Mobility management: Administrative aspects Boel Billgren, Lund University Overall objective I – understanding & cooperation - To bridge the virtual, cultural and technological gaps between the EU countries and the Lot 3 countries, Syria, Jordan and Lebanon, and promote social, economic and political stability Management perspective - To facilitate and support the mobility of students and academic staff and remove the obstacles to successful and efficient exchanges and studies from an academic, social and personal development perspective - To strengthen the capacity for international co-operation in/with the partner countries 2 Overall objective II The organisation and management of academic studies as well as social/leisure activities within EMECW should • aim at intercultural understanding and competence • increase the capacity for international co-operation on the level of the individual for the benefit of the institution/country • prepare the participants for future leadership & responsibility in their society/country 3 Topics for discussion - Streamlining + special attention Pre-Arrival preparation Housing facilities Coaching and counselling Welfare services Language courses Social Integration Support to students with special needs Evaluation & Follow-up 4 Pre-Arrival preparation in home country Information meeting per country for all who have been selected Objectives of EM-ECW, institution-based cooperation, relation to home and host institution, the scholarship holder’s tasks and duties Formal aspects correspondance with host university, Letter of Admission, Visa instructions, Learning Agreement, etc Practical aspects housing application, scholarship payment, bank account, flight ticket, insurance etc Language preparation if needed Cultural preparation Seminar on some key issues of expectations, cultural aspects and international cooperation in HE, leadership, human rights, etc 5 Pre-Arrival preparation – host university Communication with host Coordinator Formal aspects - Study plan, Learning Agreement, Letter of Admission, Visa instructions, etc Language preparation when needed Pre-registration and On-line Application for Housing, Mentor Group, Language and Orientation Programme Pre-Arrival Letter - travel, Arrival Day, orientation weeks, scholarship payment, etc 6 Housing facilities Students first year through International Housing Office – on-line application on time! Student residence halls through the regular Student Housing Service, private rooms or flats Bo-poolen, on-line accomodation rental service Academic staff University Guest House; application through host department Hotel living and a limited number of flats Support from LUFF/Lund University Foreign Friends 7 Coaching and counselling International Coordinator in the International Office and in the host department; often student counsellor; Regular contact on academic, administrative as well as social issues Confirmation and adjustment of study plan, Enrollment issues, Change of courses Learning agreement, scholarship contract Mid-term evaluation, end-of-studies evaluation through STARS (Study Abroad Reporting System) and interview Student mentor groups - senior students, often with experience from exchange studies abroad; special training Academic Buddy – senior student from the same academic field 8 Welfare services Insurance – through the university for all incoming and outgoing exchange students and staff within agreements (See Pre-Arrival Info; claim through coordinator) Student Health Centre & Public Health Centres & Private Clinics Student Sports Centre Religious service - International Church, Student ministers/priest Child Care & Schools – information and assistance via LUFF Information Market during Arrival Week (the above + the Police, Student Unions, Nations, Student Associations, phone companies, etc) University Library System and the Public Library – meeting places 9 Language courses Swedish Language & Orientation Programme – survival Swedish Swedish Language Courses – half time courses (daytime) Swedish Conversation Groups (Staff, PhD- and MSc/MA students) English support – will be arranged if necessary English Conversation Groups (Staff, PhD- and MSc/MA students) Language café – for Swedish and foreign students who want to Speaking pal/partner improve their language skills through mutual support 10 Social Integration Mentor/Buddy system Arrival week Lectures on Swedish film, music and history; parties and excursions; Arrival Newsletter Welcoming Reception by the Vice-Chancellor & by the City Mayor Membership in Nations & Student Unions, and Student Associations (Music, Choir, Theatre, Film, Literature, Chess, Sports, Politics, Subject related associations, etc) LUFF – Lund University Foreign Friends organizes social activities for visiting staff, PhD- and Master students, e.g. celebration of Swedish traditions, social evenings, dinners, and excursions What’s Up?
