In this topic you will learn how to request
leave, both full days and partial days.
Note: this benefit is not available to Hourly
Wage and Work-Study employees.
Leave requests must be requested by
the absence management process,
not in the timesheet itself.
Leave requests will then
automatically appear on the
corresponding timesheet. The
status of the leave request
(submitted, approved, etc.) will
also appear on the timesheet.
Click on “Self Service” in the
menu on the left.
Click the “Time Reporting” link.
Click the “Report Time” link.
Click the “Absence Request” link.
Enter the leave start date into
the “Start Date” field. You can
either manually enter the date
or click on the calendar icon in
the start date field and select a
date from the calendar.
Click the drop down
arrow in the “Filter
by Type” field and
select the type of
leave you’re
requesting. In this
instance, we’re
requesting annual
leave for a classified
employee on March
28.
IMPORTANT NOTE: This list is not
personalized for each employee. Check your
leave balances to know what types of leave
area available to you.
Click the drop down
arrow in the “Absence
Name” field and select
the proper item. NOTE:
The “Filter by Type”
and “Absence Name”
will always be the same.
You may only use hours
shown in “Current
Balance”. If this balance
is zero, you have either
exhausted the leave you
had available for this
type, or have selected the
wrong leave type.
Note that the balance
shown is as of the last
processed date. The
current balances do not
reflect unprocessed
requests.
Because we are
requesting leave for a
FULL day, click “None”
in the “Partial Days”
options.
Enter the desired
information into the
“Duration” field. In
this case, it is 8 hours.
Click the “Calculate End
Date” button. PLEASE
NOTE: Click the “Is This
FML Related” checkbox
ONLY if FML has been
approved through the
Human Resources office and
you are entering FML leave.
Otherwise, leave it
unchecked.
Enter any appropriate
information in the
“Requestor Comments”
field. This gives your
supervisor any necessary
information needed to
make a decision about
your request. Click the
“Submit” button.
You receive confirmation that your Absence
Request was submitted. Click the “OK” button.
This generates an e-mail to your supervisor to
approve, deny, or rework the leave.
You see that the status is
now “Submitted” and the
request appears in the
“Request History”.
To submit a request for a
partial day of leave, click on
“Self Service” in the menu on
the left.
Click the “Time Reporting” link.
Click the “Absence Request” link.
Enter the “Start Date”. You
can either enter the date
manually or click on the
calendar icon in the Start
Date field and select a date
from the calendar.
Click on the drop down
arrow in the “Filter by Type”
field and choose the
appropriate type of leave. In
this example, we’re selecting
“Annual Classified” leave.
IMPORTANT NOTE: This list is not

Click on the drop down
arrow in the “Absence
Name” field and choose
the Absence Name.
Remember that the “Filter
by Type” and “Absence
Name” will always be the
same.
You may only use hours
shown in “Current Balance”.

If you are requesting less
than a whole day, select
“First Day Only”. Never
use the options “All Days”
or “First and Last Days”.
Also, never combine a half
day of leave with a whole
day of leave and enter in
HRMS under one date; this
combination requires a
separate leave request for
the whole day and another
request for the half day.
Never use the “half day”
box.
Enter the desired information
into the “First Day Hours”,
then enter the total number of
hours requested in the “Total
Hours (Duration)” field. Click
the “Calculate End Date”
button.
The End Date is calculated
automatically. NOTE: Click
the “Is This FML Related”
checkbox ONLY if FML has
been approved through the
Human Resources office and
you are entering FML leave.
Otherwise, leave it blank.
Enter an appropriate
comment in the “Requestor
Comments” field. This
provides any necessary
information to your
supervisor that may be
needed to make a decision.
Click the “Submit” button.
You receive confirmation that your Absence
Request was successfully submitted. Click the
“OK” button. This will generate an e-mail to
your supervisor to approve, deny, or rework the
leave.
