke alarm battery cost, key cutting, etc)
