Creating Event Materials - PowerPoint



When working with PPT – Users must download all the file
before viewing the first slide – split the file into pieces. That
way, the first part is available faster for presentation on the
whiteboard. BTW, JPEG is presented starting with the 1st.
It is not possible to delete a single slide within a presentation.
To do so, delete the slide in the original PowerPoint file and reinsert it.
If a PPT file is used in an event without JPEGs and the system
does not detect a PowerPoint installation, the Participant will
warn the user and provide them with a link to the PPT Viewer
Download (No Hebrew Support). This link can be edited in the
ICC.
Creating Event Materials – More Tips




When creating materials for events that will allow users to join
with the Java Clients, make sure that the materials that you
use can be viewed inside a web browser. For example, If you
use an Office document, make sure to select the : “Open in
Browser” option.
The difference between a Question and Test - A report file for
the test will be available after the session. To access it, use the
'Open Interwise Reports” option in Excel (This relies on an
Add In that is installed with the Moderator and is located in
..\instructor>addins).

Creating Events on the ICC - More Tips

When working with one Administrator that schedules events for
other Moderators, there are two approaches:

The Administrator uses the username and passwords of the
moderators and logs in under those names to schedule the events

Using the Super User account who is the only one that can schedule
events for someone else.



In iMeeting the initiator of the Event “leads”.
Event Options - If the option is “Record on Server” but without
“Publish..” the Event recording will NOT be available on the ICC UI
(“Finished”) Event to the Initiator…
Max. number of Participants – default can be reduced!
The Server will “”close” the Event accordingly.

Approve registration – Available only under iClass/Course/Section.

Publish in Portals – NOT for iMeeting and iClass/Course/Section.
Creating Events on the ICC – More…



If you wish to schedule an Event ASAP, schedule it to start in 5
minutes from now.

In this case the ICC will not initiate the Start Event sequence
Automatically.

Use the Enter Link from the ICC catalog.
Before scheduling/Updating an Event use the Pop Up menu to
verify Event Details
Getting ready - demo (step 3) - takes everybody to an event on a
dedicated ICC. It doesn't register their push on your ICC.
Upload from Desktop

A default message will pop above 5MB (can be configured from
Application Parameters).

Uploads all types of files, everything is opened in the whiteboard.

Office documents are opened as HTML.

Materials are uploaded as private and can be used in the future if
downloaded and changed to public.
Email Templates

In version 4.2 SP4, the emails are formatted as HTML – solves
problems with broken links.

Templates per VICC (NOT per Events).

No Attachments!


The system knows which version of client the ICC is set for
(Always ask, C++ only etc.) and shows the right email template
option by default.
Mail Notifications 
Will be sent to ALL if General details tab changes.

User Updated – Notification sent only to relevant users.

Moderators get every update…
Creating Events on the ICC - Post



As past events cannot be deleted, if you are worried about
people watching past events they weren't invited too - make to
delete the recording.
The best process for posting recorded events 
Set the event to be recorded on the server.

After the event, download the recording and delete the original
recording from the ICC.

Edit the recording and post it back as an On Demand event.
Changing materials type (Live to On-Demand etc)


Once the materials have been uploaded, you cannot change
their type. The workaround is to save the materials under a
different name and then to change the type.
Deleting Event Materials – User can View and Delete his own
materials.
On Demand Events


The Event length is the recording length not the time the Event
is on the air.
It is recommended to put a future date to have the event
presented in the catalog. The further forward the date is, the
lower it will appear in the default view of the catalog.
Placing Recordings on Websites



This example uses an API link, and it requires that an Open
On-Demand event is set up on the respective ICC.
This ICC should be configured to be “Java Only” if you wish to
avoid the “Choose Client Type” question.
Outlook Add In

How to add materials from the Outlook Add In after a meeting
was already scheduled and without sending an update to all

Enter to the meeting from within your calendar.

Attach the materials you wish.

Add a fake user ([email protected] <mailto:[email protected]>) to the attendees list.

Click on “Send update” from the Outlook Menu.


The files will be added to the meeting agenda and no-one will
get confusing messages.
How to add materials (PPT Presentation for example) AFTER
Meeting is already on-air and every one are logged in?



Option 1 - use the “Insert” button – will be improved in 4.5.
Option 2 - repeat the steps above - all users will receive the
added materials via the push. Moreover, it will be added to the
current agenda and will not replace it.
This will only work if meeting is still “on-air” in the ICC.
Outlook Add In – More Tips




If you are using the “Secured” Add In, users will not be able to
listen to the recordings of the meetings if they missed it.
With the secured Add In no-one is registered to the meeting on
the ICC.
Once the meeting is over, you cannot edit it and add users
who wish to listen to the recordings.
The only way to have users listen to the recording is for the
meeting initiator to download the recording, edit it and upload
as an On-Demand event.
Application Sharing




When using the end-sharing hotkey, the shared application is
not minimized which can be confusing.
iMeeting – To SHARE an application with another participant
(allow them to work on your application

click on your speaker button (you need to have conversation
rights), then right click on the other participant and select
"conversation".

If you have presenting rights without speaking rights, this
doesn't work.

Participant should use the CTRL button in this case,No
indication of status.
To end application sharing when recording, minimize the
shared application and as fast as possible and load a slide. If
you use the end sharing hotkey it adds a "clear whiteboard" to
the recording, that needs to be cleared later.
BTW, in Version 4.5, the application sharing performance is
significantly improved.
