• Runs both regular and one-off
projects, for individuals and for whole
societies (though there will be fewer
one-off projects than last year)
• Will organise travel and any required
documentation for you

Recognition
• Volunteering hours are logged in vTeam
passports – collect yours from Reception
• Just 10 hours of volunteering are needed for
your first vTeam certificate, with additional
certificates awarded for more hours
• Your efforts may win you recognition at the
Annual Awards, either as an individual or a
society
Getting Members Involved
• Contact Nicolae Radulescu on [email protected] to
explore ideas and opportunities
• Once you have chosen a project or activity, let your
whole membership know about it. At least six
members need to attend for it to count towards
standards.
• Remind participating members at regular intervals,
including the day before the event
Other Opportunities
If you have your own links with charities or voluntary
organisations, you are welcome to volunteer with
them instead. However, you will need to think about:
• Travel arrangements (the vTeam can still cover
reasonable expenses – no flights to the USA however you must agree these beforehand)
• Documentation, including risk assessments
• Taking photos to prove you were there, especially
if you want evidence for standards.

Fundraising
Fundraising
Fundraising is a great way to boost your club funds or to
donate to a good cause. However, because the SU is itself a
registered charity:
• It is illegal to make donations to any charity from SU
funds, which includes your society account, and
• It is illegal to subsidise donations to any charity from SU
funds, which includes your society account.
Any money raised for charity MUST be paid into the RAG
account, and expenses MUST be deducted beforehand –
they cannot subsequently be claimed from your society’s
accounts.

Lounge Lizard
• Lounge Lizard is a machine situated in Top Bar which
can run race nights, pub quizzes, raffles and other
fundraising games FOR FREE!

to make a booking.
Alcohol and Food
Alcohol cannot be sold for the purpose of fundraising.
To sell food, at least one member of your exec must
have a Food Hygiene Certificate. There are also strict
rules regarding the holding temperatures of foods
deemed to be ‘high risk’.

information, and always give as much notice as
possible before selling or giving away food.
Money
• Money raised for your society needs to be paid
into your club fund – bring to Reception and fill
out a paying-in slip.
• Expenses can be paid out of the same fund.
• Money raised for charity needs to paid into the
SU’s RAG account before being passed to your
charity – bring to Reception and fill out a payingin slip and a RAG form.
• Expenses must be deducted first, and cannot be
claimed back from RAG or your society’s account

• Sign your society up with an account and share
with family & friends - when they shop online via
the website, you’ll get a percentage of what they
spend! (Perfect for buying your books for next
year off Amazon or Christmas shopping!)

society

• Alumni donate money to the University
• Societies can bid for funding for big projects or
capital equipment
• Changes are being made to the programme
this year
• Keep your eyes open for emails over the
summer with details of deadlines! Don’t miss
out!
Justgiving
• Online donation website
• Can fundraise for your society by listing the
charity as ‘Essex Students’ Union’ and
emailing [email protected] so we know to
put the money in your account.
• Can fundraise for charities by listing their
charity as who you are fundraising for. Email a
link to [email protected] so we can count
it towards RAG.
Looking for Freebies?
• Many companies are willing to donate prizes,
but put the society logo on your letters and
always explain what the funds will be used for.
• Smaller businesses like restaurants and oneoff shops are more likely to give you vouchers
and prizes than chains.
