SPLITS OR COMBINATIONS ARE SUBMITTED BY THE PROPERTY
OWNER EITHER AS A DEED, PLAT (TO RECORDER) OR LETTER OF
REQUEST(TO AUDITOR). THE AUDITOR WILL NOT ACCEPT THESE
CHANGES WITHOUT CITY APPROVAL OR IN THE CASE OF A
LENGTHY LEGAL DESCRIPTION , UNLESS PROVIDED BY A
LICENSED LAND SURVEYOR.

AUDITOR SUPPLIES DESCRIPTION AND PIDS TO SURVEYORS.

SURVEYORS GET SPLIT / COMBINATION DESCRIPTION AND MAKE

ROAD VACATIONS / TAKINGS

PUBLIC ROAD AND ALLEY VACATIONS ARE INITIATED BY THE
AUTHORITY THAT HAS JURISDICTION OVER THAT RIGHT-OF-WAY
PASSED ON TO RECORDER AND/OR AUDITOR BY CITY COUNCIL
RESOLUTION. THESE RESOLUTIONS ARE PASSED ON TO
SURVEYORS OFFICE FOR CHANGES TO MAP DATA.
•
SURVEYORS TRY TO ADD THESE AS SOON AS POSSIBLE ALONG
WITH DOCUMENT NUMBERS, BUT THEY HAVE LOWER PRIORITY
THAN PLATS OR SPLITS/COMBOS, UNLESS THEY ADD PROPERTY
TO ADJACENT PROPERTIES. IF ENTIRE PARCEL IS TAKEN BY A
DOCUMENT(S), THE PID MAY REMAIN AS A PID_IN_RTWY AND MAY
REMAIN CURRENT, BUT NO POLYGON IS CREATED OR LEFT
BEHIND.

SURVEYORS GET RESOLUTIONS FROM AUDITOR AND PLACE
THEM IN TO-DO BY DATE RECEIVED.
STREET CENTERLINE
• PUBLIC ROAD OPENINGS FROM NEW PLATS ARE ADDED AS
SOON AS POSSIBLE, AS THESE HAVE ADDED-VALUE FOR
GEOLOCATION END-USERS (IE. SHERIFF, GIS, CITIES,
ETC…)
• ANY OTHER DOCUMENT OR INPUT THAT WOULD IDENTIFY
OPENINGS OR CLOSURES ARE COMPLETED ON THE
CENTERLINE IN A TIMELY FASHION.
STREET NAME CHANGES
•
PUBLIC ROADS ARE DEPENDENT ON THEIR RESPECTIVE
JURISDICTION TO NAME THEM AND KEEP US INFORMED OF ANY
UPDATES.
•
PRIVATE STREETS ARE HARDER TO IDENTIFY - WE GLEAN
INFORMATION FROM THE PLATS AND ORTHOPHOTOS.
•
ROAD TURNBACKS FROM GOVERNMENT ENTITIES TO OTHER
GOVERNMENT ENTITIES, QUESTIONS THE RENAMING OF THESE
ROADS IN A TIMELY BASIS. I DO NOT HAVE A GOOD ANSWER FOR
ALL TURNBACKS AS TO THE NOTIFICATION OF CHANGE. IT
WOULD BE A GOOD IDEA IF THE CITIES RECEIVE OR TURNOVER
ROADS TO ANOTHER ENTITY, THEY INFORM SURVEY OFFICE
DIRECTLY.

THESE CHANGES USUALLY HAVE AN EASY FIX AND ARE DONE
QUICKLY.
ATTRIBUTE CHANGES
•
WE GET A MONTHLY CUT OF TAX INFORMATION (1ST OF THE
MONTH) FROM OUR MAINFRAME – THE TABLE IS JOINED TO THE
PARCELS FOR METROGIS POINT & POLYGON EXTRACTS (WHICH
ARE RUN MONTHLY, BUT DISTRIBUTED QUARTERLY).
•
FEBRUARY 15TH IS THE APPROXIMATE DATE HENNEPIN TURNS
TAX DATA OVER TO THE NEW TAX YEAR.
NEWLY CREATED PIDS IN THE CURRENT TAX YEAR WILL BE
CURRENT THE FOLLOWING TAX YEAR. THEY MAY SHOW UP AS
“DIVISION-IN-PROCESS” OR “PENDING”. THAT IS WHY WE KEEP
THE UNDERLYING POLYGON AS A PARCEL_DIVIDED (BECAUSE
THEY ARE STILL CURRENT)
•

IN THE FILE GEODATABASE, SUBSTANTIAL ATTRIBUTION IS
ATTACHED TO THE POINTS FEATURECLASS. THE POLYGONS ARE
LIMITED TO ATB AND PRECINCT-CODE; THESE ATTRIBUTES ARE
MAINTAINED BY THE SURVEY DIVISION AND NOT EXTRACTED
FROM THE MAINFRAME.
COSMETIC TEXT CHANGES
• COSMETIC TEXT CHANGES ARE USALLY DUE TO THE
SHIFTING OF LINEWORK DUE TO COGO83 PROJECT.
• THE COGO83 PROJECT TEAM RESEARCHES DEEDS AND
IMPORTS RECTIFIED LINEWORK AND POLYGONS TO OUR
SDE DATABASE.
• SOME LINEWORK MAY SHIFT SIGNIFICANTLY TO REQUIRE
COSMETIC CHANGES TO ANNOTATION (TEXT) TO BE
COMPLETED. (SEE COGO COMPLETION MAP)
COGO83 PROJECT
•
THE COGO83 PROJECT TEAM IS REDIGITIZING PARCEL LINES
FROM RESEARCHED DEED DESCRIPTIONS, RECORDED PLATS,
AND OTHER DOCUMENTS PERTINENT TO IDENTIFYING TAXABLE
PROPERTIES.
•
THIS IS A LONG-TERM PROJECT STARTED IN ABOUT 2004… THE
ESTIMATED YEAR OF COMPLETION IS 2012.
•
BE AWARE THAT THE PROPERTY LINES IN YOUR CITY MAY MOVE.
•
PROPERTIES NEAR WATER ARE MORE LIKELY TO MOVE DUE TO
THIS PROCESS. THE PROPERTY LINES WILL MATCH MUCH
BETTER TO THE AERIAL PHOTOS ONCE COMPLETED.
•
THIS PROJECT IS NOT A SURVEY, THEREFORE THE LINES SHOULD
NOT BE USED TO SURVEY FROM.

• TIFF IS LIMITED TO ‘REQUEST ONLY’ DUE TO SIZE OF FILES.
• SECTION TILES ARE STANDARD, BUT CAN ENVELOP A
SMALLER AREA FOR SMALL LIMITED PUBLIC REQUESTS.
• 2009 AERIAL REQUEST FOR BIDS WILL BE GOING OUT
SOON.
• HENNEPIN COUNTY IS REQUESTING TO HAVE A DECEMBER
31, 2009 DELIVERY DATE IN THE BID.
