Dual Objectives
Students receiving VA Educational Benefits must:
 Pursue either a degree OR certificate
 If a student is pursuing a dual major, or a degree and certificate,
he/she must obtain prior approval.
 1.) Meet with the Military & Veteran Services Advisor, to
obtain an updated EAP and Justification/Agreement Form for
Dual Majors or Degree and Certificate
 2.) Submit the completed Justification/Agreement Form for
Dual Majors or Degree and Certificate, to the Veteran Services
Office, to obtain final approval from the School Certifying
Official (SCO). The SCO will email students the final decision.
Course Requirements
Students receiving VA Educational Benefits
must:
 Follow their program check sheet(s) and take
only required courses, for their degree or
certificate

 Students must request military transcripts to
be sent to AWC for evaluation, before taking
any general electives (http://jst.doded.mil)
 General Elective credit is usually covered by
incoming military transcripts
Prior Military or College Credits
 Per VA regulations, the SCO cannot certify a
student’s enrollment to the VA, for any
following term(s), until all prior credit(s)
(military/college) transcripts have been:
 Received electronically
 Evaluated
 Posted
 Avoid overpayments and VA student debt; the VA
will not pay for courses that are not needed.
Student Veteran Information
 Meet with the Military & Veteran Services
Academic Advisor, to create an Educational
Academic Plan (EAP)
 Provide the Veteran Services Office with a copy of the EAP, in
order for courses to be certified to the VA, for payment of
educational benefits
 Take required developmental courses under
100 level in-person only (i.e. ENG 080 or Mat
081, etc.)
Enrollment Certifications
 Students must submit a new Enrollment
Certification Request form for:
 Any/all changes in enrollment
 Change in courses, including sections
 Change in personal information: (name, address phone
number)
 Other changes that may affect their VA benefits
 REMEMBER: Students must also report these
changes to the Admissions & Records Office!!
Punitive Grades
 Students who obtain a punitive grade of “F” more than twice, will
NOT be certified for the same course, on their third attempt
 WHY?

Students who fail a course more than twice and pass the course the
third time:
 Will have previous terms adjusted from full time to most likely ¾ time
 Will potentially have a student debt to the VA, for the semesters the courses were
taken and failed. The previous terms will be reduced to less than full-time (VA debt
could be for tuition, BAH, book stipend or other fees paid by the VA, during those
terms rated full-time)

It is recommended that the student pays the school directly for the
course, if it is their third attempt, to avoid confusion and possible
debt with the VA.
Add/Drop Policy
 During the designated add/drop period,
students may revise their course schedules, by
dropping classes and/or adding classes
 Classes dropped during the designated
add/drop period, will not appear on the
student’s transcript
 Always check add/drop deadlines and other
important dates on the AWC Academic Calendar

 Students are ultimately responsible for officially
Dropping courses, they do not intend to take
Withdrawal Policy

Students may officially Withdraw from one or more courses, AFTER
the designated add/drop period and through the first three quarters
of the course. Or as specified by the Director of Admissions/Registrar
or designee
 A withdrawal is not the same as a dropped course. Students will
receive a grade of “W” on their transcript
 Students will be responsible to pay for the Withdrawn course, to
both the school, or VA for the course and BAH.
 Classes lasting less than an entire semester (non-standard term),
may have a different withdrawal period. Always check
withdrawal deadlines and other important dates on:

 Per VA Requirements:
 The SCO is required to report the last date of
attendance to the VA, when a student withdraws from
a course
 Students who withdraw from courses must provide
the reason for all withdrawals
 Students may be Academically Withdrawn (AW) for
lack of attendance, by their professor. The student will
have a grade of AW on their transcript.
Prior Credits & Financial Aid
 A student Veteran may receive up to 30 general
elective credits, depending on experience, from
their military transcript
 Students using Financial Aid:
 Cannot exceed the maximum number of 80
cumulative credits
 Students who exceed the 80 cumulative credits, due to
military transcripts, may complete an Excessive Credit
Hour Appeal Form, to the Financial Aid Office

 Students who do not officially Drop a
course, will be considered a “No Show”
 Students will be responsible for
payment
 Students will receive a grade of “NS” on
their transcript

Chapter 33 Post 9/11 GI Bill®
 Must complete the On-Line Payment Plan
(through their Web Advisor account) to avoid
getting dropped for non-payment
 Regardless of whether or not, students apply or
qualify for Financial Aid (FAFSA)

Planning for Success
How to manage your new college schedule:
• Develop a calendar with plenty of time to study
• Talk to your family, employer and friends about your new
commitment of college and its priority in your life
• If you are a parent, make arrangements for child care
• Also, talk to your children about what your going to college will mean to them
Plan Ahead:
• Know your VA Chapter…Know your benefits!
• Keep “Satisfactory Progress” with your Financial Aid
• Talk to each of your instructors early in the semester
• Go to the Student Success Center for FREE tutoring
• Take advantage of any workshops or events on campus
