Notifying ODOT of Your Intent to Use the Contract We must have a written request from an authorized agent stating the entities want to use an ODOT Co-op contract. The Purchasing Section will in return give a written authorization to purchase from ODOT’s contract. A copy of this letter will also be sent to the awarded vendor on contract. Purchasing Program 12
Written Request Requirements
A Signed Ordinance or Resolution: Any Political Subdivision desiring to participate in such purchase contracts will file with the Co-op Purchasing Coordinator a certified copy of the ordinance or resolution of the Legislative Authority, Board of Trustees or Governing Board of the Political Subdivision requesting authority to participate in such contracts and agreeing that it will be bound by such terms and conditions as the Director prescribes.
Resolution/Ordinance is valid for (2) years.

What are Political Subdivisions Responsible for?
Once the written authorization to purchase has been given by ODOT, the Department will have no further involvement in the purchasing process of the political subdivision. Orders will be placed directly with the vendor by the political subdivision. Purchasing Program 15
